2 Graphic Awards COMPETITION 2019 ONLINE ENTRY INSTRUCTIONS. All entries must be submitted via our online contest system, at: All entries need to be saved as.pdf or.jpg file format. Ê Below are the directions for submitting your entries. We strongly recommend that you start making your entries early. You do not have to submit all entries at one time. You are able to continue to add more entries up until the deadline date. 11. Click on the Browse button to upload your pdfs. 12. Select the file(s) that correspond with your entry. Please submit only ONE entry at a time (you may select multiple files for that one entry). 13. For entries that reuire documentation or explanation please upload them at the same time. 14. Enter your name in the appropriate box. Deadline for all entries is Tuesday, February 12, Click on the Submit Entry button. Please allow time for the file to upload. It can take a few minutes for a large file. If you have any uestions or problems, please contact Jill at: jill@nynewspapers.com or call (518) Your entry will appear in your cart at the bottom of the page. FOLLOW THESE INSTRUCTIONS 17. Once uploaded, you can view what you just uploaded. If it is not correct, you can click on the Delete button to remove that entry. 1. Go to: 2. Download the BNC Contest Rules and Entry Forms. 3. Click on Enter Contest Online in the FCPNY Newspaper Box. 4. Create User Account (you will receive an with a link that you must click on in order to activate your account). 5. Log into your account. 6. Select your Newspaper from the drop-down list. 7. Select the Category that you are submitting from the dropdown list. ALL entries must be logged into the online system. 8. In the Article/Photo Description box, please enter the headline of the article or a description of the photo so that we know what the correct entry is. For online categories, please enter the URL of the page. 9. In the Author box, please enter the writer, photographer, or designer s name. 18. To submit your next entry, go back up to the Newspaper name box if you need to change to a different newspaper; otherwise select from the Category drop-down list again. 19. When you have completed submitting this round of entries, please click on the Enter Payment Information button. You will not be charged until after the February 12th deadline but payment information must be entered before your entries will be submitted to the contest. 20. You will be redirected to a secured page to enter your credit card information. 21. Enter your credit card information. 22. Click on the Return to Entry Screen button if you want to continue to add/change your entries. Otherwise, click on the Logout button at the top right of your screen. 23. Those entries are now officially submitted. You may still add more entries at a later time as you will be able to view what has previously been entered into your shopping chart. 10. Type the appropriate Division in the box if applicable to that category. General Excellence (Categories 1 & 2) and Promotions (Categories 17 & 18) reuire hard copies. 3 Please read the following information completely before submitting entries. 1. Submit entries (uploaded through the entry site) with payment information by Tuesday, February 12, GENERAL INSTRUCTIONS Forward The Free Community Papers of New York (FCPNY) Annual Graphic Awards Competition provides special statewide recognition for excellence in free community paper publishing. ENTRY DATA Eligibility Any FCPNY member in good standing (current dues paid) is eligible to enter. Materials for all entries must have been produced and used between January 1, 2018, and December 31, Ads that have previously won awards and have been republished are not eligible. 2. To standardize entries for judging fairness, the following must be observed: ALL ENTRIES must include a full tearsheet uploaded for proof of publication in your paper during the past year. Any ads not showing publication date will be disualified. Some categories reuire special attachments/documentation/ explanations. Please read the criteria carefully. 3. Entries will be displayed and winners announced at the 2019 FCPNY/NYPA Spring Conference April 5, Meeting details will be announced as conference materials are produced. 4. Entry fees should be paid via payment screen on the entry site. If paying by check, make payable to: Free Community Papers of New York. Ad Design 5. Entries must be RECEIVED BY Tuesday, February 12, Ads submitted, unless otherwise specified by the competition criteria, must be of a publisher s own creative design, using their own artwork and/or combination of art services. Artwork supplied by an advertiser and used to create the final ad is acceptable; however, the ad must be produced by the publisher, not an agency. Except category Awards will bear the same publication name as your entry. 7. Be sure to follow ALL rules listed. Any Questions? Call (518) jill@nynewspapers.com Judging Entries will be judged by a panel of experts in advertising and editorial content from the newspaper industry. Announcement of Winners Winners will be announced on April 5th at our 2019 FCPNY/NYPA Spring Conference in Albany, NY. Recognition First-, second- and third-place winners receive commemorative plaues. The first place winner in each division of the General Excellence category is awarded the FCPNY Trafalgar Clock for one year for special recognition. There is no entry fee for General Excellence submissions. Property (Title) Entries become the property of FCPNY and, at the discretion of the board of directors, can be used in the development of services for members. Fees Each entry is $5. There is no initial entry fee. There is no entry fee for: General Excellence category. Deadline The deadline for all entries is Tuesday, February 12, To download rules and submit entries, visit GENERAL EXCELLENCE Includes publications published at least 50 weeks a year. Attention to overall uality cover design, use of graphics in ads, page layout, overall organization and uality of printing. Limit one entry per category, either Division A or B for your size format. Publishers shall submit any two consecutive issues from January 1, 2018, to December 31, 2018, printed in their published form. The two issues constitute one entry. Category 1 Magazine 8 1/2 x 12 or smaller Papers including any amount of news content. Must be two consecutive issues! Category 2 Tabloid Overall size approx. 11 x 17 or larger DIVISION A Papers with up to 15% non-advertising or editorial content. Must be two consecutive issues! DIVISION B Papers with more than 15% non-advertising or editorial content. Must be two consecutive issues.

4 SALES PRESENTATION Category 10 Best Automotive Ad DIVISION A - B&W Category 3 Entries must include a complete sales presentation that led to the acuisition or retention of an advertising client. Submit a detailed description of a successful sales presentation, be specific and include as much collateral material as possible. If the entry includes a Powerpoint presentation, please provide a pdf version. Category 11 Best Institutional Ad Submit an advertisement that promotes a store s identity, image, reputation, etc. only. There should not be any offers or specials in the ad. DIVISION A - B&W Category 12 Best Single Ad Local Agency Design ADVERTISEMENTS All entries in this section, except category 12, must be ads designed in-house for a customer, printed on newsprint in their original form. (No self-promotional ads allowed.) Recognize your local agency partner. Ads must be designed and prepared by a local advertising agency. Please include the agency name and address for each entry. DIVISION A - B&W Category 13 Print & Deliver Single Sheet Insert Category 4 Best Grocery Ad Food Stores, Supermarkets DIVISION A - B&W Category 5 Best Restaurant Ad Full Service Restaurants DIVISION A - B&W Category 6 Best Convenience Store or Deli/Café Ad DIVISION A - B&W Entries must be designed by in-house artists. Printing can be in-house or outsourced. Entries will be judged on concepts, design and overall appearance. Category 7 Best Single Ad Black & White Not self-promoting. Subject matter other than categories 5, 6, 7, & 11 DIVISION A Black & White Ads up to 12 inches in height DIVISION B Black & White Ads over to 12 inches in height Do not confuse total column inches with actual height of ad. 12 inches refers to actual height of ad. Category 8 Best Single Ad Color Not self-promoting. Subject matter other than categories 5, 6, 7, & 11 DIVISION A Process Color or Spot Color Ads up to 12 inches in height DIVISION B Process Color or Spot Color Ads over to 12 inches in height Do not confuse total column inches with actual height of ad. 12 inches refers to actual height of ad. Category 9 Best Ad Series For a series of at least 3 but no more than 10 ads showing advertising continuity of theme or artwork. Note: Include a brief description of the main idea behind the series. PROMOTIONS All ads must be designed in the publisher s own shop, printed in their original form. Category 14 Self Promotion Own Publication DIVISION A - In-Paper Promotion Submit an advertisement or series of ads appearing in your publication (ROP), promoting the use of your publication. Entries are judged on the merit of the idea and the presentation. Each ad or group of ads relating to the same theme should be considered one entry. The entry should be combined into one file. DIVISION B - Best Front Page Masthead/Banner Entries will be judged on overall design appeal, content and composition uality. Category 15 Self Promotion Other Alternative DIVISION A - Promotion Other Media Submit entries promoting your business through means other than advertising in your own publication. Examples: publicity, specialty advertising, promotional products, brochures, billboards. DIVISION B - Rate Card Design Submit your advertising rate card/brochure. As a prereuisite, your rate card should include your advertising rate(s), a detailed map of your circulation area and any other pertinent information for your publication. Layout, design and ease of understanding will be judged. Category 16 Self Promotion Classifieds An individual advertisement or promotion designed to increase reader ad/ classified ad or want ad sales in your publication.

5 Category 17 Special Promotions Category 21 Best Original Photography B&W These entries reuires actual hard copies be mailed to FCPNY, 621 Columbia Street Extension, Suite 100, Cohoes NY Submit a tearsheet indicating your Best Original photography taken by a member of your publication s own staff. Judging is based on originality of idea; appropriateness to accompanying story, if applicable; and reproduction uality, with an emphasis on the importance to the communities served. Each of the following divisions will be judged separately: DIVISION A - In-paper Promotion or Special Section Within Publication Must be a single or multi-page promotion but not more than three pages, within your normal publication (ROP), not an insert, printed on newsprint and supported by multiple advertisers. DIVISION B - Separate Sections Pull-Out Must consist of a minimum four-page pullout within your normal publication, printed on newsprint and supported by multiple advertisers. Must not be a freestanding insert. DIVISION A - Photo used with a Feature or General Interest Purpose DIVISION B - Photo Used in a News Event DIVISION C - Photo Used in a Sports Article Category 18 Separate Publication Category 22 Best Original Photography Color Must be a separate specialty publication that is distributed free of charge. Bridal booklets, tourism guides, community directories, Christmas catalogues and any other like publications ualify. These entries reuires actual hard copies be mailed to FCPNY, 621 Columbia Street Extension, Suite 100, Cohoes NY Submit a tearsheet indicating your Best Original photography taken by a member of your publication s own staff. Judging is based on originality of idea; appropriateness to accompanying story, if applicable; and reproduction uality, with an emphasis on the importance to the communities served. Each of the following divisions will be judged separately: DIVISION A - Magazine overall size approx. 8-1/2 x 12 or smaller using standard or lightweight newsprint. DIVISION B - Magazine overall size approx. 8-1/2 x 12 or smaller using heavier than standard newsprint or enamel GLOSSY paper throughout. DIVISION C - Magazine overall size approx. 8-1/2 x 12 or smaller using a combination of standard and heavier than standard or enamel GLOSSY paper. DIVISION D - Tabloid overall size approximately 11 X 17 or larger, any combination of paper stock. DIVISION A - Photo used with a Feature or General Interest Purpose DIVISION B - Photo Used in a News Event DIVISION C - Photo Used in a Sports Article ONLINE CATEGORIES Category 23 Online Presence EDITORIAL Category 19 Community / Customer Service Good Will Submit clippings, statements, ads, editorial or other evidence showing your paper s role in serving the community or customer through promotion/advertising. In contrast to self promotion, this category shows how your publication promotes your community or customer without monetary consideration. Websites will be judged on the following categories: (Please put URL in description field) General Excellence of Site Design Timeliness of Content Overall Community Engagement Ease of Use DIVISION B - Your FACEBOOK Page! Facebook pages will be judged on the following categories: (Please put URL in description field) Wall posts and user engagement Use of photos and videos How the publication drives traffic back to its print product Category 20 Best Original Writing Submit a tearsheet indicating your Best Original writing created by your own staff. Syndicated or matte service items are not eligible. Judging is based on originality of idea and content, writing uality and layout with an emphasis on the importance to the communities served.
