We place a strong focus on local, sustainable and vegetarian food in our conference meals and you will have the opportunity to include one relevant food product into the menu. Table top signage will be provided on buffet tables and you ll have the opportunity to distribute related recipe cards. Requested product placement is subject to advance approval and may incur additional hotel service charges. Demonstration can be up to 30 minutes in length and scheduled between 11:30 and 2:30 on Thursday, June 7 and Friday, June 8. NEW Focus Group (maximum 2 per day) Do you want to know dietitians opinions on a new campaign, business concept or product? We re providing you with a unique opportunity to gather thought leaders for your own focus group or private dietitians discussion group during the conference. We will provide a dedicated room for up to one hour for a maximum of people and will send your invitation to dietitians on your behalf. Optional Social Events We can work with you to host an evening or post conference social event for dietitians in conjunction with a Dietitians of Canada Network, schedule permitting. 9 POLICIES AND GUIDELINES NEXT STEPS Following your verbal/ commitment, we ask you to submit your Booth and Selection Sheets, which will be used for invoicing purposes and to acknowledge you on our website. Between April 2 and 13, 2018 you will receive a Confirmation Package, including an agreement, along with details on shipping, storage and drayage services, and food and beverage guidelines from our conference facilities. An evaluation will be sent to you post conference as part of our continuous improvement process. COMPLIMENTARY REGISTRATIONS AND SHOWCASE PASSES The complimentary registration(s) you receive as a benefit should be submitted no later than April 15, as registration to the conference is limited. A customized link will be provided early ENVIRONMENTAL GUIDELINES Sustainability is one of DC s strategic initiatives. In keeping with this initiative, we ask you to support us by keeping the points below in mind. Minimize the amount of food and package waste generated by conference activities. Please keep shipping and packaging in mind as you plan your displays. Minimize the use of disposable, non-recyclable/reusable, and non-biodegradable materials. For sponsored meals, we will be asking the venue catering to give preference to locally sourced food at each meal, when available, and to feature seasonally appropriate foods from the region. AFFILIATED FUNCTIONS Companies must submit a written request for any nonofficial DC function that they wish to hold in conjunction with DC conference activities between June 5 and 10. SHARING EXHIBIT SPACE Exhibitors are not permitted to share their display space, nor display the products or services of other companies. Any unauthorized company will be requested to discontinue these exhibiting activities. SHIPPING FOOD PRODUCT FOR EXHIBITOR PROFILED MEALS Incorporating food product into a meal must be prearranged with Dietitians of Canada and are subject to Dietitians of Canada s review and approval of your specific product request. Limited to one item and subject to hotel service charges. Contact Georgette Harris at to confirm details and to make the necessary arrangements. Westin Food Service Guidelines will be available upon request from Dietitians of Canada and will be included in your confirmation package. STORAGE, DRAYAGE & HANDLING SERVICE Drayage and handling of exhibitor material is not included in Dietitians of Canada exhibitor fees. Exhibitors may contract the services of a drayage company to handle their conference materials and product samples. An official supplier will be appointed and details included in your Confirmation Package. Exhibitors who are shipping materials from the US to Canada should receive customs clearance advice from a customs broker prior to making shipment. Neither Dietitians of Canada nor its contracted hotels or facilities will accept responsibility for or receive pre-conference shipments on behalf of an exhibitor. It is essential that arrangements be made in advance with a drayage service. EXHIBITOR SHOWCASE DISPLAY/EXHIBIT AREA Exhibit space assignments in the Exhibitor Showcase will be made by Dietitians of Canada and shared with participating exhibitors before the conference. Exhibitors over $6,900 will be given a 6 long x 2 deep draped table in the Exhibitor Showcase in a space that is 10 wide x 10 deep. Exhibitors at $3,600 will be provided with a 6 long x 2 deep draped table in a 6 x 8 space, where table-top displays are preferred. Floor displays are permitted if they fit within your exhibit space. The area below the tabletop may be utilized for storage. Only the area inside the allocated draped space is available for exhibitor use. Forms for electrical and internet service will be provided with your Confirmation Package. 8

10 POLICIES AND GUIDELINES - Continued EXHIBITOR SHOWCASE INSTALLATION, EXHIBIT & DISMANTLE SCHEDULE NEW THIS YEAR Exhibitors can select which day to participate in the Exhibitor Showcase; either Thursday, June 7 or Friday June 8 from 11:30 am 2:30 pm. Installation of displays are the evening prior to your selected Showcase day from 7:00 10:00 pm and 8:30 11:30 am before the Showcase opens. No booth construction/assembly is permitted in the morning due to noise restrictions. All displays/exhibits must remain intact until the specified time outlined in your Confirmation Package. All material must be removed from the Showcase area by 5:00 pm on the relevant day. Exhibitors are responsible for their own shipping and courier arrangements. We ask that you consider the Environmental Guidelines as you prepare your shipments. Materials that will be picked up by your courier at conference closing should be clearly labeled, with completed waybills. Neither Dietitians of Canada nor its contracted hotels or facilities will be responsible for shipping or storing material left behind after the end of a function. WIFI IN EXHIBITOR SHOWCASE Wi-Fi is available; however, exhibitors who require reliable streaming at their booth should consider a hard line. Details for electrical and internet will be available in your final Confirmation Package. RESTRICTIONS Any relationship with Dietitians of Canada does not constitute endorsement of goods and/or services. Exhibitors agree not to imply in any way to a third party that their relationship constitutes endorsement of products or services or that they are a Dietitians of Canada partner. Neither the Dietitians of Canada name nor logo is to be used or reproduced without written permission. Some opportunities may have restrictions.
