4 Unit Popcorn Kernel The Unit Popcorn Kernel should receive goals from the committee as a result of the budget process and help from other parents to handle the logistics required for the Unit to reach its goal. The Unit Kernel should not be alone in this process. Everyone in the Unit has a stake in the success of funding the program year. Here are some specific tasks the unit Kernel should coordinate: POSITION DESCRIPTION Be familiar with the sale details and explain the program to leaders and parents to establish Commitment by the unit. Plan the kickoff in the unit by preparing timetables and maps to show and deliver coverage in area Neighborhoods. Create weekly unit incentives with committee permission to encourage sales. Sample Agenda on page 14. Coordinate the August Popcorn Party Kickoff. Distribute sales materials, motivate and train Scouts and parents, review sales goals set by the committee and explain the prize incentive program. Prepare the Show-n-Sell order Go on line and place your order NO LATER THAN August 1st, 2016@11:59pm. Generally order 50% of 2015 total sales. (allowed up to 70% of 2015 total sales). All orders will be reviewed. If a unit would like more then 70%, a written, detailed sales plan must be submitted to Tracy tracy.kapelski@scouting.org. Coordinate pickup of the Show-n-Sell product at the district popcorn distribution warehouse on August 19th, Monitor the product inventory during the sale (August 19th-October 14th, 2016). Collect pre-orders, payments, unsold product and prize requests from the Scouts October 14th-17th and prepare your Take Orders for additional product, by October 17th, 11:59pm. Place prize order on line by December 18th, 2016 No late orders will be accepted. Arrange for full payment for Show-n-Sell and Take orders. One (1) check will be written to Pacific Harbors Council for the amount of your popcorn minus your commissions (Tacoma) October 26th, 2016, (Tumwater) October 27th, Coordinate pickup of the Take Order Popcorn at the district popcorn distribution warehouse on November 4 th, Distribute the Take Order Popcorn. Distribute popcorn to the Scouts that need additional popcorn to fill orders. Distribute Prize orders. Once the order comes in please distribute prizes to the Scouts. 4

6 FOUR WAYS TO SELL Show-n-Sell Sale Units can set up a display of Pecatonica River Popcorn at a mall, grocery store, place of worship, or other high traffic areas for a great way to add extra income to your sale. Note: This allows you to receive product in advance, without having to pay upfront, in order for you to sell it on site! Keep in mind that any leftover product can be used to fill orders from your regular Take Order Sale. Units who do both Show-n-Sell and a Take Order Sale average a 28% increase over those units that only do a Take Order Sale. We recommend you order a percent of what your Take Order Sale was in 2015 (Generally order 50% of your 2015 total sales. You are allowed up to 70%). As they go door-to-door on the Take Order, have the customer write their order on the form, give the customer the product on the spot and collect their money at that time. Be sure to mark the form delivered and paid. This saves mom or dad a return trip to that household later. Great for the large Take Order sellers in your unit! Like the Show-n-Sell, there is no risk. Simply return the unused popcorn or use it to fill other Take-Order sales in y Show-n-Deliver sale orders due August 1st, 2016 by 11:59pm Show-n-Deliver sale starts August 19th, 2016 Money from this sale due (Tacoma) October 26th, 2016 (Tumwater) October 27th, 2016 (after all, it s already been sold ) Sell Online Units can now register their Scouts to sell popcorn online! The instructions on how to do so are included in the guide on page All the products will be shipped directly to the customer without the Scout, parents or units having to worry about delivery! The online sales will run August 19th through December 18th. Take Order Sale The traditional way for Scouts to sell Pecatonica River Popcorn is by going door-to-door. Mom or Dad can also help pick up popcorn orders by circulating or posting a Pecatonica River Popcorn table tent form at work. 7 Navigating PRPopcorn.com Navigate to How to Complete Commitment to Sell Form Click My Account in the top right corner of the page. Click Create Unit Profile Enter the Council Key provided by the council (612PHC) Choose your District, Unit Type and unit number from the drop downs to see if your unit already has a commitment record on file. If no records are found, you will be taken to your unit contact form. Fill out the required information (Note: the address entered here is where we will send a confirmation upon receipt of your commitment form) and then click create Profile. You will receive a confirmation with the information you just entered. You can also log into the site using the link in step 1 to update any information throughout the sale. Log into your account using the information you just submitted to compete the registration process. Ordering your Prize Mania 2016 Prizes * Popcorn prize website - Kernels login information * Login through the New Users Approval Area the 1 st time and please provide the required information. Once approved an will be sent to you advising you that your account has been set up. * Username = address * Password = pacificharbors * Watch Training Tutorial once link is sent * How to create an order * Select the Shop tab * Select the Prize Mania Category * Select Choose your prizes * Page set up default is 30 prizes at a time * You can sort your list by price (Low to High) or product code or even by description * View by Grid/List/ Entry * Enter quantities for selected prizes than add to cart * When complete, click on Shipping to select your delivery destination * Review your cart for accuracy * You can Remove items or Change quantities at this point * Once changes are made select Update All Changes * You also have the ability to Save the cart at any time during the process if you need to stop and come back later. When you go back in select Restore Cart * Select Checkout on the upper right * The order goes to Pacific Harbors Council for approval * Council designated Approver will review your order before it is processed * Once order is approved order will be shipped and may take up to 2 weeks for delivery. It was usually just a few days last year and all orders are shipped FedEx so they will need an address not a PO Box * Print a copy of the order for tracking information or contact Council or National Supply Representative * What to do for errors or defective prizes * If a product is defective and it is carried in stock at the Tacoma Scout Shop you may simply exchange the defective prize to the store for replacement. * If the item is not a stock item contact council or the National Supply representative. 8 Placing Your Order Show-N-Sell Due: August 1st Take Order Due: October 17th No Additional orders will be accepted after Monday October 17th. There will be a 30% return fee for any popcorn returned after Thursday October 27th. Ordering Your Popcorn Navigate to Click My Account in the top right corner of the page. Enter the and password that was used to commit the unit to sell. Click Place Order from the unit dashboard. If step four returned no records, click the Click Here link. Choose the sale type and pick up location from the drop down menus. If placing a show-n-sell order you will get a message letting you know that order should be entered in the Case Qty. column only. Upon entering a values the order form will be tabulate the total number of containers being ordered and their retail value. Click Preview Order to review the information you just entered. Click Submit to place your order. You will be allowed to edit your order unit the council approves the order for fulfillment. Attention Capital Area, Coastal Waters and Timberline Districts Just a quick reminder when you are placing your order it is very important that when you fill out your commit to sell and place your order you include the 9 or 4 in your unit number. The reason is we have units in the other districts that might have the same number as you, if you don t include this digit you will have issues with your popcorn order. 8

9 GREAT NEW PRIZES FOR ALL SCOUTS WHO SELL POPCORN How to receive free prizes: Sell Popcorn!!! Prize Program at Every Level Scouts will receive a patch for selling $10 and above. As in the past we are using Prize Mania to order prizes. UPS delivers right to your door. It s easy to order on line. Must complete by December 18th. No late orders will be approved after this date. (No Exceptions) Didn t See a Prize You Liked? Units will have two prize options to choose from through Prize Mania, bonus programs are separate. 1) Your Unit can decide to receive Prizes or 2) Take a 2% commission for your unit and not receive prizes. Units must choose to participate in either the prize program or the higher commission structure. Scouts cannot individually choose between the two prize options. However, Bonus Prizes are for any Scout that qualifies even if they are not doing the Prize Mania program. $2,500 Club Our $2,500 Popcorn Club will get a cool t-shirt with your name on it. Sell 2,500 to 2,999 receive 2 tickets to Wild Waves. Sell 3,000 or more receive 4 tickets to Wild Waves. In addition to regular great prizes, this year any youth selling $2,500 or more will have a choice to receive one of these cool items: Beats by Dr. Dre on ear wireless headphones, GoPro Hero, 40 Smart TV, Razor Scooter, Hoverboard, $200 Best Buy Gift Card, ipod Touch, Drone Quadricopter, Xbox One 500GB These prizes are to be ordered at prpopcorn.com Fill it up There is also the Fill it Up recognition program. Fill up an order form and enter to win each week! Each week there will be a prize drawing for a BB8 Droid. A copy of each form must be submitted to the council for entry no later than 4pm each Friday during the sale beginning September 2nd and ending September 23rd. 10 How to enter a Scout into Winners Circle Navigate to Click My Account in the top right corner of the paged. Enter the and password that was used to commit the unit to sell. Click Enter Scout into Winners Circle from the dashboard. Enter the Scouts First Name, First 2 initials of Last name, Dollar amount Sold. (including online sales, zip code, prize choice and the parent or guardian ) Attach a copy of the sales flyers or worksheet tool that can be used to verify the sales being reported. Repeat until all Scouts have been signed up. How to Sign up a Scout for Online Seller ID Navigate to Click My Account in the top right corner of the paged. Enter the and password that was used to commit the unit to sell. Enter the Scout s First Name, First 2 initials of Last Name and the parent guardian . Repeat until all Scouts have been signed up. 10

Make sure to bring proper tie-downs and cover if using an open truck. Make sure you have enough space for your order. We will not be able to hold partial orders to be picked up later. Be Prepared! * Bring enough help to load your vehicle we do NOT load any popcorn into your vehicle. * Arrive at your scheduled pick-up time * IT IS YOUR RESPONSIBILITY TO VERIFY QUANTITIES before you sign for Your order and leave the pick-up location. Vehicle Loading Guidelines Mid-Size Car 20 cases Mini-Van 60 cases Jeep 40 cases Suburban/Explorer 70 cases Distribution with your Unit * For faster and best results, additional help will be needed for sorting individual Scout Orders * Use empty popcorn boxes, other cardboard boxes and paper grocery sacks to separate each Scout s order. * Fill one Scout s order at a time. * Label box or bag with the Scout s name and include a copy of their order form. * If room allows, group patrols and den orders separately. * After all orders have been billed, check your remainders with your total order to see that correct amounts have been sorted. * Set a time when Scouts can pick up their order or when they can be delivered. 12

14 Popcorn Return Policy All 3, 4 and 5 ways must be returned in the original sealed box. Both full and partial cases can be returned open as long as the seal on the tins is not broken and the tins are not damaged. On all cases especially the microwave if water damage or any damage is visible the case will be opened and if any of the contents are wet or damaged we will not accept it for return. When packing your popcorn up for return, please package it in the correct cases. Do NOT mix the cases. For example: Do not put 6 Cheddar and 2 Jalapeno together in a Cheddar case. Or, 3 Microwave Light and 5 Butter in a Kettle Case Trading popcorn between Units We ask that this not be attempted. If necessary, before you trade or give another unit any popcorn, please Tracy Kapelski at tracy.kapelski@scouting.org. She will remove the inventory from your invoice and place it on the receiving units invoice. This is very important you don t want to pay for popcorn you did not sell. Ordering Additional Show N Sell Popcorn If during the Show N Sell portion of our sale you run out of popcorn what do you do? Call Tracy Kapelski at to get additional product. Do NOT place an additional order with Pecatonica. In order to receive the additional product you will need to make a payment towards the product that you already ordered. Pick up for additional product will be at the Tacoma office 4802 S 19th St Tacoma, WA

15 Unit leaders and parents POPCORN KICKOFF AGENDA The key to a great popcorn sale is having a kickoff meeting with leaders and parents to explain why the popcorn sale is so important to the unit s overall program. Make sure to let each parent know your unit has set goals and it is very important to hit these goals for the program to work. Everyone participates. There is (1) case of sample packets of popcorn for your Unit this year. 1. Opening Pledge of Allegiance Welcome Parents Have one or two youth members highlight something they did because of last year s popcorn sale! Take Scouts to a different area for activities 2. Explain the Ideal Year of Scouting *We Plan to Do These Activities *It will cost our Unit this amount of money to do all these activities and re-register the Scouts. *If every youth sells $ of popcorn we will have enough money to do these things with only this fundraiser to pay for everything. 3. Describe the Popcorn Program, Products, and Prize Program. *Let everyone know their child should have received information in the mail. *Go over order forms, prize sheets, and pick up and delivery. *Inform parents of the Show-n-Sell program if your Unit is participating. 4. Ask for Parental Support *Explain the necessary helping roles your unit will need parents to help with to make this sale happen. *Explain the need for parental involvement throughout the year for various activities, and let each family know most of the activities planned are for families. *Get commitments from parents. *Let them know the youth will also go over the sale at their Den, Patrol, or Crew meetings. 5. Re-emphasize the importance of every Scout selling and hitting target goals to contribute towards the Unit s Ideal Year of Scouting *Go Over Sale Dates *Popcorn Selling Tips *Delivery Information *Turn-in Dates 6. Bring Scouts Back *Finish Pack, Troop, or Crew Meeting *Announce Next Step! *Sell! Sell! Sell! 15

16 Ask people to support Scouting by buying popcorn. ALWAYS wear your uniform. Everybody loves to support a Scout in uniform. ALWAYS sell in pairs accompanied by an adult, and never sell after dark unless you are with an adult. ALWAYS act like a Scout, and be polite and courteous. Wear a smile and introduce yourself. ALWAYS walk on the sidewalk and driveway, NOT through the yard. Watch for traffic. NEVER carry large amounts of cash with you. NEVER enter anyone s house. SCOUT SALES TIPS Remember to always have two pens with you and make sure you keep your Take Order form as neat as possible. Statistics show four out of five homes buy Scout Popcorn when asked. Make sure you know all the different types of Pecatonica River Popcorn products you are selling. Most importantly, when you are selling the popcorn, tell the people what the money goes for. Have them read the backside of the Take Order form. Make sure you know the date when you will be delivering the popcorn to your customers. Remember to keep your Take Order form for next year so you can call on the same people. In case no one is at home, write a letter (and make copies of it) explaining the popcorn sale and why you are selling it. Explain the benefits for your unit and Council; tell the dates of the popcorn sale, etc. Leave this letter with one of the sheets from your Mini Order Form. Place these forms in the newspaper box or at the front door of people s homes you know. Not every house will buy so do not become discouraged. The more people you ask the more people will buy. Put popcorn sale articles in your school, church, and community bulletins/newsletters. Ask your parents to help you sell Pecatonica River Popcorn at their workplaces for employee or customer gifts. Better yet, ask your parents if you can go to their offices and sell. Make sure you deliver the popcorn and say Thank You. If you can t deliver it yourself, tape a thank you note on top of the popcorn! Ask your parents to take a Take Order Form to work to pass around the office. (Forms are available. Ask your Unit Kernel.) Remind your parents, grandparents, aunts, uncles, and neighbors what a great gift Pecatonica River Popcorn makes for teachers, friends, co-workers, etc. Also, let them know how quickly it runs out and buy enough from you to last them until next year. Ask your friends at your place of worship if they would like to buy some Pecatonica River Popcorn. Write a thank you note and place a copy of it on all the Pecatonica River Popcorn you deliver to let everyone know how much you appreciate their support. (This will benefit you next year when you call on them.) Remember to say Thank You when you hand deliver their popcorn. Keep your Take Order forms so you can call on these people again next year. People will remember how polite and courteous you were, the nice thank you note they received, and the Pecatonica River Popcorn that they did not buy enough of! 16
