4 Accessing GIVS 1. Access GIVS by visiting: 2. Enter your Username and Password, and click Login. 3. From the menu, select Main and click Customer Home. 4. View selections for GIVS. Once in GIVS the following selections are available: Maintenance Information ASN Entry Search ASN/Print Bill of Lading Online Tracking (ProLink Tutorial) Note: ProLink, a shipment tracking system is housed within GIVS. An online (Overview) tutorial is available for ProLink by clicking on (ProLink Tutorial), next to Online Tracking. Page 3

5 Maintenance Menu: Packing Code Entry 1. From the GIVS menu, click on Maintenance Information, to enter a Packing Code. 2. Use Packing Code Entry to add packaging types for a consignee. 3. To enter a Packing Code, click Packing Code Entry. Note: Before entering a packing code, a search should be conducted to see if a packaging code already exists. See directions for Packing Code Search within the training guide. 4. To add a packing type for a consignee, the following areas must be filled in: Packing Code ID Description Consignee Afterwards, click SAVE. Page 4

6 Note: Must fill out all (*) required fields. 5. A saved message box will appear, click OK. Page 5

7 Maintenance Menu: Part Number Entry 1. From the GIVS menu, click Maintenance Information, to enter a Packing Number. 2. Use Part Number Entry to enter part numbers. 3. To enter a Part Number, click Part Number Entry. Notes: Customers may enter part numbers. A search for a part number should be done before entering a part number. Before entering a part number, a search should be conducted to see if the part number already exists. See directions for Part Number Search within the training guide. 4. Enter a Consignee, click Next. Page 6

8 5. Enter Consignee Part #, Shipper Part #, Part Decription, Std Pack, # of Parts Per Std Pack, Weight UOM, and Item Status. Note: Shipper Part # s uses the same number often. 6. Click Save. 7. A saved message box will appear, click OK. Page 7

9 Maintenance Menu: Address Entry 1. From the GIVS menu, click Maintenance Information, to enter an Address. Before entering an address, a search should be conducted to see if an address already exists. See directions for Address Search within the training guide. 2. Use Address Entry to enter a non-protrans carrier. 3. To enter and Address, click Address Entry. 4. Enter Company Name, Address, City, State/Province, Zip Code (use zip code for shipper), Time Zone, Address Type (often equals Carrier), and SCAC (for material pickup and delivery). Note: The Active checkbox is automatically checked. 5. Click Save. Note: Customer may enter a non-protrans carrier on this screen by filling in the highlighted fields. 10 Maintenance Menu: Packing Code Search 1. From the GIVS menu, click Maintenance Information, to search for a Packing Code. 2. Use Packing Code Search to see if a package type is already listed. 3. To search for a Packing Code, click Packing Code Search. 4. Enter Consignee, and click Search. Note: This action brings up the packing codes for a Consignee. Page 9

11 5. Packing Codes may be edited, deleted, or inactivated here. Packaging options for a consignee can be reviewed on this screen. 6. To Delete (Inactivate), click the D button. 7. To Edit, click the Edit button. Note: To make Active, click the A button. Page 10

12 Maintenance Menu: Part Number Search 1. From the GIVS menu, click Maintenance Information, to search for a Part Number. 2. Use Part Number Search to search to see if a part number has been entered. 3. To search for a Part Number, click Part Number Search. Note: This tool can be used to edit standard packs. 4. Enter Consignee, click Search. Note: Searching by consignee name brings up all part numbers for the consignee. Page 11

14 Maintenance Menu: Address Search 1. From the GIVS menu, click Maintenance Information, to search for an Address. 2. Use Address Search to verify an address where parts are being sent or for a carrier that will pick up parts. 3. To search for an Address, click Address Search. 4. Enter Company Name and Address Type (optional), click Search. Note: Suppliers and/or consignees may look up addresses for a customers. Address Search Results will appear after clicking Search. 16 ASN Entry 1. Use ASN Entry to set up an advanced ship notice by a supplier for the customer. 2. From the GIVS menu, click ASN Entry, to enter an ASN. 3. To look up an ASN Entry, Enter Ship To information, then click Next. Note: Leave the default information alone for Trans Method and Payment Method. 4. Enter BOL# (if available), BOL Qty (equals pallet count for entire shipment), BOL Package (Default = Pallet), Description of Articles (Enter general description ei. auto parts, wiring, etc.), Class Factor, Gross Weight (freight with pallet), Net Weight (freight without Page 15

17 pallet), Ship Date/Time (option given, back date if necessary. Estimate time using military time ei = 3:00pm), ETA (default date will appear, fill in 1200), Carrier (required field, * is not shown on screen) and then click Part Item. Note: Special Instructions field holds 100 characters. 5. Note: An ASN number was assigned. 6. Enter the Part # and Quantity, then click Save. Page 16

18 7. See screenshot for Part Number grid that appears. 8. Continue building out additional part numbers for list (as needed). 9. Once complete, click Send. Note: Both shipper and consignee can see the list after Send button is clicked. Page 17

19 Search ASN/Print Bill of Lading 1. Use ASN/Print Bill of Lading to view and print a detailed Packing Slip or standard Bill of Lading. 2. From the GIVS menu, click ASN/Print Bill of Lading. Note: Packing slips have more detail (ei. part numbers, quantity); Bill of Ladings have basic information (ei. skids, pounds). 3. Enter Ship To, check Create Text File (optional), and click Search. 4. The ASN Search Results screen appears. Note: At least one search criteria is required to conduct a search. Shippers can look up ASNs sent to a consignee. To Delete, click Del button. To Edit, click the Edit Page 18

21 Online Tracking (ProLink) 1. Access ProLink by visiting: 2. Enter your ProTrans User ID and Password, and click Login. 3. From the menu, select Main and click Customer Home. 4. To access ProLink, click Online Tracking. Note: There is an online (Overview) tutorial available for ProLink, called (ProLink Tutorial), next to the Online Tracking selection. Page 20
