7 Booking a New Cruise When you book a new cruise using Galileo Cruise, a record of your booking is created in both the cruise line reservation system and in Apollo (Leisureshopper ). The agent booking process involves the following nine steps, detailed in the pages to follow: 1. Search for a Cruise 2. Select a Rate Code and Category 3. Select a Rate and Cabin 4. Identify the Passengers 5. Choose Cruise Preferences, Features and Options 6. Choose Payment Options 7. Enter Payment Information 8. Review the Booking Summary 9. View/Print the Booking Details Confirmation You must complete each step in order, but once you have completed a step, you can come back to it as needed. Throughout the booking process, you are able to view descriptive cruise information. The procedures and images used in this guide may look different from what you see due to website customization. Though the look may vary, the options available on any page will be the same. Note: If the link between Galileo Cruise, and the cruise line goes down before you end and confirm your booking, you must begin your booking again. IMPORTANT: From the moment you select a cabin, you have 15 minutes to book a cruise. If you take longer than 15 minutes to book a cruise, you are timed out and you must start the booking process from the beginning. During the booking process, a timer displays how much time you have left to book the cruise. When the timer reaches 0:00, you will be timed out and must start the booking process from the beginning., June,

8 Begin the Booking When you sign in to Galileo Cruise, the opening page is the Cruise Search page. Follow these steps if you are elsewhere in the Galileo Cruise application, 1. On the Agents menu, click New Cruise Booking. 2. Continue to Step 1: Search for a Cruise. Step 1: Search for a Cruise Enter your search criteria. The more information you provide, the more your results will fit your client s specific needs. The Origin City is the only required field in the cruise search. To Search for a Cruise: 1. In the Cruise Search box, click the Cruise Line drop-down and select a cruise line. 2. In the Destination drop-down box, select a destination. 3. In Sailing Date, click the calendar to select a date, or type a date into the box provided. 4. Check the number and type of passengers traveling. The default is two adults. 6, June, 2005

9 5. Enter other search criteria as needed to narrow the search. 6. Click Search. A list of results appears. If you want to redefine your search, click the link to redefine search at the top of the page. 7. Click Select for the sailing you want to book. The Rate Code and Category search screen appears. 8. Continue to Step 2: Select a Rate Code and Category You can click links to display additional details about the cruise and the ship. Links to this information are present throughout the booking process, and are available anytime you want to view the information provided in the links., June,

10 Step 2: Select a Rate Code and Category The Rate Code + Category display screen shows a list of rate codes applicable to your cruise selection. You may select up to five rate codes to compare. Instructions appear on the screen. To select a Rate Code, follow these steps: 1. Click to select from 1 to 5 rate codes from the list of codes presented on the page. If you know a rate code exists, but is not displayed, you may enter it into the box provided. 2. Click the View Pricing on Selected Fare Codes button. The Rate Code(s) and Categorie(s) are displayed. The categories where rates do not exist will not show a rate. On this screen, you can compare rates to cabin categories. 3. Continue to Step 3: Select a Rate. 8, June, 2005

11 Step 3 - Select a Rate and Cabin The Rate Code + Category screen is displayed. You can click the category link to view a description of the stateroom category. To select a Rate Code and Category, follow these steps: 1. Determine the type of room your customer wants. 2. Click Select for the rate you wish to book. The Select a Cabin screen displays. The top half of this screen summarizes the itinerary. Below that is the Per Passenger Fare Summary. From this page you can view Itinerary Details, click Print a Quote, or a quote., June,

12 3. Before you select a cabin, click View Deckplan if you would like to show your customer where the stateroom is located on the ship. Important: An important message appears near the bottom of the page advising you to have specific passenger information ready before your proceed. The 15-minute timer begins when you click Book Cabin. 4. Click the Book Cabin button to book the specific cabin. The Passenger Information page appears. 5. Continue to Step 4: Identify the Passengers 10, June, 2005

13 Step 4: Identify the Passengers On the Passenger page, you must specify all passenger information, such as names, addresses, phone numbers, birthdays, and countries of citizenship, to name a few. From the time this page appears, you have 15 minutes to complete the booking process. You can change personal information after the reservation is complete. Note: Fields marked with a double asterisk ( ** ) are required. At least one passenger must be 21 years of age. To identify the passengers, follow these steps: 1. On the Passengers page, under enter Passenger Information. Enter all applicable passenger information. 2. Click Continue Booking. If you did not enter all required fields, a message box appears, telling you which field(s) you missed. The Cruise Preferences page appears. 3. Continue to Step 5: Choose Cruise Preferences, Features and Options., June,

14 Step 5: Choose Cruise Preferences, Features and Options Use this page to set passenger preferences, from dinner sitting time, to special meal requests, to pre and post cruise packages, prepaid gratuities, and more. The availability of dinner times, table sizes, and cruise preferences varies by cruise line. Dinner Time To set a Dinner Time, follow these steps: In the drop-down box, select the seating preference. Other typical preferences include Amenities, and Special Requests. Amenities and Special Requests The Special Requests drop-down offers several choices. Typical features include selecting overnight-stay hotels, setting additional dining preferences, specifying special dietary requirements, indicating medical issues and physical challenges, and more. The Special Request selections are defined by the cruise line and will vary. 12, June, 2005

15 When you make a choice for your customer, a second step is often required to identify the passenger receiving the special amenity or request. On-screen instructions are always available. To set a special request (or amenity), follow these steps: 1. The first step is to make a selection from the drop-down. 2. The second step is to link the passenger to the special request. Click the drop down for each passenger and make the appropriate selection. For example, if you select birthday in Step 1, you will select which passenger is having the birthday in Step 2., June,

16 3. Repeat the steps to make additional selections if applicable. 4. Click Continue when finished. The summary display appears on the Pay Options screen (the next screen in the process). 5. Continue to Step 6: Choose Payment Options. Note: If you do not have your customer s preferences, you will have an opportunity to add them later. On the Payment Options page, you can see that your customer s preferences selected in the previous step are recorded. 14, June, 2005

17 Step 6: Choose Payment Options All payments due the cruise line are processed through Galileo Cruise, whether they are just paying a deposit, paying in full now, or holding and paying later. Payment Options During the booking process, you are presented with Choose Payment Options. You can chose from the following payment options/combinations: Pay Deposit Now Pay In Full Now Hold and Pay Later Below is a example of the selection to Pay Deposit Now., June,

18 Below is a brief summary of each option. When you select: You choose to: Pay Deposit Now Pay in full now Hold and pay later Charge the customer s account for a deposit, which is due today, and charge the remaining balance later. The status of the booking is booked. You can select to have the 2 nd payment made automatically. The Payment screen appears. Pay the entire balance right now. When you choose this option, the status of the booking is booked. You should enter the queue number to where these records are tracked. Pay the entire balance at a later date. When you select this payment option, the booking is placed on hold for 24 hours and the status becomes pending. With a pending status, the booking record goes to your List Pending queue, which is where you can go to view, edit, and cancel your pending bookings. You can amend the payment schedule to split payment by check and/or multiple credit cards. 16, June, 2005

19 Step 7: Enter Payment Information --- Pay Deposit Now For this step, you must specify a credit card type and the card number. The payment information defaults to the passenger 1 information you entered when you identified the passengers. Pay Deposit Now Additionally, you must read and agree to the terms and conditions before you can complete the booking process. When you select Pay Deposit Now and Continue Booking, the Enter Payment Information page appears. Because Pay Deposit Now was selected in this example, Galileo Cruise assumes that there will be two payments made, Pay Now Card 1, and Pay Later Card 1. Pay Now Card 1 Pay Now Card 1 defaults to the first name on the itinerary. If only one traveler is making payment, select a payment type and provide the associated information, e.g. credit card type and number. If you want to split the deposit between two people traveling together: 1. Enter the payment information for the first passenger, in this case Dale Lewis. The Payment Amount defaults to the amount of the deposit. You may change the amount if you wish. 2. Move down to Pay Later Card 1., June,

20 Pay Later Card 1 The name defaults to the first name on the itinerary, and the Payment Amount defaults to the balance. Pay Later Card 1 defaults to the first name on the itinerary. If only one traveler is making payment, select a payment type and provide the associated information, e.g. credit card type and number. 1. Change the default name to another party who wants to make payment, If applicable. 2. Validate the address and phone (if applicable), and enter payment information. Galileo Cruise defaults the amount to the balance of the payment due. 3. Select Automatically Pay Balance When Due, if desired. When splitting payments here, you may only split between two people. Note: If a third traveler wants to take part in the payment process, you must select Hold and Pay Later. Then when paying later, you may split payment between two or more travelers. When you do this the payment you may modify the payment amounts. 4. When you have completed this step, click Continue Booking at the bottom of the page. The Booking Summary screen appears. 18, June, 2005

21 Step 8: Review the Booking Summary The Booking Summary page displays for your review. For your convenience, the Booking Summary section of this page provides you with a bulleted checklist. You can use this checklist to confirm all aspects of the booking with your customer. The Booking Summary page includes links to view additional information, amend information or selections, or add new information. You can click the cruise line link to view additional information about cancellation fees and policies, penalties, FAQs, and terms and conditions. Click links to change passenger, preferences, or payment information. For example, you can click Change Passenger Information to change passenger details such as an incorrect birth date, or phone number. Click Change My Cruising Preferences to add, change or delete preferences for each passenger. Click Change My Payment Information, to update or change payment information on the Payment Method page. Any time you click a link to make a change, you are taken to another page where the changes can be made., June,

22 This is an example of the Booking Summary page. To Review the Booking Summary, follow these steps: 1. Verify that all information is correct. 2. When you are certain that errors do not exist, read the Consumer Advise Information and click the box below it to acknowledge your have read it. 20, June, 2005

23 3. Send this booking to an office queue by entering the queue number in the box provided. For example, you may have a queue set up for cruises for partial payments, and one for pay later. 4. Click Purchase This Cruise Now. The Booking Details confirmation page appears. 5. Continue to "Step 9: Booking Details Confirmation"., June,

24 Step 9: View/Print Booking Details Confirmation The Booking Details page appears after you click Purchase This Cruise Now on the Booking Summary page. This page contains all of the pertinent information about the cruise you just booked, including Booking and Confirmation numbers, and the Apollo PNR record locator. It is a complete review of the reservation. From this point forward, you will use this page to review and/or make changes to a cruise booking. Also, found in this display are links to view, change or remove anything from passenger information to selected options. (Continued on next page.) 22, June, 2005

25 At the bottom of the Booking Details display, you will find the following buttons: Print Receipt, Receipt to Customer from agency, Cancel, and Add Notes. To Print Receipt: 1. Click the Print Receipt Button. The Print Receipt window appears, and soon after your Windows print dialog window opens. 2. Click Print., June,

26 To the Receipt: Click the Receipt to Customer from Agency button. Galileo Cruise sends a confirmation to your client s address, if one was provided. If one was not provided you will receive the following error message: To Add Notes: 1. Click the Add Notes button. The Cruise Activity Notes window opens. This area is freeform text and you may use it to add any pertinent information here. These notes are not attached to the reservation, they are for your use only, and do not appear on the itinerary. 2. Click Save To Cancel the cruise: Click the Cancel button. Galileo Cruise cancels the reservation. To Add Options: Click the Add Options button in the Features & Options area. 24, June, 2005
