1 Midwest Shows Policies & Vendor Agreement 2018 VENDOR AGREEMENT A signed vendor agreement is a requirement if you want to participate. All vendors will be required to sign a vendor agreement each year they are with Midwest Shows. QUALITY ASSURANCE Midwest Shows is committed to providing quality products and services to its customers in a timely and consistent manner. We recognize that it is through our Vendors, that the quality of products and services is realized. Due to the nature of the business, we further recognize that our Vendors have a direct influence on the quality of the associated products and services that are sold. Because of this, Midwest Shows asks that Vendors assess the quality of specific products or services they provide on a regular basis. Vendors are expected to use quality materials, and inspect products periodically, to help ensure the continued support of our customers Rates: TABLE / SPACE PRICING SHOW LOCATION PREPAID NOT PREPAID ROLLING MEADOWS 6' TABLES ONLY JOLIET 6' TABLES ONLY 1 table = $35.00 each 2 tables = $30.00 each 3 or more = $25.00 each 1 or 2 tables = $25.00 each 3 or more = $20.00 each $45.00 each $45.00 each ***There is a 10% discount for paying 3 months or more in advance.*** PREPAYMENT If you have not prepaid, no space is reserved. Spaces are booked at least one (1) month ahead of time. MORE IMPORTANTLY, spaces are only reserved if they are PAID in advance. For example, if a vendor wants to skip the month of June, and come in July, then they must pay for July in order to have a space(s) reserved. We must receive payment for space(s) at least 30 days ahead of time. 1

2 You can pay for table spaces several convenient ways: By cash at the end of each show for the next show. By Credit/Debit Card via Square Payments (Contactless, chip card, or by ed invoice). By PayPal using OR ed PayPal invoice Call to pay over the phone using Credit/Debit Card (via Square Payments). Money Order As of January 1 st, 2017, Midwest Shows no longer accepts personal checks. There are no exceptions. If you elect to mail a payment, we must receive that payment 30 days before the show date. You may mail payment to: Midwest Shows P.O. Box 252 Ripley, OH CANCELLATION We will issue a refund or carry forward a payment, if the cancellation is made by the Wednesday (12:00pm) before the upcoming show. Cancellations made AFTER Wednesday results in your deposit being forfeited. This is at Midwest Shows discretion & will be handled on a case by case basis. All cancellations must be made by calling and leaving a message, or by at info@midwestshows.biz. We will always give you credit if you have cancelled before the deadline. SETUP AND TAKEDOWN 1. Vendors may set up tables between 8:00 am and 9:45 am. If you arrive early and are parked in front of the doors, you will be expected to move so that we can get the table trailer in the appropriate location. Vendors cannot block the access we need to get an early start. No vendor will be allowed in either facility before our table trailer is ready for unloading. 2. All vendors should be set up and ready for the public by 9:45 AM. Constant tardiness beyond 10:15am will now incur UP TO A 100% late fee assessed to your space rental total. This is at Midwest Shows discretion, and will be handled on a case by case basis. 3. No early breakdown without prior approval or unless you are sold out. Voluntary breakdown is permitted only after 2:30pm. 2

3 4. There is to be no selling out of the parking lot to any customers that have not paid their admission fee to the show. Any vendor violating this will no longer be permitted to participate in any future Midwest Shows event. 5. Vendors must supply their own table cloth(s). Tables MUST be covered with either cloth or paper if live birds are placed on them. Drop cloths should be used to contain any mess. 6. If you have displays, do not obstruct the customers view of vendors around you. Absolutely no stapling of anything to the tables. 7. When setting up your tables/spaces, do not block the aisle, as other vendors and customers use these aisles to move around. 8. If you need electricity, you must bring your own extension cord AND cover (rug or duct tape). 9. No animals besides birds may be let in to any Midwest Shows event. 10. TO VENDORS SELLING LIVE BIRDS CAGES AND CARRIERS must be appropriately sized for the bird(s) held within, and bottoms cleaned as needed to uphold appropriate conditions and appearances. FRESH FOOD AND WATER must be available for birds at all times. BIRDS SHOULD BE IN cages or carriers to help control the possibility of theft. It is suggested that wings be clipped. If wings are not clipped, it is HIGHLY recommended that the birds remain in cages to avoid loss. BIRDS APPEARING to be ill, injured, overly-stressed, foul smelling, or inappropriately housed will be removed from the show. IF your birds are removed from the show, they MUST be inspected by an avian veterinarian AND a Midwest Shows Representative for any and all of the above conditions before they are allowed to return. ABUSE OR NEGLECT of birds will not be tolerated and will result in appropriate sanctions including permanent dismissal from any and all Midwest Shows events. MIDWEST SHOWS DOES NOT CONDONE THE SALE OF UNWEANED BABY BIRDS. Instead, we encourage vendors to take deposits on unweaned birds and schedule a transfer upon weaning. If you should sell an unweaned baby, we ask that if you cannot provide needed instruction in hand feeding, that you refer the buyer to another vendor who can provide the needed training. 3

4 VENDOR LOCATION We reserve the right to move vendors to other locations or change table arrangements if the need arises. SALES TAX Midwest shows is not responsible for making sure vendors charge appropriate sales tax on items that must be taxed. HEATING DEVICES Absolutely no water is to be heated at the tables. Formula would have to be mixed in the bathroom before returning to your table. We suggest if you need special water for your birds, that you bring it in a thermos, and secure it at your table covered at all times. We encourage vendors to carry business liability insurance for your protection. OTHER ANIMALS There are to be no other animals of any kind, besides birds, brought into the shows. SMOKING We realize that the weather does not always cooperate, and standing beside the doors is necessary to stay out of the rain. If you must stand by the doors, please make sure the doors are shut while you smoke. We do not care if you smoke, but please be polite and considerate to others while doing so. VIDEO & PHOTOGRAPHY Pursuant to our company goals, Midwest Shows makes every effort to provide an atmosphere conducive to fun, education, and safety. Thus, video recordings and/or photo shoots before, during, or after events are generally prohibited, as they can be disruptive, and potentially abusive, to everyone involved. On an exceptional basis, video recording and/or photos within our events are permitted, solely for business purposes, to shoot YOUR OWN PRODUCT AND BIRDS, used only as promotion for your business. The taking of photographs and/or videos during events is permitted only within public areas on Rolling Meadows Community Center property or Joliet Knights of Columbus property. Recording or taking photos in restricted areas, including but not limited to; bathrooms, closets, banquet rooms, kitchens, day care areas, et all, is strictly prohibited. Vendors are expressly prohibited from recording or taking photos of other vendors, or customers, without prior written authorization from BOTH Midwest Shows, and all people involved. 4

5 Photography & video that requires explicit authorization from Midwest Shows includes; engagements for commercial gain or profit such as professional productions, and photography for commercial advertisements. PROCEDURES FOR PROFESSIONAL PRODUCTIONS & COMMERCIAL ADVERTS A responsible party wanting to video record and/or photograph must submit a request for approval at least two weeks before the proposed video recording/photo shoot date. During the approved activity, the following procedures shall be followed: 1. Midwest Shows personnel shall be notified when videographers/photographers enter the building; 2. Persons involved shall maintain the agreed upon time and schedule for the video recording/photo shoot; 3. The videographers/photographers shall refrain from capturing video/photo images of people who are not specified as part of the shoot; 4. If others are shot, the responsible party involved in the approved activity shall obtain written authorization when photographing or videoing identifiable persons; 5. Unless given written permission otherwise, the producers shall note the location of the video recording/photo shoot in the production credits; Video recordings or photos must not imply any type of approval or endorsement by Midwest Shows; Violation of this policy may result in the revocation of permission to video record/photo shoot. COMPLAINTS & SUSPICIOUS ACTIVITY Midwest Shows personnel may approach photographers and videographers upon a complaint from a member of the public or other personnel, that the activity is suspicious in nature, or based upon their own observation that the activity is suspicious in nature, or inconsistent with this policy. Midwest Shows personnel will advise the individual that an inquiry is being conducted. Midwest Shows personnel does NOT have the authority to search persons, belongings, cameras, bags, etc. Midwest Shows personnel may however, ask an individual to leave an event, and will do so, if warranted. NOTES ABOUT TAKING VIDEOS/PHOTOS *The general rule for recording is: where there is public access in such traditional public forums as a sidewalk or a park you are permitted to record anything in plain sight (i.e. buildings, people) because in such places there is no reasonable expectation of privacy. In other areas that are generally open to the public but may be privately owned such as a mall, private event, or other businesses, recording may be restricted either by posted signs or by personnel. 5

6 In order to avoid confrontation, it is always a good idea to check with owners to obtain permission before recording. It also is important to remember that the First Amendment only protects against governmental limitations. Businesses and non-government organizations may require special credentials in order to gain entry to an event and to record. Usually such credentials may only be obtained by agreeing to or meeting certain requirements specified in writing. **Other photography or video recording not covered by this policy requires advance approval from a Midwest Shows Manager. ***Midwest Shows reserves the right to modify the terms of this policy at any time, without notice.
