4 AutClerk What s New Versin Ver Check Out If a guest s fli has an address n it, nce the guest has been checked ut, the user can still send a fli via by ging back int the checkut and clicking n the Fli buttn. 2. General Reprts Travel Agent Check Prcessing Secndary TA Check Reprt The secndary TA check reprt was underreprting revenue when a guest s checkut date was the last day f the mnth. This has been reslved. 3. City Ledger Add a New Custmer Several new fields have been added t the City Ledger accunt frm: branch, Street 2, Cuntry, phne 2, fax, , 2, and URL. The Attn: field has been changed t separate last name and first name. This is t be mre cnsistent as well as be able t use these fields when creating an Invice Cver Letter. When a prperty is updated t and abve, the data that was riginally in the Attn field is mved t the Last Name field. This means that yu may need t g in and mdify the data in yur CL accunts. If a prperty had added an F8 nte t a City Ledger Accunt, such as Rm and Tax nly, there is nw a flashing F8 in red n the frm s the user is aware f the nte. 4. Yield Management If yu run the Yield Reprt with merged rate classes, the list f which rate classes are in which merge number has been restred t the resulting reprt. Users nw have the ability t hide rate classes that d nt have any data in them fr the time perid selected. This is especially useful is yur prperty has a lt f rate classes. There is a new checkbx n the Optins frm: Print Zer Rate Class. It is checked by default. If yu have changed rm numbers t a different rm types, the Yield Management reprt was nt reprting the crrect numbers. This has been fixed. 4

5 AutClerk What s New Versin Ver Functins ACAdmin AutClerk was nt always lgging the cnfirmatin number f a reservatin that a user was viewing the unmasked credit card number. A user had t g all the way int the View CC t have the cnf number lgged. This has been changed s all viewing and/r attempts t view are lgged. Functin Keys The F5 buttn n the main screen will have text that will flash red if CRS events are fund. The user may click n the buttn r hit F5 t review the events. Once they are reviewed, they are cleared. (See the Interfaces sectin fr mre infrmatin) 6. ACCnfig Reprt Optins Setup Pace Data Exprt Parameters There was an issue in which the exprted Pace Reprt was nt bill-t rm revenue when the destinatin rm/fli was a nn-sleeping rm. This has been reslved. 7. Sftware and Applicatin Upgrades Specificatins Windws 10 Pr is nw an apprved perating system fr AutClerk installatins. Windws 10 Hme is NOT apprved as it is nt a business grade OS. Please refer t the full AutClerk Specificatins fr mre details. 8. Interfaces Prperties with interfaces will nw see fewer pp-up messages. The F5 buttn n the main menu screen will flash red if events ccur. An example f an event is when the user may have a reservatin pen at the same time an interface is trying t send a mdificatin fr that reservatin. In this example, the reservatin is lcked and the mdificatin cannt be made. 5

6 AutClerk What s New Versin Ver1.0 The ntificatin that an interface is nt running is nt an event and the user will cntinue t get the pp-ups infrming them f the status change f the interface. The user can either click n the buttn r hit F5 t see the events. Once they are reviewed, the F5 will disappear until the next event. If they are nt cleared the lg will cntinue t grw until a user acknwledges the events. The F5 alert will appear nly n the Main Menu f each statin that is designated in a file set up when the interfaces was installed. Fr prperties that have multiple CRS interfaces, as well as a CRM and/r RMS, they will n lnger experience large delays in the messages being prcessed when they make changes. The messages have been cnslidated s fewer messages with mre infrmatin are being sent. Credit Cards AutClerk is nw certified with Heartland s ecmmerce prcessing structure. This is used at prperties that charge advance depsits. EMV Technlgy EMV technlgy is als knwn as Chip and Pin. It ffers higher security fr credit card handling. It als requires yu t replace yur existing Magtek credit card swipers with swipers apprved by yur prcessr. AutClerk is nw certified with bth Shift 4 and Heartland s EMV technlgy. If yu are interested in upgrading t the EMV technlgy, yu must first cntact either yur Shift4 Accunt Maintenance Representative; r Heartland s PAX Supprt Team ( ). There are steps which need t be taken befre AutClerk is cntacted and the upgrade is scheduled. This includes purchasing and cnfiguring the new EMV pin pads. As f AutClerk Versin 9, , AutClerk will tkenize the credit card in new reservatins. Once a clerk has typed in the guest s credit card infrmatin in the reservatin frm and clicks Ok, he will see: 6

7 AutClerk What s New Versin Ver1.0 Once the tken has been received, the user is returned t the reservatin frm t cmplete the reservatin. If the validatin/tkenizatin fails, the user will get a pp-up with the errr. If the card cannt be validated, the user is brught back t the Reservatin Payment Inf frm s they can enter a new card number frm the guest. If the card cannt be validated r tkenized, due t a cmmunicatins errr, the user is brught back t the reservatin frm and the payment buttn says Nt Verified.` The user can pen up the Reservatin Payment Inf frm and click n the Validate buttn t have AutClerk g ut and try t validate a card. An untkenized credit card is kept in the reservatin as encrypted number. The tken increases the security f the credit card as nce tkenized, the card number and expiratin date are nt viewable by any user, regardless f their View Rights level. All future authrizatins, charges and/r refunds t the card use the tken rather than the actual card number. This des mean that the prperty will have t call their credit card prcessr if they need the full credit card number. The full card PAN is nt be stred in any frm in AutClerk. If the prperty has a CRS, as thse reservatins are delivered int AutClerk thrugh the interface, the prgram will call ut and replace the guest s credit card number with a tken. At present, the nly reservatins that will retain a viewable credit card number t thse users with View Rights, will be existing reservatins that have a status f Gift Certificate, Gtd, N Shw r Cancel and have nt gne thrugh the scheduled credit card data purge 7
