1 Business-to-Business EXPO EXHIBITOR INFORMATION DAY OF EVENT - REGISTRATION, SET-UP & UNLOADING: Exhibitor registration begins at 10:00 a.m. on Thursday, May 16, When you arrive, you will be provided with your Exhibitor Packet and a Cobb Chamber staff person will assist you to your booth. The map included at the end of the packet gives directions to the temporary parking area at the loading dock so that you may unload your car. You must move your car back to the parking deck after unloading. The Cobb Chamber is not responsible for parking tickets. o Booths must be ready by 2:30 p.m. o Booth tear-down begins no earlier than 7:00 p.m. o o Booths must be staffed throughout the Expo. Please bring any loading carts or trolleys that you may need to transport your materials. There is limited supply at The Galleria. AFTER HOURS / CAFÉ AREA: The cash bar will open on the show floor at 5:00 p.m. There will be complimentary hors d oeuvres and seating in the café area. We encourage you to utilize this area for networking purposes but please remember that your booth MUST BE STAFFED AT ALL TIMES. DOOR PRIZES: Please complete and return the included Door Prize Commitment form by May 3 if you would like to give away a door prize of retail value greater than $100. Door Prizes will be given away throughout the evening. o If you would like to provide a door prize of retail value greater than $100 to be announced throughout the Expo Hall on the sound system, please complete the Door Prize Commitment form and we will make arrangements to add your company to the agenda. o These door prizes should be dropped off at the Expo Exhibitor Registration table (located near Exhibition Hall B) at the Cobb Galleria Centre May 16 th before the Expo begins and must be pre-approved by the Membership Department. o Exhibitors may provide door prizes at their booth for your company to personally draw and contact the winner following the Expo. These door prizes will not be announced over the sound system. BOOTH SPACE: You are welcome to use you own company sign in your booth (one is provided for you). Please do not use pins, tape or staples to hang your sign/banner to the draping. You may use binder clips or sign ( S ) hooks (some will be available on site) with fishing line. You are welcome to bring your own table cloth (your table will be draped). The table dimensions are 6 x 24. Keep in mind the size of your booth. Please respect other companies and keep all company collateral within your space. Side rails are 3 high and back rails are 8 high. Drapes are royal blue and white. All table cloths are white.

2 ELECTRICITY: If you have decided that you need electricity for your booth, please contact Jessica Dudley at to purchase electricity. Basic hookups that you may have already requested are 5 amps of power. Additional amps can be purchased the day of the event through the Galleria. The Cobb Chamber cannot assist with vendor electricity charges after Tuesday, May 7 th. After May 7 th, all additional electrical charges will go through the Galleria directly the day of the event at an increased rate. Exhibitors will need to furnish their own electrical drop-cord/extension cord. BEST OF SHOW COMPETITION: During the expo, each company s display will be judged (non-biased) on the following criteria: innovation & originality, content & substance and presentation media. The highly coveted 2013 Cobb Chamber of Commerce Business Expo Best of Show award will be presented to the company receiving the highest cumulative score during the expo. CATERERS/ RESTAURANTS: Please remember that all food must be pre-prepared and must be in sample sizes. You must complete a Food Sample Authorization Form (included in this packet) and fax it to the Galleria. You may not distribute beverages at your booth without prior consent from show management. Ice cold bottled water and soft drinks will be available on the show floor at no charge. PRE-SHOW MARKETING: Attached to this is a Proud Exhibitor logo. For the next couple weeks leading up to Expo, we would encourage you to use this however you see fit to let your clients and customers know that you will be at the Cobb Chamber Expo. There are other great ideas included in the remainder of this packet. ALL EXHIBITORS!!!: If you will be bringing ANY sort of food at your booth, please complete the Food Sample Authorization Form that is included in this packet and fax it to the Galleria by May 10 th. You may not distribute beverages at your booth without prior consent from show management. Ice cold bottled water and soft drinks will be available on the show floor at no charge. Door prize items must be valued at $100+. Items valued at less than $100 or items that were not approved for this particular service may be given away through a drawing at your booth. All Door Prizes items should be delivered to the Expo Registration Desk located near Exhibition Hall B at the Galleria on the day of the Expo. 4 Business-to-Business EXPO PROMOTING YOUR EXPO BOOTH Mail out personal invitations. The invitations should be brief and come from the most prestigious person in the department. Include the name, date and time of the Expo and why it would benefit them to come see you. Refrain from sending bulk mail; make them look special. In your invitations include special contest entry forms that can only be turned in at your booth to be eligible for the prize drawing. Give them a coupon they can turn in at your booth for a free gift/promotional giveaway that has been purchased just for them. Consider providing a premium gift targeted to your best customers or best potential prospects. Be creative; do a two-part mailer. The first part is sent in a pre-show mailer and the second part is waiting for them to pick up at the booth. Special Expo show pricing for people who visited your booth; make sure it s not something they can get at your business the following week at the same price. Promote the fact that you ll be introducing a new product or service at the show you ll also get instant feedback at the show on features, pricing and other competitive marketing components. Include the event information in communications you are already sending. Do inserts in your billings to customers to promote the Expo, a P.S. on all outgoing correspondence or an automatic footer (Example: We ll see you at the 2013 Cobb Chamber Business-to-Business Expo, May 16 th at the Cobb Galleria Centre), print or stamp a message on company envelopes, put a note on outgoing faxes; something small that will not incur additional costs. Use your newsletter or E-newsletter to promote your Expo participation. Do in-store advertising of the Expo. Advertise the fact that you ll be at Expo (and your booth number) on your web site and link over to the Expo web site ( Add the Expo Proud Exhibitor logo to your LinkedIn and Facebook profile pages and share it with your connections. Tweet on Twitter about your participation leading up to the big event. Blog about it!
