In this training we will give an overview of the sale including topics like: what the Fall Sale Program is all about, what the program perks and rewards are, what products are available, the ways to participate, along with our very important dates. We will also cover how to manage a successful troop sale and take a look at our new UNIFY management system. 1

So let s jump right in and take a look at this year s theme! 2

The Fall Sale Program is a council-sponsored program that combines educational activities with money earning opportunities for the troops. The Fall Sale Program is directed toward family and friends and enables troops to earn start up money. Girls will begin selling delicious nuts, candies, magazines, veggies, tumblers and more. Troops earn proceeds to fund exciting adventures. Additionally, the sale introduces key financial literacy skills such as goal setting, decision making, money management, and communication, that they will use throughout their lives. 4 So of course we always ask ourselves, why are we doing this? What do the girls get out of this? And those are great questions! Answer is, it s all about the girls! Girl Scouts that participate develop five key skills that are essential to leadership, to success, and to life! The five skills include: Goal Setting, Decision Making, Money Management, People Skills, and Business Ethics. Girls learn to work as a team to accomplish common goals and solve problems, all while building the confidence they need to shine! And did we mention fun? They have a ton of fun along the way. Beyond the 5 skills, Girl Scouts earn fun Rewards and Dakota Dough based on sales levels. The troop also benefits by earning proceeds - Troops earn proceeds that can help them go to camp, take a trip, purchase Girl Scout uniforms and badges, complete a community service project and so much more! Every year Girl Scouts all over the country use their earnings to do amazing things in their 4

communities and beyond. From helping animal shelters and feeding the homeless to raising awareness about bullying. Girl Scouts CAN and WILL do anything they put their minds to! To do these amazing things, Troops earn proceeds at: $0.75 for each nut and candy item $1.00 for each 1 lb Honey Roasted Mixed Nuts $3.00 for every magazine sold The Service Units can also earn proceeds! These funds can be used for things like: girl events, volunteer appreciation, troop support, ceremonies and more. Service Units have the opportunity to earn up to $0.06 per item of nuts and candy sold. New this year refer to chart! Let s take a closer look at the Girl Rewards. 4

Here we can take a look at this year s Girl Rewards, as featured on the back of the nut order card. All rewards are cumulative for instance if they sell 100 items in the Nut/Candy section they also earn all the prizes leading up to it! New to our Fall Sale Program, Girl Scouts can choose the reward or Dakota Dough at each sales level! Note: At any level where a patch is available and girls pick Dakota Dough over the prize, they will still get the Patch. Using this rewards poster can be helpful as girls set their goals for the upcoming sale. You ll notice the different sections of our rewards card. 1. Magazines & More 2. Share 3. Nuts/Candy 4. Bonus 5. Online Let s take a look at how to earn these rewards. 5

3 Ways to Participate: In Person Online Gift of Caring One way to earn rewards is through our traditional in person Paper Orders. Using the these order cards, you can visit with your family, friends and neighbors to share your goals, practice the 5 skills and take customer orders. All money should be collected at the time the order is taken, to be turned into your troop sale coordinator. Paper Orders 1. Magazines Customers purchase or renew their favorite magazines Fill out the magazine order form completely and legibly Give your customer the pink copy of the order form Track your magazine rewards using the Mags & More box on the top of the rewards section of the order card. Customer receives magazines in 8-10 weeks. 6

2. Nuts & Candy Girls will receive an order card where customers can view the product options. Customer not seeing their favorite item? Remember there is a wider variety of items are available online. Track your Nuts & Candy rewards using the Nuts/Candy box in the middles section of the order card. 6

Another way to participate is through online ordering - Online orders are done through the new UNIFY site. To register, watch for a link from QSP via starting September 17. Once registered they can build their own online storefront by adding welcome messages, photos or videos! Using this link, girls can , text or post to a personal facebook page inviting their friends and family to their online store. A few reminders - this is a friends and family sale, no selling in Public Facebook Groups. We want to keep the girls safe! Also only registered members will receive the registration . We will upload any newly registered girls weekly throughout the sale. What are some benefits of selling online? Orders ship directly to customers, they can pay with their credit cards and there is a wider variety of items available online. All online sales contribute to the girls rewards. 7

Girls can earn two patches right away - just by sending s! with 15 s girls receive the online patch and with 25 s they will earn lighting bolt patch Special Note: Any online orders also contribute to the other sections of the rewards card. 7

Once the Girl Scout has sold $150 dollars in online sales, she earns her very own My Creation patch! The patch can be personalized with her name, date, and other fun accessories! More accessories can be unlocked by doing things like sending more s, adding a photo and video or texting your link allowing her to edit as many times as she d like! When $300 dollars in online sales are obtained, the Girl Scout will earn a personalized name T-shirt! QSP will send an congratulating her and asking her to personalize the tee. Both the patch and tee shirt ship directly to the girl. 8

New this year is an option for your customers to buy online, but have the Girl Scout deliver in person! But only to those customers you grant permission to. Give Example Customers you d give the ability to choose in girl delivery would be people that live nearby, family and friends you ll see soon. This does not mean they have to choose in girl delivery, they can still pick the shipping option. In Girl Deliveries: Automatically will show in UNIFY considered an online order, do not put it on your order card. Order Card and online in girl delivery nut product will all be delivered together the second week of November. Remember you do not need to collect money for these orders, the customer paid online. 9

The last way to participate is through our Gift of Caring program. Gift of Caring Girl Scouts can collect donations from customers which will be used to purchase nut products or magazines vouchers. These items will be donated to military support organizations as well as other nonprofit agencies throughout North Dakota and South Dakota. All donations collected should be turned in to your Troop Fall Sale Coordinator. Girl Scouts who collect 6 donations in $6 increments earn the Share Patch! 18 Last but not least, let s take a quick look at our important dates. Parent lockout date!!! Lock out dates 14

Managing your Sale. Let s go over the steps to manage the program and set your troop & SU up for success. We will cover the following steps: 1. Review all Fall Sale Program materials 2. Review troop roster 3. Schedule and hold a parent/troop meeting prior to the sale start date 4. Log into UNIFY our online management system 5. Review your available resources we re here to help! 15

Each Troops' Fall Sale Coordinator should receive materials during their SU held troop training. For Troop Leader: One Large white envelope One Volunteer Guide Troop Activity Pages and Goal Posters For each girl in their troop: Family Guide Money Envelope Girl Program Packet 2 order cards! magazine catalog magazine order forms Set of 8 printed business cards The Volunteer Guide is a great resource to help you through the program. Additional copies can be printed from the GSDH website. 16

Even more fun tools and resources can be found on our GSDH website to help girls reach their goals! Printable business cards and leave behind door hangers! 17

Step 2 Checking your Troop Roster Troop Co-Leaders can access their most current troop roster through MyGS on the Girl Scouts Dakota Horizons website. Please be sure to use the most current roster to ensure all girls are included. **If a girl is in your troop, but not listed - it could be due to several reasons: She may not be registered for the current GS year She filled out a paper registration form and it is not yet entered Or she is waiting on Financial Assistance approval If you have any questions or needs regarding your Troop Roster, please contact help@gsdakotahorizons.org and our member services team will be able to assist you! Please note that any girls that register after our initial roster uploads into Unify on August 29 th and September 15 th, will be added on a weekly basis throughout the program. 18

Here s a sample agenda of items to cover at your troops training to parents and caregivers. 1 Make sure to invite everyone and encourage their attendance to pick up packets 2 Hand out the materials at the training. When caregivers/parents attend -you will get less questions during the program when things can get very busy! 3 Talk about the benefits of the program. Discuss the skills that girls learn through the program Always cover safety! Set troop goals what kind of activities does your troop want to do this year? Does the troop want to purchase new uniforms? Help the girls to set their goals What do they want to earn? How will they use their Dakota Dough? 4 Discuss the important dates Plan weekly money turn-in dates. It is unsafe to keep money around the house or in their cars. Parents are ultimately responsible for lost funds. Look at the calendar on the back of the Volunteer Guide note deadlines! Make sure to have parents record sales and turn in orders before the troop deadline to give yourself enough time to review and enter! 19

As you maybe remember from last year, we had two separate sites for tracking your troops orders NutE and QSP. They have combined into one new system-unify! Girls, parents and volunteers all use the same site! Volunteers can manage the sales from girls, track orders, send s and select rewards. Girls can create their online store front, send s, enter their in-person orders, track their goals and select rewards. The best part - - one login! For those w/many roles you will be able to toggle between the roles you have. We will be going over Unify in more detail in upcoming slides! Watch for Just-In-Times - our Step-by-Step guides walking you through all the necessary parts of the programs as we get closer to the Fall Sale Program! These s will be sent via the address on file in Unify. Make sure you have the most to date information listed to stay in communication. All of this information is available in the Volunteer Guide 20

Step 5 Have more questions? Never Fear! We have many resources available to make the Product Sales Programs run smooth! All of these resources can be found in the Volunteer Guide and of course on our website at It s a good idea to familiarize yourself with the resources available on the GSDH website before the sale gets started. Also we will be reaching out to you through s throughout the sale with additional information and up-to-date news! 21

During the 2 Product Sales Programs, your troop becomes a business! Something every business must decide is how to collect funds from customers. Cash? Checks? Credit Cards? What are the risks? What are the benefits? Should your Troop accept credit and debit cards? Many customers do not carry cash or checks! By allowing your customers to use their credit and debit cards, you can help grow your Girl Scout Fall Product Program business. During last years sale, reports show that Troops that accepted credit cards had an average increase of 20% in sales. Credit card companies do charge for their services. It is a good idea to research the different options and the costs associated. Should your Troop accept checks? This is also a troop decision! It is your business and up to you to decide as a group if you should accept checks. If you plan to accept checks from customers, we suggest only checks from Family and Friends. If a check comes back to you as Non-Sufficient Funds, GSDH can assist in the recovery of those funds if the information is received in a timely manner, using the required form on our website. 22

Once the sale has begun and parents collect funds, they need to keep those funds safe. Set up weekly times for parents to bring the troop their sales funds do not keep money lying around the house or in the car. Once the program has ended, all of the funds due to GSDH will be collected electronically through your troop checking account. The Bank Account Confirmation/ACH form is due yearly to council by October 1 st. Review your bank info in Unify is it correct? Is it missing? If missing, contact GSDH immediately! Finally - make sure you have all of the funds deposited at least 2 days prior to the ACH withdrawal that will take place on November 9! 22

Once the sale has concluded, you will need to collect a few items from your parents (Service Units collect from Troops). Items to collect: Any remaining money Order Cards even if your parents entered their orders it s good business practice to review those orders! Magazine Order Forms FSC will send those on for processing Deposit all funds Review & verify all orders in Unify. Refer to the checklist available to you in the Volunteer Manual! For Service Unit FSC s refer to your FSC Checklist! 23
