1 The serial number tracking programs provide an on-line method of tracking individual items (cylinders or machines/hardgoods) as they move from your stock to the customer and back. Current status of each serial number, such as last Ship-To Name and Address, Invoice number and Date, are available instantly. Select groups of items can be tracked by serial number if you don t want to do all cylinders. Barcoding of the item s serial number is available with a Barcode Printer. Portable hand-held scanners can be taken on the delivery trucks for automated collection of the serial number transactions. # TRACKING The POST # ACTIVITY program allows the operator to add, change, view or delete serial number transaction records. It is also a convenient way to run a quick serial number check. Most activity though is posted automatically by the Order/Invoicing System. The # REPORT: CUST/DATE and # REPORT: CUST/PART programs produce a report of serial number activity sorted by customer and/or activity date. The # REPORT: # program produces a report of serial number activity sorted by cylinder serial number. The # REPORT: ORDER# program produces a report of serial number activity sorted by order number. MENU The EDIT # MASTER FILE MENU SCREEN program provides a means to record ancillary information associated with each serial number, such as type codes, vendor, purchase date & price as well as last test, re-test and paint dates. HANDHELDS The UPLOAD # FROM HH program uploads serial number transactions scanned by its Panasonic JT handheld computer/scanner into the serial number database. MISCELLANEOUS The PURGE # ACTIVITY program is a maintenance program used to remove old serial numbers from the Serial Number database. The VERIFY # DATABASE program is a maintenance program to ensure the internal integrity of the Serial Number database. 2 POST # ACTIVITY While full posting capabilities are available in Order Invoicing, the POST # ACTIVITY program also allows the operator to add, change, view or delete serial number transaction records. It is also a convenient way to run a serial number check. Used interactively to check customer s possession of items by serial numbers (dock check), post ship/returned and create receipt. Last customer shipped to/ returned from with invoice number and date are displayed for verification. System warnings to operator (terminal beeps): New/unknown serial numbers. Attempts to return item from different customer/ship-to location. Attempts to ship item which is already shipped, or return one already received. Item status such as Stolen, Lost, etc. Part number changes for serial numbered item. Receipt can be generated for customer by the driver or dock worker. Recaps entire ship/return activity for selected customer(s). Can be restricted to show only serial numbers still at customer s site. (Last Shipped often used as serial number audit report. 5 TRACKING INFOPALM Handheld Computer/Scanners INFOPALM combines the latest innovations from Symbol Technologies for bar code scanning and collecting data at the point of activity with software developed for the welding supply industry and 3Com Palm Computing platform. This software fully integrates with the INFONETICS software system. INFOPALM SPT 1800 INFOPALM is used to scan/gather serial numbers of industrial gas cylinders delivered to, or picked up from customers. The hand held unit then uploads the collected data into the INFONETICS Serial Number tracking software on the host computer in the main office, which in turn integrates the data into the Order/Invoicing software module. This data can then be uploaded into the INFONETICS Inventory Control system where it is reconciled against the book count and committed to on-hand. INFOPALM was designed for convenient operation in the office or on the road. A pen-based graphical interface, push button controls and high contrast, anti-reflective 160 x 160 monochrome LCD display make it easy on the eyes, even outdoors or in dimly lit areas. For receipt printing at the point of activity the 6017 portable printer by Monarch is available. Weighing less than 1.5 pounds, this printer is designed to print up to 2500 on a single charge. In addition, this printer is designed to cradle the SPT1800 making the entire unit compact and easy to handle. A specialized barcode printer is used to produce heavy duty, extra thick (5 mil) vinyl barcode labels with the actual serial number of the item encrypted in the barcode symbol. 6 TRACKING The INFONETICS serial number program loaded into the Panasonic JT-762 handheld computer provides operational and display prompts, warnings and other features which allow the unit to act as a portable terminal at the delivery point. Requests driver code for accountability Requests original order number for upload and integration into INFONETICS Order/Invoicing and Serial Number programs. Option to enter Customer ID and Ship-To for peddle stop deliveries (deliveries without prior order). Differing audio confirmations reference progress through program and alert driver to scanning/entry errors reducing the need for visual monitoring. Disallows double scanning/entry of same shipped or returned serial number. Unit shuts off automatically after several minutes of inactivity to conserve battery charge, bookmarking position for return at power up. Battery low and battery very low conditions indicated by slow and fast display blinking. Prints single-sheet or carboned receipt of transaction details, totals and signature line. Allows unlimited duplicate printing. Upload to barcode printer allows warehouse or customer site batch serial number barcode label production. Date field (defaulted to today s date) available for editing. Provides for either keypad entry or barcode scanning of serial numbers or hardgood barcode labels. User friendly alphabetic keypad layout for non-typing operators. LCD displays running totals of Shipped and Returned serial numbers for current transaction. The Upload Serial# From HH program, found in the Serial Number System, manages the transfer of the collected data from the JT-762 into the Serial Number and Order/Invoicing Systems of the INFONETICS system. Restrictor fields offer operator ability to upload only selected data if desired. Default settings provide one-touch uploading of day s transactions. Data upload can be restricted by Customer ID or associated customer details. Data to be uploaded can also be selected by collection Date, Part ID and/or Serial Number. 7 TRACKING Upload report details uploaded information for error review and order auditing. Displays serial numbers shipped and returned with associated Part ID s and Descriptions by customer and order number. Displays totals by Part ID/Description for each customer. Displays Upload session totals by Part ID/Description. Displays serial number error messages such as Changed Part ID: Serial number was last assigned to a different gas type/cylinder size part number. Double Ship: Serial number has been shipped before but not returned. Invoice Mismatch: The number of cylinders recorded as shipped and returned do not match shipped and returned quantities on original order. New # Shipped: Serial number being shipped is new or unknown to the Serial Number System. New # Returned: Serial number being returned is new or unknown to the Serial Number System. Wrong Customer: Serial number being returned was last shipped to another customer. Wrong Ship-To: Serial number being returned was last shipped to a different Ship-To location.
