1 INVITATION Dear friends, KLJ is proud to invite you for the exchange project Creating keystones for further youth exchange. Thanks to the support of the Erasmus+ program, we will be able to organize this event in Kasterlee, Belgium, from the 31th of March to the 4th of April 2016 (31th March arrival day, 4th Aprildeparture day). In the next pages you will find all the information concerning the participation of your organization in this activity. You ll find also a flyer that you can use for making some publicity. Please, read this document carefully and do not hesitate to contact us in case you need any clarification or further information. The program as well as more detailed practical information will be sent later on. A final list of participants from your country and their registration forms should be sent to us no later than the 22th of January. 2 Creating Keystones for further youth exchange What is this exchange about? This seminar focuses on bringing together youth leaders from local youth groups in rural areas with a European exchange dream. Starting from that dream we bring them into contact with local youth leaders from Belgium, Germany and France. By means of various workshops the participants will develop a first version of a European exchange-project. First of all the participants get to know each other, their organizations and their exchange-dreams. But they also get to know each others struggles to organize an exchange. During this seminar they discover on a fun way the possibilities of Erasmus + and the Youth Pass. After this the local youth leaders will create an exchange-project in small groups (inspired by the knowledge that they have discovered during this seminar). At the end all the groups will present their exchange-project on a creative way to everybody. At the end we have an reflection- and evaluation-moment. The global goal of this event is to create exchanges between local youthgroups of Belgium, Germany and France. We'll use a Facebookgroup to see if exchanges are happening between local youthgroups and to be able to communicate with each other about the struggles for organizing an exchange. Goals of the exchange - The participants know from which organizations they can ask support for an international project - The participants know the possibilities and conditions of Erasmus + - The participants know where they can find the possibilities of Erasmus + and know the most important things that they have to take into account when they do an application - The participants know what the Youth Pass is, what the benefits are and how they can get one. - The participants are inspired to do an exchange in Europe - The participants have discovered more possibilities for an European exchange - The participants get to know the uniqueness of the different local groups - The participants have enlarged their international network - The participants have a better view of the culture of the other countries - The participants develop their feeling of European citizenship and identity

3 Participants We invite you to start collecting the list of participants from your movement as soon as possible. We have the following places available for each country: Belgium: 6 participants (6 local youth leaders*) + think thank members** France: 7 participants (6 local youth leaders* and 1 coordinator***) Germany: 7 participants (6 local youth leaders* and 1 coordinator***) *You can send max. 2 local youth leaders form the same local youth group **The think thank members are organizing the exchange *** This is the contactperson for each country (this person doesn t have to be a local youth leader) In order to help you in the selection, here is a description of the expected profile of participants to this activity: - Active youth leaders of a local youthgroup (max. 2 of the same local youthgroup) - The local youth leaders have a dream to do and European exchange - The local youth leaders are active in a youthgroup that has members that are around the age of 18 years old - Young man and woman aged 18 to 30 years old (every country is responsible for a gender-balanced group) - Able to communicate in English and available for the full length of the event - Come from rural areas in Germany, France or Belgium. Practical information The venue is Kasterlee in Belgium. The activity will be at the venue Hoge Rielen : "de Hoge Rielen", Molenstraat 62, Kasterlee (Belgium)

4 Travel details When to arrive: The arrival day is the 31th of march (preferably before 18h00) How to arrive: If you come by plane or train please book your journey to Brussels National Airport or Charleroi. When we will gather all the details from the participants arriving there we will provide you all the information how to proceed further to reach the venue. We expect participants to arrive on the 31th of march (preferably before 18h00) and leave on the 4th of April (departure day) Price Every participant pays a fee of 20,00 (all in) Food, accommodation and all activities included in the program will be covered by the organization during the dates of the event. Any extra costs must be covered by the participants (foresee some pocket money for drinks in the evening). For the travel costs we will reimburse a total travel cost of 180 if your starting point is between 100km and 500km from Kasterlee (Belgium, flanders) and 270 if your starting point is further then 500km from Kasterlee. You can calculate the distance via this website: This is the total amount that is covered by the grant (outward journey and return journey together). So you get 180 or 270 in total for your travel costs per person. If your starting point is closer than 100 km from Kasterlee you don t get a reimbursement. Participants are responsible to find and book by themselves the cheapest way to travel to Belgium and back on the appointed dates. These travel costs will be reimbursed to you, or who paid for it in advance, under the following conditions: - Only cheapest means of transportation and fares will be reimbursed (e.g. 2nd class tickets) - Taxi costs will not be reimbursed - A bank transfer will be made only when we receive all the original receipts/invoices, boarding passes and tickets from your travel. You can give already all the documents related to your inbound travel at the venue to a member of the think thank and the outbound travel documents should be sent by post to the KLJ office no later than 2 weeks after the departure day

5 Taking into consideration that the prices for flights to Belgium are quite expensive, we strongly encourage you to find the participants as soon as possible and book the tickets with low-cost airlines. In case you cannot find any possibility bellow the maximum amount stipulated for your country, you should contact us before proceeding with the booking. We can evaluate each individual situation if we are contacted at least 6 weeks before the starting of the activity. After that limit of time we cannot guarantee any flexibility. If you need help with booking travel tickets contact the secretariat at least 6 weeks before the start of the activity. For any questions or further information, please, do not hesitate to contact us!
