1 CampaignShops Auctions CampaignShops can run your auctions for you offering you another avenue for fundraising and for interacting with your members or supporters. You can use it to auction products, memorabilia, services, tickets, experiences and more. A CampaignShops Auction is similar to any other product in your store and is presented in a consistent way with all of your other products - whether supplied by Firefox or yourself - and with donations and events. The difference is that your members or supporters can bid on a product rather than simply adding it to their shopping cart. Your store has one shopping cart, one checkout and one payment no matter where the products come from and that includes auctions. In addition to standard auctions, CampaignShops can also support auctions that continue to conclusion at a live event. In other words, the auction does not complete online in the store, but finishes with live bidding at an event. In this case, an item is not actually won in the web store and hence is not bought through the store. The online part of the auction is simply the first part of a two part process with the winning bid from the online auction carrying over to the live event auction. If you are a user of a donor management system such as DonorPerfect Online, your auction integrates with the DonorPerfect system. Each auction can be linked individually to appropriate ledgers, campaigns and solicitations and CampaignShops will update DonorPerfect creating new donors if they do not exist, and creating gift records with the auction details when an auction completes. Managing Auctions The CampaignShops secure Administration Module is where you can create your auctions, manage them and see your auction reports. The first step with any auction is to create it. There are a number of basic settings required for any auction that are common to them all and are very similar to those for any other product of yours that you add to the store for sale. In the Admin Module you will see the options for creating and managing auctions on the left column of the page. Create & Update allows you to create the basic auction settings and manage the auctions themselves. You can edit the auction terms and conditions that must be agreed to before a bid or create your own. The web auctions report will show the status of all auctions and will also allow you to remove a winning bidder if necessary. You can keep track of the shipment of auction items which will automatically send delivery s to the winning bidders. If you are running a live auction, you can see the report of winning bidders in the online phase. Once your auction is set up, everything is managed automatically by CampaignShops and the store will send you s about auction bids and the winning bidder so that you do not have to keep checking online.

2 Basic Settings As with any other product that ships to a member or supporter, CampaignShops needs to know how you will ship it so that when a winning bidder checks out, the appropriate shipping charges are applied. In addition, the store needs to know if you have to charge any sales tax and if so, how much. It also requires to know where the Purchase Order that is generated for the won item should be sent and where notification s on bids should be sent. CampaignShops has a very wide range of shipping options available and you can enable any of them for your auctions. When you create an auction, you can allocate the appropriate shipping option to the item being auctioned or you can override these options and set a specific shipping cost just for that one product. In addition, CampaignShops allows you to specify any additional charges for specific shipping destinations such as Alaska and Hawaii or for international shipments and you can add shipping and handling charges too. Terms and Conditions CampaignShops comes with a predefined set of auction terms and conditions which cover most aspects of running the auction. These terms and conditions must be agreed to by every bidder before their bid is accepted by checking the box next to their bid. You can change these terms and conditions to match what you need or can create an entirely new set to suit your purpose. Most important is the fact that if you win the auction you must pay for the product. Won auction items are placed in the shopping cart and the normal checkout process applies. However, a winning bidder cannot remove the item from the cart and cannot change the quantity in the cart. If you need to remove a bid for failure to pay, then you can do so in the CampaignShops admin module. When you do this, the item is removed from the offending bidders shopping cart, added to the shopping cart of the next highest bidder and they are automatically ed to tell them that they have won the item.

3 Creating, Updating and Deleting Auctions: Creating your auction is a simple form filling task. As well as a name for the auction item and a comprehensive multi-media description, you set the starting price and the bid increments you want. You pick a time for the auction to run (for example 5 days) and how the won item will ship. If you want to set the auction to expire at a specific date and time rather than run for a specified number of days, you can amend that once your auction is created. You can set whether the auction is the first part of an auction that will end with a live auction at a live event. In this case the item is not actually won in the CampaignShops store. The winning bidder online is carried over to the live auction that takes place at a subsequent live event. You can add one or more photographs or pictures of the item you are auctioning and these will have thumbnails generated automatically and will have a mouseover zoom when displayed in the CampaignShops store on the auction page. Your auction item description can have text, graphics, and videos added through a multi-media What You See Is What You Get (WYSIWYG) editing tool. All auctions have their own category in the CampaignShops store and live and open auctions will automatically display on the web store home page to draw your members and supporters in.

4 DonorPerfect Integration: If you are a DonorPerfect Online user, you can map your auction to the ledgers, campaigns and solicitations in your DonorPerfect system. Once your CampaignShops store is connected to DonorPerfect, it will display the current settings from DonorPerfect as you are creating or amending the auction and you can select those that apply. When a winning bidder pays for the item in the web store after the auction ends, CampaignShops will send transaction details to DonorPerfect and create new donors if they do not exist. CampaignShops will you when new donors are created in DonorPerfect with all of the details and will also you when it created new gift records. Auctions in Your Store Auctions appear in your CampaignShops store just as any other product does and they are highlighted on the web store home page. However, there are some differences! There is no add to cart button for an auction but there is a countdown timer to the end of the auction. Instead of the usual price display, CampaignShops shows the latest high bid and displays a list of bids made. It also allows a bidder to make a bid either at the next bid increment or higher. If they bid higher, they are defining a maximum bid that they will make and CampaignShops will automatically bid up to that maximum automatically on behalf of the bidder as bids by other bidders are made. If a bidder is outbid, they are immediately informed by that their bid has been beaten giving them the opportunity to bid again. In addition, the auction page in the store automatically refreshes every 30 seconds helping bidders to see the action. You can optionally have CampaignShops send you an when bids and outbids happen and can also have an sent to you when the auction is finally won. Bidders automatically receive s as the auction progresses. Bidders who are signed in the the CampaignShops store will have their bids highlighted and will know where they stand. Other bidders are only referred to by their first names. If a potential bidder is not signed in to the web store, they are invited to sign in to bid. Only members or supporters who have an account in the web store can bid on auctions. In addition, they have to tick a checkbox to agree to the auction terms and conditions every time they bid.

5 Bidding on a CampaignShops auction is much the same as any other auction site such as ebay. A registered member or supporter can bid at any time while the auction is live. They will see their bids reflected in the bid list and their bids will show as My Bid to make it easy to see. The web store will keep the latest high bid and bidder list updated in realtime and will show the auction countdown timer as well as what the bid increment is and the next lowest bid that can be made. CampaignShops supports Maximum Bidding. In other words, a bidder can simply bid the next increment shown in the store or can pick a higher value to bid. If they pick a higher value and this higher value is greater than that required to become the leading bidder, this is their maximum bid and the CampaignShops store will bid automatically for them up to their maximum using the defined bid increments as other bids are made. If a bid is made by another bidder, the web store will only bid a sufficient amount to outbid them until the maximum defined is overtaken by another bidder. This automatic bidding method helps make bidding easier for members and supporters and helps make the auction more interactive. If a bidder has made a maximum bid and they are signed in to the web store, the auction display will remind them that they have and what the maximum they bid was. All auctions can be shared on Facebook and Twitter and if you have a CampaignShops Facebook store, your auctions will be shown there too. Social media sharing is a standard feature of CampaignShops and a Facebook version of the store is an option. All auctions take place on your mail web site and when they show on Facebook, they have a link to redirect to your web store for bidding. When auctions complete in the store, the winning bidder is highlighted, notified by with an optional to your organisation and the won item is added to the winning bidders shopping cart. The reports in the admin module are updated.

6 The auction is marked as over in the web store when the timer expires. CampaignShops will not remove the auction from the store or disable it when it is over. This allows the winning bid to be displayed and the winning bidder is marked with a Winning Bid badge. You can remove the auction from the store by deleting it in Manage My Auctions (it will be permanently deleted) or you can use the product controls red and green traffic lights to turn the auction off. It will still be in the store and can be seen from the admin module but will not display in the public view of the store. When the winning bidder has checked out in the CampaignShops store and the item has been paid for and payment confirmed, an Purchase Order is sent to your organisation with all of the details to deliver the won item and an order confirmation is sent to the winning bidder. Auction s CampaignShops will send s to bidders to tell them they have been outbid or have won an item. Samples are shown below. If the item is a Live Auction, when the auction closes online, the online winner will receive an telling then that they are the current high bidder as the online portion of the auction closes and they will be the high bidder when the live part of the auction starts at the event.

7 sent for winning online bid in a Live Auction event. Auction Reports There are three auction reports in the CampaignShops admin module. The first shows the auctions and their status, the second shows the shipping status of an auction item and the third shows the results of an auction tagged as a Live Auction where the online auction is only the first part with the conclusion at a live event. The main auction report shows each of the auctions and their status - whether they are open and being bid on, whether they have completed with the winning bidder having the item placed in their shopping cart or whether the winning bidder has checked out and paid for the auction item. If the auction item is in a winning bidder s shopping cart, there will be a further option available to view the bids and see who has won. The main purpose of this is to allow you to remove winning bidders. You may want to do this because the winning bidder has not paid on time (or at all) or you know that the winning bid will not be paid for or the winner has contacted you to tell you that they have to withdraw. When a bid is own, the item is put into the winning bidders shopping cart and they cannot remove it. It will be there until they check out and buy it. The auction report gives the option to remove the bid which will, in turn, remove the item from the bidder s shopping cart. As a consequence of removing the winning bidder, the next highest bidder becomes the winning bidder. The auction item will be added to their shopping cart and they will be advised by .

8 The second report allows shipping information to be seen and updated. Each completed auction order will appear in this report and its shipping status will be displayed. Clicking the plus sign next to the auction order will display the shipping sheet which allows you to tell the store that an order has shipped and to enter a tracking number if appropriate. You can also tick a checkbox which will tell the store to send an to the winner with all of the shipping information. You can set the status of the order and you can also choose which shipping carrier was used (if you chose FedEx for example and entered the FedEx tracking number, the sent to the winning bidder would have a clickable link to the FedEx tracking information on the FedEx web site). You can also print out a packing slip to be sent with the order. If you want to see the original order that the web store processed, you can click on the name of the customer and a popup window will open to show it. Live Auction Reports If any auction has been set to be part of a Live Auction Event where the online part of the auction is the first part and is carried over to a subsequent live event, you can see a report of the status of the first phase auctions with their results. The report will show the auction item with a zoomable photograph, who the high bidder was, what their high bid was when the online auction closed and if they set a a maximum bid that was not used. You can use this information as the starting point for live bids at a live auction. Either you as a proxy or an appointed proxy can then bid on behalf of the member or supporter up to the maximum that the report shows as being their maximum bid online if it exists. If the member or supporter is present at the live event, then they can take over the bidding knowing that they are starting as the high bidder. Revenue Reports Standard revenue reports in the CampaignShops store that show product sales and the revenue due to you incorporate auctions as well as Firefox products and your own products, events, and donations
