7 Sponsor Session Information To reach an even more targeted audience, sponsors are encouraged to present an educational session at Meeting of the Minds based on sponsorship level. Clients review the titles and descriptions online and select sessions based on their interest in hearing more about your topic, product or service. On average, clients attend each 60 minute session. Note: We do ask that sessions maintain a balance between general topic information and product/service specifics as our attendees do not respond well to sales pitches. Co-presentations with clients and client case studies are particularly well-received. Rules & Guidelines Certain guidelines have been established for the Business Expo to help ensure that each Meeting of the Minds sponsor and exhibitor has an equitable experience and the opportunity for maximum promotional exposure. Before planning for the exposition, please review the following rules and guidelines carefully. Each Bronze Sponsor and Standard Exhibitor is limited to one 10' x 10' booth space. Gold, Silver Sponsors and Premium Exhibitors are limited to one 10' x 20' booth space. Assigned booth location is solely at the discretion of ADP. All exhibits must be contained within the applicable exhibit space, based upon sponsorship level. Portable or pop-up booths are allowed. All displays must be designed so that they will not obstruct the clear view of nearby booths. Sponsors/exhibitors may not conduct any demonstration or activity that results in the obstruction of aisles or prevents ready access to neighboring booths. Maximum side height is three feet. Maximum back wall height is eight feet. No hazardous materials may be stored within booth space or placed on display. Absolutely no company identification may be placed outside the area of your specific booth (including walls, ceilings, floor, etc.). All signage must be contained within the booth space. Overstatement in lighting is to be avoided, and attention-getting devices, such as flashing, strobe or rotation lighting, are prohibited. Music and entertainment must be restricted to the booth area and must not interfere with nearby booths. Noise projecting beyond the booth is prohibited. Sponsors/exhibitors are not permitted to plan any activities that conflict with the conference program without the written approval of ADP. Sponsors/exhibitors booth attendee limit is determined by the purchased sponsorship package. All booths must be continually staffed during Business Expo hours. Badge trading is not permitted. Any sponsor/exhibitor failing to occupy contracted space is not released of the obligation for full payment of the rental of such space. Setup of sponsor displays is Sunday, March 27, 2011 from 8:00 a.m. until 2:00 p.m. All booths must be set up by 2:00 p.m. on Sunday, March 27, If exhibit space is not occupied one hour prior to show opening, the space is forfeited without refund and the sponsor agrees to be responsible for decorating expenses incurred to make the space presentable. 8 No booth may be dismantled before 12:30 p.m. on Tuesday, March 29, Exhibit materials not dismantled and removed by 5:00 p.m. on Tuesday, March 29, 2011, will be dismantled and stored by show management and the sponsor agrees to be responsible for payment of charges relating to such labor, handling and storage. The sponsor/exhibitor shall not hold ADP or Maritz Travel liable for any loss, damage, theft or destruction of any sponsor s property; further, the sponsor shall indemnify ADP, Maritz Travel, the Hilton Orlando Bonnet Creek Resort, and the affiliates and subsidiaries of each, and hold them harmless from any complaints, suits or liabilities resulting from negligence of the sponsor in connection with the sponsor s use of its assigned space. Management reserves the right to prohibit and evict sponsors whose presentation is deemed by management to be offensive in any manner. In the event of such prohibition or eviction, management shall not be liable to sponsor for refund of exhibit fees. Sponsors/exhibitors are required to observe all union contracts in effect between ADP, Maritz Travel and the Hilton Orlando Bonnet Creek Resort. Cancellation policy: In the event of cancellations, there will be an administrative charge of 50 percent of the exhibit space fee for all sponsor cancellations received between the time of signing the contract and January 3, No refunds will be given for cancellations received after January 3, All cancellations must be sent in writing to ADP in care of Maritz Travel, via at debbie.dean@maritz.com. Neither ADP, Maritz Travel, nor the Hilton Orlando Bonnet Creek Resort will be held liable for damage or loss of exhibit property resulting from any cause.
