4 EXHIBITOR RULES AND REGULATIONS Exhibit Booth Display Regulations: IOSC follows the display rules shown on the IAEE Exhibit Booth Guideline sheets which follow this rules and regulations document. Any exceptions must be submitted in writing and approved by Show Management before proceeding with your booth plans. Admittance to the exhibit hall: During the move-in process, a wrist band will be provided by the security at the show entrances. On show days, exhibitors must wear their issued Exhibitor Badge to enter the hall. Once the show opens, exhibitors are permitted in the exhibit hall one hour prior to the posted show hours. Show Schedule is also included in this manual. No one under the age of 16 is permitted in the exhibit hall at any time. Alcohol Beverage Policy: Exhibitors are not permitted to distribute any alcoholic beverages from their booth except during the Welcome Reception. There is a Premier Catering order form in the Exhibitor Services Manual. However, if you would like to customize your order, you may contact Ivan Simic at ISimic@longbeachcc.com or The following are regulations established by the Long Beach Convention Center: No signs, banners, decorations, or materials of any nature are to be taped, tacked, secured, fastened or anchored to any building part, wall, pillar, door or window. Displays shall be located so as not to obstruct any required aisle or exits. No outside food or beverage is allowed inside the facility. Please contact the in-house food and beverage provider order form is contained in the online Exhibitor Services Manual or onsite call Ext 565 for this service. If your booth generates boxes or trash during show hours, porter service is recommended. This service may be ordered through Brede, the show s official general contractor, or on-site by dialiing Ext 541 on a building house phone.

5 Please remember not to throw boxes or trash generated during show hours into the aisles. We strongly recommend locking or removing valuables from your booth nightly. Loading docks are for loading and unloading only. All vehicles left in the loading areas will be towed away at the owner s expense. When loading and unloading items you must enter and exit through loading dock areas only. No carts, cases or boxes will be allowed through public entrance doors. The exhibition hall air walls are covered with a delivate vinyl fabric. This fabric tears easiy. Please use caution when working close to them. No item whatsoever is to be placed in the aisles (tables, chair, product, etc.) All decorations and items within your booth must be fireproof. If you have any questions when you re onsite, please dial Ext 514 on a house phone. All materials and decorations shall be flame-retarded to the satisfaction of the Fire Department by either a State Fire Marshal s certification of flame-retardence or the ability to pass a field flame test. Clear access of three (3) feet shall be provided to all fire protection appliances, alarm boxes and sprinkler valves. No variance shall be permitted from these requirements unless submitted in writing and approved in writing by the Convention Center and the Long Beach Fire Department. Literature on display shall be limited to reasonable quantities. Reserve supplies shall be kept in closed containers and stored in a neat and compact manner. No flamable liquids are allowed in the building. Painting or spraying of toxic or flamable materials is prohibited. Smoking is prohibited throughout the Long Beach Convention Center. Fire Department Special Permits: Request for permits for the following shall be made five (5) days in advance of the show. * Display or operate any electrical, mechanical or chemical device which may be deemed hazardous by the Fire Department. * The use of Liquified Petroleum Gases is prohibited throughout the Convention Center * Use or store any flammable liquids, compressed gases or dangerous chemicals. * Display an operating internal combustion engine.

6 Motor Vehicle Display: The following are the Long Beach Fire Department s minimum fire safety requirements for public display: * Fuel Tanks shall be maintained below ¼ tank of fuel. Caps for the fuel tank shall be of the locking type and maintained locked. If it is not practical to attach such a cap, an alterntative method may be employed with permission of the Long Beach Fire Department. * Electrical System: The electrical system shall be de-energized by one of the following Removing the batteries Removing the battery cable Disconnecting the battery cable and covering it with electrical tape or other similar insulating material.

When an exhibtor submits their contact and their booth number is confirmed, the IOSC Registration Team will send am with the Discount Codes exhobitors should use to register their booth personnel. How are comp badge allotments figured? Exhibtiros reveice two Exhibitor Full Conference badges and two Exhibitor Exhibit Hall Only badges for every 100 square feet / 10 x 10 booth space purchased. What if I require more badges than the comp allotment? Additional badges are available at the discount rate of $800 (Exhibitor Full Conference) and $100 (Exhibitor Exhibit Hall Only). Once you have reached your comp allotment, you can continue to register your personnel, but will be prompted to provide credit card information. How do I order carpet, tables, chairs and electricity for my booth? The Exhibitor Services Manual is available online at Can I rent a lead retrieval machine? Yes. Exhibitors can order a handle device or a LeadCapture app from Cvent. The order form is included in the Exhibitor Services Manual. I am coming from overseas, how do I get a letter of invitation to obtain a Visa? If you are an international registrant, you will automatically receive a link to request an invitation letter for a visa as well as delivery options for receiving the letter. Visa letters are contingent upon registering for IOSC You cannot receive a visa letter unless you have registered Can I register my spouse or guest under my exhibitor badge allotmen? No. Each badge recipient must be a direct employee pf the exhibiting company. You may not use your comp allotment for any guests. Can I plan for a client meeting on the show floor prior to the official opening each day? No, only exhibitors will have access to the show floor. Please plan on having any meeting outside of show hours in a meeting room at the convention center or public areas or at an hotel.

9 Are children allowed on the show floor? No, no one under the age of 16 will be permitted on the show floor. This includes babies and strollers. Does my exhibit space come with any furnishings or services? No, the exhibit space will have side wall and backwall drapes only. All other needs for furnishings, carpeting, electrical, etc. must be ordered using the Brede online Exhibitor Services Manual. Will there be free Wi Fi in the exhibit hall? No, complimentary Wi Fi is only available in the public areas of the convention center. All access within the exhibit hall must be ordered through the in-house provider, Smarty City, using the order form in the Exhibttor Services Manual. How do I book our hotel rooms? Brede Exposition Services shall not be responsible for damage to uncrated materials, materials improperly packed, or concealed damage. 2. Brede Exposition Services shall not be responsible for loss, theft, or disappearance of exhibitor's materials after same have been delivered to exhibitor's booth. 3. Brede Exposition Services shall not be responsible for loss, theft, or disappearance of materials before they are picked up from exhibitor's booth for re-loading after the show. Brede bills of lading covering outgoing shipments which are tendered to Brede Exposition Services by exhibitors, will be checked at time of actual pickup from booth and corrections made where discrepancies occur. 4. Brede Exposition Services shall not be liable to any extent whatsoever for any actual, potential, or assumed loss of profits or revenues, or for any collateral costs, which may result from any loss or damage to an exhibitor's material which make it impossible or impractical to exhibit same. 5. The consignment or delivery of a shipment to Brede Exposition Services by an exhibitor, or by any shipper on behalf of any exhibitor shall be construed as an acceptance by such exhibitor (and/or other shipper) of the terms and conditions set forth in this bulletin. 6. Brede Exposition Services shall exercise ordinary diligence and care in the receiving, handling and storage of all shipments. Brede Exposition Services shall not be liable for loss or damage by fire, acts of God, or causes beyond its control. Brede Exposition Service's liability shall be limited to the physical loss or damage to the specific article which is lost or damaged. In any case, the liability of Brede Exposition Services is limited to $.30 per pound per article, with a maximum of $50.00 per item, and a maximum of $1, per shipment. This applies while these goods are in Brede's warehouse, in vehicles for delivery, or at show site. 7. Claims for loss or damage which are not submitted to Brede Exposition Services within thirty (30) days of the close of the show on which the loss or damage occurred shall be considered waived. No suit or action shall be brought against Brede Exposition Services or its subcontractors more than one (1) year after the accrual of the cause of action therefore. 8. Shipments received without receipts, freight bills, or specified unit counts on receipts or freight bills (i.e., one lot, 800 cu. ft., etc.), such as UPS or van lines will be delivered to the exhibitor's booth without guarantee of piece count or condition. No liability will be assumed by Brede Exposition Services for such shipments. 9. Empty container labels will be available at the service desk. Affixing the labels is the sole responsibility of the exhibitor or his/her representative. All previous labels should be removed or completely covered. Brede Exposition Services assumes no responsibility for errors to the aforementioned procedure, removal of containers with old empty labels and without Brede Exposition Services labels, improper information on empty labels, or valuables stored in containers with empty labels. 10. Exhibitors should arrange for outgoing shipments during the show or immediately after its close. Brede will assist in the preparation of Brede bills of lading. Be sure that your material has been carefully crated or packed, and properly tagged or marked. 11. In order to expedite removal of materials, Brede Exposition Services shall have authority, without further clearance with exhibitors, to change designated carriers. 12. Labor and services ordered on behalf of exhibitors by display builders or other parties must be so authorized in a letter from exhibitors. Payment for all labor and services will be the responsibility of the exhibitor. 13. Freight handling charges are the responsibility of the exhibitor to whom shipments have been consigned. Also, charges for loading out freight shipments are the responsibility of the exhibitor from whose booth shipments are made. Exhibitors may not assign this responsibility to suppliers or customers. The exhibitor agrees, in the event of a dispute with Brede Exposition Services relative to any loss or damage to any of their materials or equipment, that they will not withhold payment of any amount due to Brede Exposition Services for Drayage or any other services provided by Brede Exposition Services as an offset against the amount of the alleged loss or damage. Instead, they agree to pay Brede Exposition Services at the close of the show for all such charges, and they further agree that any claim they may have against Brede Exposition Services shall be pursued independently by them as a completely separate transaction to be resolved on its own merits. 14. Service charge of 1-1/2% per month on any unpaid balance will be made starting 30 days after date of invoice. 15. Where an exhibitor indicates choice of carrier for pickup it is the exhibitor's responsibility to arrange with such carrier for said pickup service. If the carrier does not pick up within the time limited for the removal of exhibitor's materials at the Exhibit Hall, we reserve the right to forward such material by the shipping method of our choice or to remove said material to our warehouse for disposition, at an additional charge to the exhibitor in accordance with prevailing rates for the service performed. 16. Material left behind without orders placed at the Drayage Service Desk may be classified as abandoned. The Drayage Contractor shall not be responsible for same. We are not responsible for any delay of rush shipments. We will expedite such rush shipments to the best of our ability, but will not assume any financial responsibility for shipments which do not arrive at their destination at a dated time. 17. EXHIBITORS ARE URGED TO CARRY ALL-RISK INSURANCE covering your materials against damage, loss and all other hazards from the time shipments are made prior to the show until shipments are received back after the show. This can generally be done by adding "riders" to existing insurance policies, often at no additional cost. It is understood that Brede Exposition Services is not an insurer, that insurance, if any, shall be obtained by the exhibitor and the amounts payable to Brede Exposition Services hereunder are based on the value of the material handling services and the scope of Brede Exposition Services liability as set forth above. Trade shows, conventions and special events in this vicinity are governed by local union contracts. Please review the following information in order to better understand the applicable union jurisdictions. If you have any questions once you have read this, please address them directly to Brede Exposition Services. Material Handling The Teamsters union claims jurisdiction over the operation of all material handling equipment, all unloading and reloading, and handling of empty containers. An exhibitor may only move material that can be hand-carried by one person in one trip. Hand-carried is defined as small cartons, packages, or portable laptop computers that usually weight less than 30 pounds. This union claims jurisdiction under all other circumstances. No one, other than the official contractor s employees, is allowed to use dollies, hand trucks, or other mechanical equipment. This includes, but is not limited to, I&D, hotel, and facility employees. Brede Exposition Services has the responsibility of receiving and handling all exhibit material and empty crates. It is our responsibility to manage the docks and schedule vehicles for the smooth and efficient move-in and move-out of the exposition. Brede will not be responsible, however, for any material they do not handle. Booth Labor Safety Gratuities In General The Decorators Union claim jurisdiction over all set-up and dismantling of exhibits including signs and carpet installation. This does not apply to the unpacking and placement of your merchandise (items produced by you for sales, scheduled for display in your booth, or literature describing same). Any installation of exhibits or displays which requires the use of hand tools, more than one person, longer than 30 minutes to install (including crating or uncrating), or exceeds ten feet in any direction, shall be installed by employees covered by the agreement. Standing on chairs, tables or other rental furniture is prohibited. This furniture is not engineered to support your standing weight. Brede cannot be responsible for injuries or falls caused by the improper use of this furniture. If assistance is required in the assembly/dismantle of your booth, please order labor on the enclosed Labor Order form and the necessary ladders and tools will be provided. Brede Exposition Services requests that exhibitors do not tip our employees. Do not give coffee breaks other than mid-morning and mid-afternoon when union employees have a fifteen minute paid break. Any attempts to solicit a gratuity by an employee for any service should be reported immediately to a Brede supervisor. Intent Each exhibitor is entitled to a reasonable sightline from the aisle regardless of the size of exhibit. Exhibitors with larger space---30 lineal feet (9.14m) or more ---should also be able to effectively use as much of the total floor space as possible as long as they do not interfere with the rights of others. The limitation on display fixtures over 4 0 (1.22m) and within 10 lineal feet (3.05m) of a neighboring exhibit is intended to accomplish both of these aims. The extra height is often needed to permit the open walk-through approach normally used in this type of location. The 16 0 (4.88m) height limitation has been set to avoid undue competition between exhibitors to see who can go the highest or be seen the farthest with each negating the others efforts. Also, the 16 0 (4.88m) high exhibit will fit into almost any exposition center, thus permitting each exhibitor to get maximum use of his or her exhibit. Depth All display fixtures over 4 0 (1.22m) in height and placed within 10 lineal feet (3.05m) of an adjoining exhibit in a standard booth, must be confined to that area of the exhibitor s space which is at least 5 0 (1.52m) from the aisle line. In the event that the adjoining exhibit is a peninsula booth, display fixtures will be permitted to a maximum height of 16 0 (4.88m) within the entire booth area if written consent of both companies is provided to show management. This is allowed since peninsula booths are normally faced towards the cross aisle and, in a backto-back configuration, do not block the sightline into the adjoining peninsula booth. Intent Exhibitors adjoining peninsula exhibits are entitled to the same reasonable sightline from the aisle as they would expect if they were adjacent to an exhibitor with a standard booth. Important Peninsula booths are normally faced towards the cross aisle. Signs must also be posted indicating the maximum number of people the structure will accommodate. Booth Construction Booths, platforms and space dividers shall be of materials that are rendered flame-retardant, satisfactory to the local fire department representatives. Coverings for counters or tables used within or as a part of the booth shall be flame-retardant. All electrical wiring and apparatus shall be of a 3-wire UL type approved. Permits A permit shall be required for the following: Display and operation of any heater, barbecue, heat-producing or open flame device, candles, lamps, lanterns, torches, etc. Display or operation of any electrical, mechanical, or chemical device which may be deemed hazardous by the local fire department. Use or storage of flammable liquids and dangerous chemicals. Display of any internal combustion engine (special requirements available upon request). Obstructions Flame Retardant Treatment Combustibles Aisles and exits, as designated on approved show plans, shall be kept clean, clear and free of obstacles. Booth construction shall be substantial and fixed in position in specified areas for the duration of the show. Easels, signs, etc., shall not be placed beyond the booth area into aisles. Firefighting equipment shall be provided and maintained in accessible, easily-seen locations and may be required to be posted with designating signs. There shall be no charge to Client when oral notice is given directly to Staff Pro s authorized representative more than forty-eight (48) hours, before the scheduled start of the event. If any event is cancelled by the Client, with less than forty-eight (48) hours notice, Client shall pay Staff Pro one-half (1/2) the amount of the estimated bill. B. It is understood and agreed between Staff Pro and the Client, that Staff Pro is not an insurer and that the rates being paid to Staff Pro for services are for a service designed to deter certain risks of loss and such rates are not necessarily related to the value of personal or real property protected. Amounts being charged by Staff Pro are insufficient to guarantee that no loss will occur, and Staff Pro makes no such warranty, implied or otherwise, that a loss will not occur or that the service supplied will avert or prevent occurrences, losses, claims or causes of action which the services are designed to help deter or avert. C. Client shall protect, indemnify, and hold harmless Staff Pro and its officers, agents, and employees, from and against any and all loss to property and/or personal injuries, not due to the negligence of Staff Pro, or its agents, servants, employees or personnel. Staff Pro shall only be liable for claims and damages caused by its own negligence and the negligence of its employees, servants and agents. D. It is expressly understood and agreed that under no circumstances will Staff Pro be responsible for the theft or other loss of Client's property not directly attributable to theft by Staff Pro personnel, agents, or servants. In no event shall the liability of Staff Pro for theft by their personnel exceed the total compensation paid by Client to Staff Pro for services rendered during the day of such theft. E. Client shall assume all risk of loss or physical damage to its plant, facility, equipment, or any other property, occurring as a result of fire, earthquake, flood or other casualty. Client waives any right of recovery against Staff Pro for any loss or damage resulting from any such risk. F. Conduct a physical inventory after your product has been delivered, noting any missing or damaged items. 3. When setting up your booth, place your products within a visible vicinity. 4. After setting up your booth, conduct a visual inventory of your product and the way in which it is displayed. 5. Store any excess product or give-aways either with the decorator or in a locked cabinet. 6. Either carry VCRs, DVDs, MP3 players and laptop computers with you, or store them in a locked cabinet. 7. Utilize overnight security storage if available. 8. Cover your displays with a tarp or other non-see-through materials; it creates a mental block to any perpetrator. 9. When arriving in the morning, go directly to your booth to prevent any early personnel from free shopping in your booth. 10. During the start of move-out, please stay with your booth until you either pack it or the official decorator brings your empties and packs it. 11. At the closing of the show, don't leave your booth immediately; spend some time in your booth until the floor clears. This is one of the premium times during which theft occurs. 12. Display your product in such a way that it is not accessible from outside your booth during the event. 13. If your booth contains a lot of valuables which are difficult to secure or time-consuming to setup or teardown on a daily basis,it is recommended that you hire your own security guard over night. The expense will be justified should you lose one item. 14. Blocking the entrance to your booth prior to leaving provides a mental barricade to any perpetrator. Use either caution tape or place chairs at the entrance. 15. Try to greet anyone that comes into your booth as this will send a signal that you are aware of their presence; this will discourage any perpetrators from attempting to steal. 16. Obtain proper insurance coverage for your goods, including transit to and from the show site. DO NOT: 1. Leave your product scattered all over your booth. 2. Forget to account for your product when it is delivered to your booth. 3. Put any valuables in areas with easy access. 4. Leave immediately after event closing or move-out begins. 5.
