2 Gateway Reservations October 1, 2012 DESTINATION CENTRAL RESERVATION SERVICES PROVIDING COMPREHENSIVE CENTRAL RESERVATIONS SERVICES FOR DESTINATION MARKETING ORGANIZATIONS SINCE 1986 It is the intention of Gateway Reservations to respectfully submit a proposal to operate and manage a Central Reservations service for the Grand Junction Convention and Visitors Bureau. Central Reservations is a powerful tool for Destination Marketing Organizations (DMO s) which can facilitate the increase of tourism related revenues, increase conversions, increase marketing effectiveness and efficiency, and simultaneously decrease overhead and expenses for the Grand Junction CVB. Gateway Reservations has been a leader in Central Reservations management since Over the last 25 years in business, Gateway Reservations has built the technology, expertise and experience that is required to help the Grand Junction CVB create a comprehensive, customized and successful Central Reservations service. While we offer a wide variety of customizable service solutions, included in the following proposal, you will find 2 specific Central Reservations service options that we designed as a starting point for determining your options and to provide you with an overview of our available services. Depending on the Grand Junction CVB s desired goals / outcomes, Gateway Reservations is very flexible to help create a comprehensive, customized, and scalable Central Reservations solution to meet your needs and the needs of Grand Junctions potential visitors. We have also prepared an additional resource online to help you to understand more about what a Central Reservations service is and how it can supplement your destination marketing efforts. 3 Gateway Reservations October 1, 2012 Option 1 The Simple Online Booking Engine Gateway Reservations will provide the GJCVB with a comprehensive Online Booking Engine (herein referred to as an OBE) which will not include any Call Center support. GATEWAY RESERVATIONS TO PROVIDE: A complete, branded OBE with a supporting code library, training, reporting access and limited ongoing support. o Gateway will provide all of the code as well as a code library to allow the GJCVB to pull booking widgets, package links, etc as needed. o Gateway will provide training on how to create packages for the GJCVB as well as create up to 10 vacation packages and then provide additional support / creation at an agreed upon hourly support fee. All reservations will be made on a referral basis where all payments / collections will be handled by the suppliers directly. Guests can log into their itinerary directly to modify / cancel reservations and communications will be with suppliers and / or the CVB directly. Visitors will not have call center support for questions, modifications and additional info. Gateway will provide the GJCVB with access to log in and run reporting on demand. An initial branding of the Online Booking Engine to recreate the look and feel of the existing website branding. o The GJCVB will provide the branding template to meet software provider s specifications. GRAND JUNCTION CVB TO PROVIDE: Prominent promotion of the online booking engine on the GJCVB website and as a call to action on relevant marketing efforts. GJCVB will provide active engagement and solicitation of supplier participation. o Gateway Reservations will assist in answering supplier questions, providing contract templates, considerations and other processes. o Gateway Reservations will be responsible for facilitating training and activation of supplier accounts once a contract has been executed between the GJCVB and the Supplier. The GJCVB will be responsible for the branding design fee of $250 as well as to provide a complete branding template per software provider s specifications for any subsequent branding updates or changes (essentially a simple html document and image files to match the websites current branding). **Please see appendix B for a mockup of a branded online booking.

October 1, 2012 Gateway Reservations will provide the GJCVB with a comprehensive Online Booking Engine (herein referred to as an OBE) which will not include any Call Center support. FEES, COMMISSIONS AND PROCESSES: The complete Central Reservations service is available at little cost to the Grand Junction CVB and is paid for by the direct beneficiaries of the services, the participating tourism product suppliers. All payments will be collected managed and collected directly by the suppliers on a referral basis through their secure online account. Suppliers will pay an annual listing fee of $75 for Lodging and $50 for activities required to activate account, with annual renewal fee in same amount each year thereafter Suppliers will be responsible to offer a 5% discount off of the loaded rack rate of their products when booked in a package to offer customers an incremental package discount. 10%commission* for all Block Inventory / Free Sell reservations processed through online sales channel. Suppliers will be invoiced monthly for all confirmed reservations utilized from the previous month. *Fees charged by Gateway Reservations are subject to change or adjustment.

5 Gateway Reservations Option 2 The Comprehensive Reservations Solution October 1, 2012 Gateway Reservations will provide the GJCVB with a comprehensive Central Reservations solution including the Online Booking Engine (herein referred to as an OBE) and Call Center support. GATEWAY RESERVATIONS TO PROVIDE: A complete, branded OBE with a supporting code library, training, reporting access and ongoing support. A complete Central Reservation Call Center service to facilitate sales, customer support, package implementation, reporting and more including a dedicated VoIP phone line for Grand Junction call traffic. o Gateway will manage all customer interactions, questions, cancellations, modifications, supplier communications, etc. to take call volume off of the GJCVB s work load. Management of all collections and payment disbursements with customers and suppliers on all reservations. Package creation on demand to meet the GJCVB s marketing objectives. Standard monthly reporting on performance, track marketing sources and more as well as run raw data reporting on demand. *(See Appendix A for monthly reporting sample) Professional sales agents that will facilitate customer service and reservations as well as create opportunities to up and cross sell visitors on other things to do while in GJ and package options. o Agents will take a minimum of 1 familiarization trip annually to experience and tour lodging and activity suppliers to familiarize with the available products. Follow up on all quotes and bookings regularly to ensure accuracy as well as prospect for additional sales opportunities. An initial branding of the Online Booking Engine to recreate the look and feel of the existing website branding. o The GJCVB will provide the branding template to meet the software provider s specifications. GRAND JUNCTION CVB TO PROVIDE: Prominent promotion of the online booking engine on the GJCVB website as well as prominent promotion of the call center phone number as a call to action on relevant marketing efforts. GJCVB will provide a toll free number to be routed into Gateway Reservations VoIP system for call tracking for all of Grand Junctions calls. GJCVB will provide active engagement and solicitation of supplier participation. o Gateway Reservations will assist in answering supplier questions, providing contract templates, considerations and other processes. o Gateway Reservations will be responsible for facilitating training and activation of all supplier accounts once a contract has been executed between the GJCVB and the Supplier. An initial branding of the Online Booking Engine will be included by Gateway Reservations. o GJCVB will be responsible for a $250 design fee and for providing a complete template for any subsequent branding updates.
