1 Fixed Asset Cycle: Home Screen The Fixed Asset Cycle is the processes, or steps, that are repeated each month, or year, when you add new additions, disposals, and make other changes to your fixed asset data. When you click the Fixed Asset Cycle button on the Home screen, a screen will be displayed showing the steps that you have setup in your Fixed Asset Cycle. Page 1

2 Fixed Asset Cycle: Defaults The first time you access the Fixed Asset Cycle screen, if you have not setup any steps, you will be prompted to import some pre-defined steps included with Asset Keeper Pro. The pre-defined steps make it easy to create a starting point for customizing the steps that match your real-world process. Fixed Asset Cycle: Initial Screen The Fixed Asset Cycle screen contains the following information for each process or step added: Description the process or step to be performed Whether the process has been completed Date the process was completed Who completed the process As you complete each process in your Fixed Asset Cycle, you can double-click the process on the Fixed Asset Cycle screen to mark them completed, enter the date they were completed, and enter the Page 2

3 person s name who performed the step. This allows you, or other users, to refer to the Fixed Asset Cycle to see what steps have been completed and what steps are yet to be completed. Page 3

4 Fixed Asset Cycle: Set Up The Setup screen for the fixed asset cycle is accessed by clicking the Setup button on the bottom left of the Fixed Asset Cycle screen. On the Setup screen you can you can add additional steps, delete steps, modify the imported steps, re-order the steps, or mark steps that you do not want included in your fixed asset cycle. Note that you can delete more than one step by highlighting more than one step click and drag the mouse over all steps you want to delete or Ctrl-Click (Cmd-Click on a Mac) to highlight nonsequential steps that you want to delete, or Ctrl-A (Cmd-A on a Mac) to highlight all rows. You can also re-order the steps so they are in the order that you would normally perform them. Page 4

5 Fixed Asset Cycle: Reset When you are ready to start a new cycle, there is a Reset button that is used to reset the steps in your cycle. You can reset one step, multiple steps, or all steps using the same procedure to highlight one or more steps as explained previously. Page 5

6 Fixed Asset Cycle: Building your own Fixed Asset Cycle If you would prefer to add your own steps to the Fixed Asset Cycle because you are unsure of the procedure that you currently use, you can use the Add Step button. This provides a very quick method of adding a step to your Fixed Asset Cycle without navigating to the Fixed Asset Cycle and then the Setup screen where steps are normally added. Page 6

7 Using the Fixed Asset Cycle as a change log If you find that your fixed asset cycle varies greatly and trying to create a standard set of steps is not practical, you can alternatively use the Fixed Asset Cycle as a change log. For example, you can annotate the changes you make to your fixed asset data so that you can refer to it later should you want to recall what has been done in your data file. This is particularly useful if there are multiple users making changes to the fixed asset data and you need to know who did what and when. Use the Add Step button on the Home screen to quickly add a step to your Fixed Asset Cycle. Normally, if you wanted to add an item to the change log, you would have to first access the Fixed Asset Cycle screen, then select Setup, then the Add button. The Add Step button allows you to enter the process that has been performed, date completed, and who completed the process without navigating to the Setup screen. Page 7
