2 INTRODUCTION Hello and welcome to the Mackay Moonlight Markets. The Mackay Moonlight Markets are owned and operated by Mackay Netball Association and will be held at the MNA netball courts, 30 Casey Avenue, South Mackay Qld We want to make sure that these markets are a vibrant, boutique trading space for our community and visitors. By being a part of these markets you can: expose your business to over 6,000 people over four markets be a part of a quality boutique market raise the profile of your community group or charity We're looking for stall holders who are: Innovative: consideration is given to the need for variety at the markets and the need to support niche industries Unique: individuality in product Quality: distinguishing characteristics or attributes, design and excellence in craftsmanship Food: prepared, fresh or baked foods Presentation: visual impact of product presentation and proposed stall layout, encouraging a positive image for the stall holder and the markets Well designed stalls and signage will contribute to the look and feel of the market and is considered an important part of your presence at the market. Organic products and those with strong sustainable qualities will be given preference. Community Groups and Charities We welcome charities and community groups to apply for a stall, free of charge, to raise the profile of the group or charity via the sale of quality products with an appropriate theme related to the organisation. Interested parties must; 1. be an incorporated not-for-profit community service organisation, 2. benefit the Mackay community, 3. provide goods or a service that meets the stall holder criteria (as listed above). Market Dates and Times The markets will operate on Saturday evenings from 5.00pm to 9.00pm for the following dates: January Oz Day 21/01/17 April Easter 08/04/17 October Halloween 28/10/17 December Christmas 09/12/17 A Fair Go For All We want to give our stall holders a fair go by making sure we limit the number of repeat or similar product lines similar product lines will be limited to 2 stalls; with the exception of product variance between stalls. This way we keep the markets interesting and varied for market goers and give our stall holders every opportunity to benefit. So if you miss out the first time around you will be advised but don t be discouraged you will simply go onto the waiting list for the next market; and we will endeavor to rotate approved stall holders to give a fair go to all. Stall Holder Application Process Mackay Moonlight Markets Stall Holders Information is available on face book and the web site. Stall Holder Applications close on the Wednesday prior to each market. Applications are assessed against the criteria and approval is at the discretion of Mackay Moonlight Markets Committee. Acceptance of your stall is based on quality, design and diversity. The design of your marquee and stall, signage and lighting will help deliver a better response from the public attending the market. This is a consideration when assessing your application. Include 2 or 3 images of your product, signage and stall. small images (less than 1MB) using your stall 2 P a g e

3 name. We will notify you of your success via or phone. Payment details and an invoice will accompany the successful stall applicants notice. A site map with stall location will also be supplied and be available on face book and the web site. Payment can be made by direct debit. A meeting will be held with all successful stall holders at 1:00pm prior to the market for everyone to meet each other and pre-market issues to be covered. Stall Holder Obligations OR Conditions of Acceptance Stall holders are expected to be courteous to the public, market organisers and other stall holders at all times. Bad behaviour and or bad language will not be tolerated and will result in expulsion from the markets The Mackay Moonlight Market involves many people moving through the space to set up and pack down in a very short period of time, we require everyone to work together to ensure we deliver the very best market possible. Permit conditions will be enforced if need be to maintain a market that is fair and equitable for all involved. Expulsion from the markets will result if the stall holder has behaved or is behaving in a manner likely to cause distress, disturbance, inconvenience, damage or harm to any other person present at the market. Expulsion from the markets will result if the stall holder has provided false and or misleading information. Public Liability Cover Public Liability cover (minimum of $20,000,000) is required for stall holders who sell or provide products that can be eaten, ingested or applied. Copy of your current Certificate must accompany application. Stall holders without Public Liability will be covered under MNA s Public Liability. A fee may apply. Payment Fees are applicable for each market: Single Site - 3m x 3m Site Fee $20.00 Double Site - 3m x 6m Site Fee $30.00 Powered sites some sites available fees apply Water Sites very small number of sites available fees apply For any other fees, please see the Market Coordinator. A receipt will be issued upon payment of fees. Takeaway Food Items The sale of takeaway food products may be allowed at the discretion of Mackay Moonlight Market Committee. If selling food, stall holders must comply with the requirements of the QLD Food Act 2006 and Food Safety Standards Code. A current copy of Food License must be supplied with application. Stall Sites Presentation of your stall is very important. Everything you do in presentation shapes the ambiance and style of the market and will be important in assessing your application. Be creative and funky, the better your stall looks the more attention you will attract! Please give due consideration to your signage, products, marquee and personal lighting. Be creative; bring fairy lights and decorations to make your stall a standout. You must bring your own marquee, trestle table, umbrella or whatever you need to use for set up. No pegs or stakes are allowed into the court surface. Marquees, Umbrellas or other stall structures must be sufficiently weighed down using sufficient water weights or sand bags. The directions of Mackay Moonlight Market Staff and security must be followed at all times. General Marquees must be an approved size (3mx3m, 6mx3m) The Market Coordinator will allocate market stall sites the day before the market day. The Market Coordinator and Management reserve the right to rotate market stall sites. Rotation may be necessary where special facilities such as power/water are required or there are gaps in the standard market layout that need filling. This will be avoided where possible for regular stall holders. 3 P a g e

4 Limited power is available. Requirements must be stated on application (charges apply). The stall holder shall not use the designated site for any purposes outside the scope of the application e.g. fundraising without approval. People under the age of 18 years are not permitted to operate a stall unless accompanied by a supervising adult. Stall Set-up Stall holders must supply all their requirements on the day Vehicles are not permitted to be driven on the netball court surface. Drop off and loading areas are available. Vehicle parking is available in the Leisure Street Council car parks. Stall holders must keep their site clean and free of rubbish. The use of awnings on any marquee is strictly prohibited unless for the purpose of protecting against rain entering the marquee. No goods are to be hung or displayed in or under this area. The use of awnings must not encroach on other stall holders space and must first be approved by the Market Coordinator Load In/Set Up is between 1:00pm and 4:00pm. We suggest getting in early so you can present your stall at its best and be less frazzled with the experience. Trading Hours 5:00pm-9:00pm Pack Up 10:00pm All stalls and vehicles must be packed up and offsite by Midnight. No Exceptions. Weather It's an outdoor market so we're at the mercy of the weather gods. In heavy rain and/or an electrical storm, the market will be cancelled. Stall holders will be notified via or text at the time of the decision. Don't worry; you won t lose your site fee. We'll reimburse you for the full amount should we cancel. Cancellations If for some unforeseen reason, you can't make it to the market - please let us know as early as you can. We won't issue you a refund but appreciate you letting us know. This way we can reallocate your site to someone else, so they'll be happy, and we'll be able to keep the market nice and tidy without any gaps. Power and Lights Your own electrical equipment must be tag and tested by a suitably qualified person. If it is not tagged you cannot use it. Safety in the Workplace Stall holders must not block off pedestrian walkways or disrupt pedestrian traffic. To ensure the safety of the public and stall holders, all goods, signage etc., are to remain within the boundary of the marquee unless otherwise approved. Stall holders must use their best endeavours to ensure the safety of all persons attending the market. Stall holders are responsible for the security of their designated site and the security and safety of any property of Mackay Moonlight Markets in or around their designated site. Stall holders must be neatly attired. Disputes / Complaints Disputes or disagreements should be lodged in writing, along with a $50 Bond to the Market Coordinator. If a stall holder wishes to make a complaint about another stall holder the complaint must be in writing, along with a $50 Bond and include the complainant s name and the nature of the complaint. Non Smoking - The Mackay Netball Courts are a smoke free zone. 4 P a g e

5 MACKAY MOONLIGHT MARKETS TERMS AND CONDITIONS These terms and conditions apply to all stall holders attending Mackay Moonlight Markets and may or may not be reinforced with further terms and conditions for each market. 1. By providing your address you are agreeing to receive information regarding the Market electronically. 2. Stall holders must be aged 18 years and over. 3. Only items approved by Mackay Moonlight Markets are permitted for sale and display. 4. Mackay Moonlight Markets approval is required for the addition of new product lines. 5. Sites are not to be sub-let by stall holders. 6. Joint stall holders are permitted subject to approval by Mackay Moonlight Markets. 7. Public liability cover (minimum of $20,000,000) is required for stall holders who sell or provide products that can be eaten, ingested or applied. A copy of current Insurance Certificate must accompany application. 8. If selling food, stall holders must comply with the requirements of the QLD Food Act 2006 and Food Safety Standards Code. A copy of current Food License must accompany application. 9. For powered sites, leads must be current and tested and tagged by a certified provider. 10. No provision is made for the parking of stall holder vehicles. 11. Stall holders are advised that, prior to any structures being erected, approval is to be granted by Mackay Moonlight Markets. 12. Stall holders must ensure that all stall equipment including structures, umbrellas, clothes racks and stock is adequately secured to prevent injury. 13. Stall holders must confine their goods within the boundaries of their sites and no merchandise is to protrude onto the footways or public areas. 14. Stall holders are to be in attendance at their allocated stall site by 5.00pm on Market days. 15. Vehicles are not permitted to be driven on the netball court surface. Drop off and loading areas are available. 16. Spruiking and amplified noise is not permitted. 17. Stall holders are to make all reasonable endeavours to vacate their site no later than one hour after the official closing time of the Market 18. Sites shall be left clean by stall holders and waste generated from the stall is to be taken by the stall holder. 19. Site fees will not be refunded or transferred if you are unable to attend the Market. 20. If the market is cancelled by Mackay Moonlight Markets, a full refund will be issued to the stall holder applicant. 5 P a g e
