2 2 WELCOME Welcome to the National Society of Black Engineers (NSBE) Aerospace Systems Conference (NSBE ASC)! Described by Black Enterprise as the who s who of African Americans in the aerospace industry, NSBE-ASC is a premier event devoted specifically to the technological contributions of African-American aerospace professionals. Organized by the NSBE Space Special Interest Group (SIG), the NSBE Aerospace Systems Conference is composed of peer-reviewed technical paper sessions; aerospace technical training courses for industry professionals; local aerospace facility tours; panel discussions and keynote addresses by industry executives; aerospace industry awards; and an aerospace technology trade show. Unique to NSBE-ASC are the Space Research of NSBE track, which features all-volunteer spacecraft R&D conducted by the Society s leading aerospace technologists, and the Astropreneur Business Conference, a meeting of African American aerospace business owners. We invite companies, government agencies and other organizations to partner with us. Working together, we will strengthen the diversity and effectiveness of the U.S. aerospace industry workforce and create new, innovative vehicles, processes and programs to meet the challenges facing our nation s public and private aerospace sectors. 6 6 STRATEGIES TO MAXIMIZE PARTNERSHIP VALUE As an event geared specifically for aerospace professionals (as opposed to NSBE s student-focused conferences), the NSBE ASC provides unique opportunities for partnering organizations. Attendees range from entry-level to executive-level workers at aerospace agencies and companies across the country and abroad. A small number of select NSBE students who are being mentored by Space SIG professionals and involved in Space SIG research are also invited to attend and display their research in a separate poster session. We encourage partners to identify key employees for NSBE ASC award nominations and to submit technical papers. Use your exhibit space to feature your highprofile products (vehicles, missions, etc.) and to share significant technological developments. Consider the research your employees present in their technical papers, and include prototypes, software, demonstrations, test articles, etc. from the papers as part of your exhibit space. Leverage the partnership benefits such as advertisements in conference publications, or utilize other artwork to promote your product lines. Be sure to send African American technical employees to the conference, not only for retention purposes, but also to scout potential talent, find suppliers, customers, useful technologies and opportunities to collaborate. Use your organization s reserved tables at meal events as space for informal interviews or discussions invite persons of interest to dine with key organization officials. 12 12 NSBE-ASC PARTNERSHIP RULES & REGULATIONS Attendance Numbers NSBE makes no representations or warranties with respect to the demographic category of event attendees. NSBE does not guarantee specific levels of attendance at the Aerospace Systems Conference or at any particular ASC activity. Exhibit Shipping and Storage Partners are responsible for all logistics and fees associated with their exhibits. NSBE does not provide any support services for exhibitors to ship or retrieve exhibit material. Any fees charged by the hotel for storage, set up assistance, internet access, or other nonstandard accommodations are the responsibility of the partner organization. Exhibit Partnership Conference partners may choose to have their partnership fee associated with a specific conference event. This is useful for companies who for branding purposes wish to promote themselves in the conference agenda and other conference products as the sponsor of a particular event. A listing of eligible conference events and required partnership levels will be provided upon request. This is optional, for the benefit of partners who find such branding in their interests, but is not a requirement for exhibiting. Food and Beverage (F & B) Selection and Logistics For the convenience of partners who choose to become meal event sponsors, menu selection, quantities ordered and all food and beverage arrangements will be handled by NSBE. Meal event partners will be provided upon request with a Banquet Event Order (BEO), listing the menu items selected for their events. If a conference partner prefers to select its own menu, we are happy to modify the partnership accordingly. In this case, the partnership fee will be reduced, and the food and beverage costs will be the responsibility of the partner; menu selections shall be made by the partner directly with the venue, and the cost will be paid by the partnering company/organization. Partnership Logistics & Recognition To achieve maximum exposure and to receive full sponsorship benefits, we recommend that organizations reserve partnerships as early as possible but at least eight (8) weeks before the event. This allows sufficient time to place necessary orders, promote the event, create signage and include sponsorship information on the official agenda and/or in any mobile apps. Please note that NSBE will make every attempt to provide full recognition of sponsorships confirmed less than eight weeks before the event, however, some benefits may no longer be available. Payment Policy Payment is due within thirty (30) days of receiving an invoice. If there are extenuating circumstances that require different payment arrangements, please your request to NATIONAL SOCIETY OF BLACK ENGINEERS AEROSPACE SYSTEMS CONFERENCE GREENBELT, MD 12

Organizations canceling Aerospace Systems Conference partnerships space on or before December 31, 2017 will receive a refund less a twenty percent (20%) cancellation fee. Cancellations received between January 1 and March 31, 2018 will receive a refund less a fifty percent (50%) cancellation fee. Refunds will NOT be issued for cancellations received after April 1, 2018, and the exhibiting or sponsoring company/organization will be responsible for the entire fee for the sponsorship or exhibit space reserved.
