1 Hi, we re glad you re here. Along with the Setup Checklist in your site, this SETUP CHECKLIST COMPANION will assist you with introduction and initial setup.

2 Setup Checklist Essentials Located in your core software, the setup checklist is a setup assistant. It will walk you through a list of tasks that will need to be completed in order to start running your site for your business. You will be directed to your Setup Checklist upon logging into your MINDBODY site. Your checklist has interactive icons. Learn more about them below. Click this button to begin a walkthrough for the task at hand. Track your progress by checking a box when a task is complete. Want more information? Click this icon to read more on the topic. Click Play to watch a video tutorial. The Your Progress chart helps give you an idea of where you are in the setup process. Enter the date you want to finish setup in your site here to help keep you on track. 3 Getting Started Log into your site Set your password recovery questions Your MINDBODY site is ready . The down arrow menu under Owner (Located next to Log out) > My Account Info. A link to your site is located in the welcome . Tip: This is important to beginning the startup process. Be sure to follow the instructions provided. Use this page to update your password and set your security questions. Pro tip! Be sure to complete this step as soon as possible. Doing so will allow you to easily log in and out of your MINDBODY site and, also, keep your information secure. for Setup up password recovery questions. Add details about your business Home > Manager Tools > Settings > Business Information The page is divided up into five sections: Business Location: Enter your business address and time zone. MINDBODY app: the MINDBODY app is a free mobile app that allows clients to easily sign up and pay for classes using their mobile devices. Contact Information: Enter your contact details for all situations. Logos: These logos will appear on your MIND- BODY site, MINDBODY apps, and gift cards. Add your logo to promote your brand. Tax Rates: Enter the tax rates for each of your locations. If you are making your services available online, remember to enter an online store tax rate, as well. My Notes:

4 Set up staff Add your staff Create staff logins Set up class and hourly payrates Home > Staff > Add Staff Home > Staff > Staff member > Enter log in and password > Save Home > Staff > Staff Member > Class and Hourly Payrates Adding information about your staff into your MINDBODY site is an important step. Use this section to enter in your staff details. For more information go to: for Adding staff. Repeat steps until all staff members have log in credentials. for Setting up staff logins. If you have staff whose pay rates are by each class they teach or by number of students in each class, this is the section you want to set up for each staff member. Pro tip! To change the names of the payrates click the link in the upper right hand corner called Edit pay rate descriptions, then click into the text boxes of the description column to edit. Save your changes by selecting Update pay rate descriptions. Note: At the very bottom of the page is a section for setting up hourly pay rates. for Setting class and hourly pay rates. Review permission groups *Available to subscription levels Pro and above. Home > Manager Tools > Staff Permissions Use this page to customize varying levels of access to the software for your staff. 5 Set up Classes the first step is to create service categories We strongly suggest you group your classes together based on price. If you have a class that is a different price point, it should go in a new, separate Service Category. For example: You offer three classes. The drop-in fee for each class is $15, $25 and $25, respectively. You will group Class Two and Class Three together. Class One will go in a separate service category. To personalize your service categories, select the rename link, type in the new category name and hit Enter. 6 Add your Classes continued Add classes Schedule your classes Classes > +Add a Class Classes > +Add a Schedule After you ve entered your service categories, you ll want to enter in your classes names. Find the correct service category and +Add your class under it. for Classes: Add a new class. Now that you have created your classes, you are ready to schedule them. Click the Schedule it! link to the right of the class that you want to schedule first. This will bring you to the Manage Schedules screen. Click the Schedule this class button at the top right. Note: If you have already created other schedules for this class, you ll need to click the # classes scheduled link (e.g., 2 classes scheduled), and then the + Add a schedule link at the bottom left. for Classes: Scheduling classes. 7 Set up Appointments the first step is to create service categories We recommend grouping your services based on similar types of services. As opposed to classes, appointments should be organized how you want clients to see your services grouped together. Let s say you offer Massage, Haircuts and Waxing. Each should be their own Service Category. Within each service category is where you will create the specfic appointment type. 8 Add Appoinments continued Add your appointment types Appointment types are the names of the appointments your clients can book. For example, if you made Facials a service category, then one of the appointment types within that service category could be 60-minute Signature Facial. Set up staff pay rates Appointments > Service category > Add an Appointment type Home > Services & Pricing > Appointments > Assign Staff for Appointments: setup, assign availability and pricing. Use this page to tell the system which staff can perform which service, and set up the system to track their pay as a flat rate or percentage rate per appointment. for How to set up appointment pay rates. Add staff schedules Home > Staff > Staff member> Appointment availability This page is where you can enter staff schedules and availability. for Appointments: Scheduling staff appointment availability. 9 Set up Enrollments Add an enrollment service category Enrollments > +Add new a Service Category An enrollment is when a staff member offers a service to multiple clients at once. Enrollments differ from classes in that clients are encouraged to sign up for all instances of the enrollment, which usually has a defined start and end date. Some examples of enrollments are weekend workshops, services that students attend for an entire semester, and teacher training programs. Consider the uniqueness of the service and the price when you create your enrollment service categories. for Enrollments: Adding enrollment (workshop) service categories. Add and schedule an enrollment Add pricing My Notes: Find correct service category > + Add an enrollment > + Add a Schedule Enrollments > Find the correct enrollment name > +Add Pricing Follow this workflow to indicate the name of your enrollment/workshop, the instructor, and when it occurs on the schedule. for Enrollments: How to set up enrollments. 10 Add an arrival service category Set up Arrivals Arrivals are common for gyms or other businesses where clients pay for access to the facility/equipment, but are not being supervised by an instructor/practitioner Arrivals Pro Tip! Arrivals categories can also be used to set up memberships that pay for a variety of services offered at a facility. for Adding arrival service categories. Add pricing Once you have added an arrivals service category you are ready to set up pricing options to pay for visits. Expand the service category section and then, click the link to add a pricing option. You can choose a single session, multiple sessions, unlimited sessions, or a contract/autopay. 11 Set up Additional Pricing Add retail products This page is where you can add your information, pricing, and inventory for your retail items. Set up gift cards Home >Products > Add a product Home > Manager Tools > Gift Cards for Adding Products (video tutorial). Add gift cards to your system here. These can be sold in the store or online. for Prepaid gift cards. Create packages My Notes: Home > Manager tools > Contracts & Packages Packages allow you to bundle a set of services and/or products together. For example, you could have a Spa Day package that includes a facial, a massage, and a bathrobe to take home. for Creating packages (video tutorial).
