2 General Information 2013 Canmore Mountain Market Page 2 Canmore Business and Tourism has been contracted to run the market on Thursdays starting June12th to October 9 th inclusive. The Market will be located on the roadway in front of the Civic Centre Plaza at th Avenue. It will operate from 10:00am 6:00pm rain or shine and no refunds will be issued due to inclement weather. Public washrooms are available to vendors at the Civic Centre located at th Avenue and directly beside the Tourism building onsite. While the Canmore Mountain Market is dog friendly vendors are not permitted to bring pets of any kind into the Market. The vendors and their staff shall also agree not to smoke whatsoever in the space or booths. Application and Vendor Selection Vendor applications will be accepted between February 17st March 15 th, Applications submitted after this date will be placed on the waitlist, unless the stalls have not been filled. The vendor selection committee will be choosing vendors on the following criteria; Make it, bake it or grow it Quality and uniqueness of product Fair trade items Type of vendor in order to have as many different vendors as possible Organic or natural based products Environmentally conscious vendors Vendors history of compliance with Market rules Locals will be given preference if they meet the above conditions and their product is of equal or greater quality Please provide pictures of your product if available; this is especially important for craft vendors. Each year we have been receiving more and more applications and getting a spot is a competitive process. Please take the time to fill out the application form with as much detail as possible so the committee is able to rank you appropriately. Vendors will be notified if they have been chosen for a full time spot by March 30,2014. We thank all applicants in advance for their applications. Payment and Refunds Payments will only be accepted for those who have been chosen to participate in the Mountain Market. DO NOT SEND CHEQUES WITH THE APPLICATION FORM. Payments can be made by cheque, debit, cash or credit card and submitted no later than May 1 st. All cheques must be made out to the Town of Canmore, th Avenue, Canmore AB T1W 3K1. Refunds for permanent vendors will only be issued if your stall is resold. A $50 administration fee will be deducted from all refunds. Insurance Requirements All vendors are required to hold valid insurance prior to setting up at the Market. A certificate of insurance must be provided prior to your first market date. After the selection process please contact the Mountain Market Coordinator to discuss insurance requirements. Set-Up and Take Down Information Vendors will be assigned to a specific space dependent upon size, electrical necessity and product. Location of the stall may vary on a rare occasion and is at the discretion of the Mountain Market Coordinator. A limited number of trailers will be accepted and no motorized vehicles will be allowed onsite.

3 2013 Canmore Mountain Market Vendors are required to arrive by 9:30am and vehicles unloading and loading products must not block roadways, Page park 3 on private lots or create a hazard. Failure to show up by 10:30am will result in your stall being reassigned and no refund will be issued. Vendors will park their vehicles in the parking lot beside the Union Hall located at th Avenue. Vendors are responsible for providing their own tent, chairs, electricial cords and materials required for their set-up. All tents must have appropriate weights or the tent will not be allowed to be erected. Should vendors require a hand washing station it will be up to the vendor to supply all the necessary equipment. Water hook ups are not available onsite. Vendors must have their tents, and area cleaned by 6:30pm prior to the road opening. Should a vendor sell out prior to 6:00pm they are permitted to leave the market area in a safe and non obstructive manner. Vendor Responsibilities and Conduct Vendors who are unable to attend must notify the Mountain Market Coordinator at least one week in advance. Vendors who fail to notify the Coordinator two weeks in a row will automatically forfeit their spot and it will be reassigned to a new vendor, without a refund. Vendors cannot reassign their stall to another vendor should they be unable to attend, the Mountain Market Coordinator is responsible for reassigning spots during vacancies. Vendors are responsible for maintaining their stall in an attractive, neat manner and cleaning their area at the end of the day. All garbage should be deposited in the Town of Canmore bear bins located at the rear of the Union Hall at th Avenue. The Market will provide bins for recyclable materials, and all vendors are encouraged to dispose of their waste appropriately. All food vendors must have approval from the Alberta Health Authority prior to starting at the Market and all food must be prepared in a commercially approved kitchen. Vendors who are selling by weight must use an approved and certified scale and be able to produce a certificate from Measurement Canada. The certificate of calibration must be shown to the Mountain Market Coordinator on an annual basis. Vendors are expected to conduct themselves in a courteous manner at all times. Vendors will not harass, intimidate or be abusive to any vendors, customers or the Mountain Market Coordinator. Complaints regarding conduct of vendors must be made in writing to the Mountain Market Coordinator within one week of the occurrence. The Mountain Market Coordinator will review the complaint and appropriate action will be taken. Hawking, accosting and or badgering members of the public or other vendors will not be tolerated and may result in the immediate termination from the Market with no refunds for fees paid. Vendors will be responsible for restitution for any damages to Town of Canmore property. All vendors will be required to complete the Mountain Market Application form indicating that they have read the above guidelines. The Mountain Market Coordinator reserves the right to prohibit any person from renting a space at the market, and can ask any vendor to leave the Market should that vendor fail or refuse to abide by the Guidelines. Rights and Responsibilities of the Mountain Market Coordinator The Mountain Market Coordinator has the right to alter, amend or introduce new guidelines at any time. The Town of Canmore will not be held responsible for any damages to a vendor s equipment, stall area, produce, goods, property or vehicles. The Mountain Market Coordinator will attend the Market throughout the day to assist the vendors in whatever manner may be deemed necessary. Health and Safety All vendors chosen to participate in the Canmore Mountain Market will be provided with an emergency card, with details to assist you in the event of an emergency.

On the application form please indicate how many stalls you require in reference to a 10 X10 stall. Please note that you may not be allotted the number of stalls that you have requested due to the limited number of spaces available.
