1 CAREER CLUSTER Hospitality and Tourism INSTRUCTIONAL AREA Selling/Information Technology Application HOSPITALITY SERVICES TEAM DECISION MAKING EVENT PARTICIPANT INSTRUCTIONS The event will be presented to you through your reading of the General Performance Indicators, Specific Performance Indicators and Case Study Situation. You will have up to 30 minutes to review this information and prepare your presentation. You may make notes to use during your presentation. You will have up to 10 minutes to make your presentation to the judge (you may have more than one judge), followed by up to 5 minutes to answer the judge s questions. All members of the team must participate in the presentation, as well as answer the questions. Turn in all of your notes and event materials when you have completed the event. 2 CASE STUDY SITUATION You are to assume the roles of the Marketing Directors for a large chain hotel located in a downtown area. Your hotel is a full-service hotel with several amenities: conference center, pool, fitness center, spa, meeting rooms, room service, laundry, full-service restaurant, complimentary transportation and shuttle service, concierge, ballrooms, 33,000 square feet of event space (up to 1,500 guests) for weddings/special events, etc. You have approximately 729 guest rooms with meeting space to accommodate small to mid-sized conventions and business meetings. Your hotel has received the TripAdvisor Certificate of Excellence Award based on the hotel s on-line reviews. You and your partner have been asked by the Vice President of Sales (judge) to create a renewed focus on your properties website. In 2014, your marketer s main focus was on hotel bookings on-line due to a need to save on expenses and meet the needs of a growing generation of technology savvy consumers. Along with these industry trends, your company has decided to focus their sales efforts to meet the needs of the consumer. Your property currently has only 53% of consumers making their reservations on-line. More specifically, you will be finding ways to sell customers on the benefits of direct bookings through the hotel properties website. Not only does this increase revenue and sales, but it cuts back on labor cost to the property. You will need to complete the following tasks and present them to the Vice President of Sales (judge) for approval: List all ways guests currently could make a lodging reservation. Explain the process of booking on-line and how you will communicate this with customers who do not currently book on-line. Identify features and benefits to guests and the hotel for on-line bookings with a central reservation system. Develop a promotional/sales incentive plan incorporating technology to motivate customers to book on-line. Develop a list of 3-5 incentives you could offer guests when they use on-line booking. You will present your proposed plan to the Vice President of Sales (judge) in a meeting to take place in the Vice President of Sales (judge s) office. The Vice President of Sales (judge) will begin the meeting by greeting you and asking to hear your ideas. After you have gone through your proposal and have answered the Vice President of Sales (judge s) questions, the Vice President of Sales (judge) will conclude the meeting by thanking you for your work. 2

4 After the Marketing Directors (participant team) has presented their proposal, you are to ask the following questions of each participant team: 1. Why do you feel customers will be motivated to make a reservation on-line? Possible answers: Students will come up with 3-5 incentives that should motivate the group of consumers that are not currently booking on-line. Customers will also be motivated to participate in something that is easy to understand and use. Students should reference their incentive plan and what the ROI is on their plan. 2. Why is on-line booking becoming so popular? Possible answers: Each generation embraces technology a little more. Most of the internet bookings were said to be done from a mobile device such as a smart phone. This type of booking can be done anywhere and anytime. Over 50% of the population has a smart phone and the number keeps increasing. Showing and explaining the benefits of doing this anywhere and anytime could be a great plus to increasing this service. 3. How will you incorporate technology into your plan? Possible answers: Since the hotel won a TripAdvisor award, that would be a great idea to market and promote the sales incentives through on-line sites. Having incentives that get consumers to your web page would also be a big step in capturing the market that currently does not use on-line booking. Once the Marketing Directors (participant team) has answered your questions, you will conclude the meeting by thanking them for their work. You are not to make any comments after the event is over except to thank the participants. 4

5 JUDGING THE PRESENTATION Team members, assuming the role of a management team for the business represented, will analyze a case situation related to the chosen occupational area. The team will make decisions regarding the situation, and then make an oral presentation to the judge. The role of the judge is that of an executive for the business. Participants will be evaluated according to the Evaluation Form. Please place the name and identification number label on the Scantron sheet (unless it has already been done for you). Participants will have a 30-minute preparation period and may make notes to use during the role-play. During the first 10 minutes of the presentation (after introductions), the team will present their analysis, their decisions and the rationale behind the decisions. Allow the teams to complete this portion without interruption, unless you are asked to respond. During the next 5 minutes, you may ask questions of the team to determine their understanding of the situation presented. Each member of each team should respond to at least one question. To ensure fairness, you must ask each team the same questions. After asking the standard questions, you may ask other questions for clarification specific to the current team. After the questioning period, please thank the team and state that they will be notified of your decision soon. Then complete the Evaluation Form, making sure to record a score for all categories. The maximum score for the evaluation is 100 points. The presentation will be weighted at twice (2 times) the value of the exam scores. A maximum score of Exceeds Expectations in any category means that, in your opinion, the information is presented effectively and creatively; nothing more could be expected of an employee. A Meets Expectations rating means that the information is present well. Though there may be a few minor problems or omissions, they are not significant. Creativity, however, is not shown to any great degree. A combined total score of 70 or better on the written and presentation sections will earn the participant team DECA s Certificate of Excellence at the international conference. A Below Expectations score means that the information presented does not meet minimum standards of acceptability. A Little/No Value score means either that some major flaw has been noted that damages the effectiveness of the presentation (this may be a major omission, a serious misstatement or any other major flaw) or that the information presented is of no value (does not help the presentation at all). We hope you are impressed by the quality of the work of these potential managers. If you have any suggestions for improving the event, please mention them to your series director.
