4 Background NHS Supply Chain provides customer-focused healthcare products and supply chain services to the UK's National Health Service (NHS), enabling trusts, hospitals and other healthcare organisations to focus on patient care. Our aim is to provide more than 1 billion savings to the NHS over the next 10 years so that resources are released for NHS trusts and healthcare organisations to focus on quality frontline patient care, manage costs and achieve sustainable value. We provide end-to-end supply chain services incorporating procurement, logistics, e-commerce, and customer and supplier support. We manage the procurement and delivery of 620,000 products for more than 600 healthcare organisations. NHS Supply Chain is committed to supporting innovation in everything we do. We strive to do this by working alongside clinicians to understand their demand for innovation, and matching demand with availability from suppliers. How do we innovate? Innovation is at the forefront of NHS Supply Chain s procurement process. This process is supported by our Task Force programme which exists to obtain clinical product feedback throughout our procurement process. Through the programme we can also ensure that any new/innovative products to market can be assessed as to their suitability and if appropriate can provide a quicker route to supply on a pilot contract. This process also helps us to identify new ways of anticipating product, procurement and logistics needs within the marketplace. How we can assist you to bring innovation to the market place? We encourage you to tell us about new or innovative products once they are ready for market so that we evaluate them and if deemed innovative, offer them through the Supply Chain. We now have a formalised process to manage supplier innovation and offer the chance for a product's innovation level to be assessed and considered for a pilot contract. 5 Introducing the Innovation Scorecard The Scorecard aims to provide a central point for suppliers wishing to progress their innovative products into the NHS. The Innovation Scorecard is designed for products beyond prototype stage and must have CE Marking in order to be considered for further assessment, and evidence of clinical trial if appropriate. The Innovation Scorecard consists of a number of questions which identify the Concept, Value and Capability of a product. Once a product has been submitted, NHS Supply Chain aim to have carried out an initial assessment within 30 working days. Product submission suitability NHS Supply Chain cannot progress with any product which has not gained CE Marking. If a product is still in the realisation or prototype stage we recommend speaking to Medilink. It is recommended that a supplier has carried out Clinical Trials, where applicable and can provide evidence of this on submission. NHS Supply Chain do not provide funding for Clinical Trials or carry out trials on behalf of the supplier. The supplier should also provide evidence of any savings attributed to this innovation, which should wherever possible be independently verified by a Health Economics organisation. Deeper due diligence Where a product is deemed innovative and suitable for NHS Supply Chain consideration, a submission is entered for Deeper Due Diligence. At this time a sample may be requested for presentation to our Clinical Consultation Group where members will assess the product from a practitioner perspective. This is not the equivalent of a clinical trial. Outcomes If a product is successful through all stages of the innovation process, a buyer from NHS Supply Chain will begin discussions of developing a pilot contract. The pilot contract will adhere to the Terms and Conditions of an NHS Supply Chain contract. The uptake of an innovative product is measured during this time. Suppliers will be given support from the Marketing and Sales team through our New Product Showcase. Innovation Scorecard: Guidance Notes (version 2.1) 5

6 Background Top tips Make a note of your user name and password for future reference. Keep your answers brief and to the point. Include the key points which you want to portray about your product. If possible, upload a picture for reference as this enables the Innovation Team to visualise the product and relate your answers to the product. Make sure you have documents available that you may need to upload to support your answers. Include any certificates or specifications that will support your answers. If you want to prepare your answers, a copy of the questions can be obtained from the Innovation Team. innovation@supplychain.nhs.uk If you submit your innovation to NHS Supply Chain for assessment without CE Marking, it may be rejected. 7 Getting started To start working with the Innovation Scorecard: 1 On the Suppliers home page, in the Innovation panel, click More. The Innovation page opens, which contains a lot of information about innovation. 2 Click Assess your product below the Spot light on Innovation section. The Innovation scorecard home page opens. 8 Getting started Creating an account If you have a supplier account, you can use it to log in to the Innovation Scorecard. If you do not already have a suitable account, you must create one. To create an account: 1 Go to the Innovation Scorecard homepage. 2 Click New users, please click here to create a new account. The registration form opens. 3 Type a Username that you will use to log on to the Innovation Scorecard. After a few moments, a message is displayed indicating whether your chosen username is available or is already in use. 4 Complete the remainder of your details. 5 Click Complete registration. You are automatically logged in to the Innovation Scorecard using the account you have just created. Innovation Scorecard: Guidance Notes (version 2.1) 8

9 Getting started Logging in You must log-in to Innovation Scorecard before you can start to use it. To log in: 1 Go to the Innovation Scorecard homepage. 2 Select Existing users, please click here to log in to your account. 3 Type your Username and Password, and then click Log in. The main Innovation Scorecard page opens (My innovations). You have two options. You can: Create new submission see Creating a submission on page 11 for more information. 10 Getting started Editing registration information You can make changes to the registration information you provided when you created an account. To edit registration information: 1 Log in to Innovation Scorecard see Logging in on page 9 for instructions; 2 Click Edit registration information. A page opens that contains all the information you entered when you created the account (see 8 on page 8 for an example). 3 Make any necessary changes. 4 Click Save. Logging Out When you have finished using the Innovation Scorecard, you must log out by clicking the Sign Out option in the top left corner of the web page: Innovation Scorecard: Guidance Notes (version 2.1) 10

11 Creating a submission The submission is created using two pages. The first page contains a pre-screening question and the second enables you to provide details of your innovation. Pre-screening question 1 Answer the question Is your product ready for market? If you select No, a message is displayed giving you alternative options. You cannot complete any more details. If you select Yes, another box appears. 2 Type the name of your innovation in the box. 3 Click Next to move to the next page. Providing details of your innovation The second page of the submission form enables you to record more details for your innovation. You can save the form at any time and return to it to complete missing details later. Uploading attachments For some questions, you need to upload an attachment. To add an attachment: 1 Click Add attachment. Innovation Scorecard: Guidance Notes (version 2.1) 11

12 Creating a submission A new box appears. 2 Click Browse and locate the file you want to upload. When you save the form, details of the attachment are displayed, with options to Download or Delete it as links. If you click Download, you are given the option of opening the file or of saving it. If you click Delete, you are asked to confirm that you want to delete the file. To upload another attachment, click Add attachment again. Editing details of an innovation Saved innovations are listed on the My innovations page. To edit details of an innovation: 1 Click the Edit icon ( ) in the Options column. The page opens showing existing information. 2 Make any necessary changes, including adding missing information. 3 Click Save. Submitting details of an innovation Innovation details are submitted from the My innovations page. To submit an innovation: 1 Click either Submit now or the Submit icon ( ) in the Options column. A message appears asking you to confirm that you want to submit this innovation. Innovation Scorecard: Guidance Notes (version 2.1) 12

13 Creating a submission You cannot change or delete innovation details after they have been submitted. 2 Click OK. The details you have entered for the innovation are checked. A message lists any missing information the innovation cannot be submitted until all information has been entered. In this case, edit the details and then try to submit it again. Successful submission The details for the innovation in the My innovations list change: The date and time that the innovation was submitted are shown. The Edit icon opens details of the innovation but there is no option to save it is view only. The Submit and Delete options are no longer present, and two new options are shown: Click the Download icon ( ) to download a PDF containing the details you have submitted. Click the Download attachments icon ( ) to download all of the attachments submitted to support an innovation. An message is sent to the address associate with the account confirming that a submission has been received. A PDF is attached to the with full details of the submission. 14 Creating a submission Deleting details of an innovation To delete details of an innovation: 1 On the My innovations page, click the Delete icon ( ) in the Options column. A message appears asking you to confirm that you want to delete this submission. 2 Click OK. Innovation Scorecard: Guidance Notes (version 2.1) 14
