Many Chamber activities present excellent opportunities for members to enhance their image in the business community by putting their names before a target audience of local and regional business people. 4 Vendor Guidelines Expo begins promptly at 9:00 am and ends at 2:00 pm. Vendor Booth Set-Up time is from 7:00 am - 8:30 am on Saturday, March 9, All vendors should have their booths set up by 8:45 am. Doors open at 9:00 am. There is no electricty Do Not Share, Exchange or Switch Assigned Vendor Booth Space With Any Other Vendor. Vendors are encouraged to decorate their booths in accordance to the The Art of Business theme. The best decorated booth will receive a free booth at the 2020 Annual Business & Community Expo. Vendors must provide a Raffle Prize to give away at their Vendor Booth. Display Raffle Drawing Item and Collect Raffle Forms for Vendor Raffle Drawing. Vendors are responsible for creating their own raffle slips or tickets. Conduct Vendor Raffle Drawing and Post Winner at Main Raffle Board starting at 1:30 pm. Stamp or Sign Event Raffle Forms to Verify Participants Visit to Vendor Booth. Vendors may not tear down or leave Expo prior to 2:00 pm. Assist With Clean Up and Tear Down of Booth Space at 2:00 pm. Continental Breakfast will be provided to vendors during setup thanks to our Breakfast Sponsor. Box Lunch will be provided for up to two (2) people at each Vendor Booth thanks to our Lunch Sponsors Additional Box Lunches can be purchased for $7.00. The Business to Community Expo will take place in conjunction with the City of North Port Arts on the Green which runs from 10:00 am - 1:00 pm.

5 Exhibitor Tips Exhibitor tips to consider - Ask yourself or your staff What is your company's plan of attack? Do you have a theme or positioning message? Reasons Companies Exhibit in Expos: Introduce new products or services to community Sell what they offer to visitors Set appointments for further conversations and planning Collect leads for future sales follow-up Meet with existing customers & demonstrate new products or services Sell what products or services they offer to other exhibitors Network & troubleshoot with other professionals Find new dealers, representatives or distributors Find new employees or business partners Position their company within the industry Get the greatest outcome in the shortest period of time Reasons Businesses & Community attend Expos: Find and be dazzled by local products or services Visit competing companies and compare prices & service Visit various companies and hear & compare points-of-view Meet prospects face-to-face to build rapport and confidence Collect literature to review and consider for future investments Get a better idea of what is available in a short period of time and under one roof Do you have goals set for success? What is your pre-show Promotion Plan? How will you meet the objectives of those who attend the Expo? Does your booth layout design set you apart from the rest? Do you have a compelling offer or giveaway to attract attendees? Will your support materials motivate and inform attendees? Do you have goals for the staff working your booth? Survival Tips: Expo Display: All the parts to your Expo booth - Velcro, tape, signage, company table cover (a plastic table cloth will be provided if needed) Traffic Builders: Decorations, flowers-plants, small signage, giveaways, candy, raffle box & entry cards, etc. Survival Necessities: Chewing gum and/or breath mints, bottle water, small snacks (pretzels, baby carrots, etc.), cell phone, hand lotion, comfortable shoes, sweater or sweatshirt, business cards & business card holder Office supplies and tools: Note pads, writing utensils, tape, stapler, scissors, calculator, paper clips, rubber bands, zip ties, etc.

6 Where to begin: Your job begins long way before the Expo: Send invitation Tag your advertising your contact list Go to the Expo with a specific goal in mind: Set your goals Inform your team Measure results throughout the Expo Concentrate on the design of your display: Include a demonstration or strong visual Clearly identify the service or product you offer Do not set up barricades between you and attendees Focus on the critical 20%: The 80/20 rule applies to Expos Be kind and informative to all attendees Document conversations Staff your booth with enough of the right people: Friendly, knowledgeable, high energy level Allow for adequate breaks Market, Market, Market: Hand out fliers and sale sheets Hand out brochures to qualified prospects Demonstrate if possible Follow-up within 10 days: Phone Mail Achieving Success at the EXPO: Know why you are participating: To sell what you offer to attendees To sell what you offer to other exhibitors To get leads for your sales force to follow-up To network and troubleshoot with other professionals To meet with existing customers To introduce new products to the market To do market research To conduct business meetings To scope out the competition To gain knowledge To gain media exposure To build rapport with customers and prospects To increase your name awareness To penetrate new markets in a brief amount of time To present your business in a new perspective To make friends To separate yourself from your competitors Handy tips to remember: Be sure to dress comfortably enough to eliminate stress on your knees and feet while still maintaining a professional appearance. Keep your booth area presentable, the real estate you have invested in this event could be the only impression the attendees may have of your company. Keep your team aware of the goal of the event and what the expected outcome is to be. Make sure to meet each sponsor and exhibitor at the event. Some of the best alliances and future customers could be co-exhibitors and sponsors. Know your products and services. If you are not sure of the answer, get their contact information and let them know you will get back with them after the event. This also gives you a reason to make another contact and continue the relationship you have started. Do not leave your booth unattended. Products tend to walk away while you are gone and you could be missing a potential customer. Be sure to bring adequate literature and giveaways to sustain the event. Track you leads! Collect business cards or encourage attendees to enter your drawing. If there is a special aspect of the attendee to remember, write the information on the back of their entry card. Follow up! Be sure to send a thank you to each visitor to your booth with any information they have requested. Let them know you are open to future conversations and relationships. NOTES:
