.3. PART - III न यम और शत / TERMS AND CONDITIONS Name of the Work : Providing photocopying and other related services at AIISH 1. Tender should be submitted along with an EMD amount of `5,000/- (Rupees Five Thousand only) by way of Demand Draft drawn in favour of Director, AIISH, Mysuru along with Tender Fee of `200/- + ST @ 14.5%, in the form of Demand Draft, if obtained / downloaded from AIISH website : www.aiishmysore.in 2. The firm shall abide by the rates quoted and agreed upon and shall charge rates quoted uniformly for all official documents and other documents. 3. Late bids received after the specified date and time will not be considered. 4. The Bids complete in all respects and duly signed and sealed should reach office of the Director, AIISH on or before 21.4.2017, 5.00 p.m. This office will not be responsible for any postal/courier delays. 5. The bidder must carefully study all pages of the tender and sign on each page. 6. Earnest Money Deposit: a. An amount of `5,000/- shall be paid as EMD in the form of Demand Draft from a Scheduled or Nationalized Bank drawn in favour of Director, AIISH, Mysuru payable at Mysuru, along with tender. b. EMD of unsuccessful bidder will be returned immediately after placement of order on the successful bidder. c. The EMD of successful bidder can be forfeited for delay in executing the order or providing unsatisfactory services or remains un-responsive to the order or backs out. d. Bid without valid EMD will be rejected. e. No interest will be paid on EMD. 7. Earnest Money Deposit amount of the successful bidder will be retained as Security Deposit and will be refunded after closure of the contract and on production of No Due Certificate. 8. The Security Deposit will be forfeited in case the terms and conditions of the contract are contravened in any way.
9. The firm should install photocopying machine and other equipments in the institute campus to provide required services. Tenderer Director.4. 10. Notwithstanding anything mentioned at (8) above, the Director reserves the right to impose a penalty of `100/- for violation of Terms and Conditions or for using the space provided for the purpose other than photocopying and other services stipulated at the first instance, where after it will be increased in multiples of `100/- for each occasion of breach as stated above. 11. The Photocopying of official papers shall be made only after receipt of the indents approved by the authorized staff of the Institute. The said indents should be submitted along with monthly bill for payment. 12. There shall be no liability on the part of the Institute to recover any charges on account of photocopying of papers by staff/students of the Institute for private purposes. 13. Accommodation / Table space shall be provided by the Institute on payment of `1,500/- (Rupees One Thousand Five Hundred only) per month towards rental charges. The firm should install heavy-duty photocopying machines and other required equipments only, at their own cost. 14. The requisite electric point and separate energy meter will be provided. The electricity charges, as per the meter readings shall be paid by the firm on or before 5 th of every month. 15. The facility should be made available from 9.00 A.M. to 8.00 P.M on all working days and from 9.00 A.M. to 5.00 P.M on Saturdays. However, in the event of any work load, the firm shall make the facilities available beyond the above hours on normal working days and also on Sundays and holidays, if required, for which prior information will be given. 16. The contract will be in force, initially, for a period of one year from the date of award of work and may be renewed subsequently subject to the satisfactory performance. The photocopying machine shall be installed within 10 days from the date of award of work. 17. Any other kind of business not covered in the contract is allowed in the premises. 18. The firm is responsible for the upkeep of the accommodation provided and shall make good for damages if any, caused.
19. In respect of matters not covered in the contract, the decision of the Director shall be final and binding on the contractor. Tenderer Director.5. 20. The Director, AIISH, reserves the right to terminate the contract at any time without assigning any reasons thereof, whereby the firm should vacate the Institute premises within three days from the date of receipt of such termination notice. 21. The firm should ensure that no unauthorized person other than staff and students of the institute who visit for photocopying purposes shall be entertained in the photocopying premises. 22. Any breach of the contract will result in enforcement of one or more of the following: a) Cancellation of the work order in part or whole b) Imposition of penalty, as decided by the Director, AIISH, Mysore c) Forfeiture of EMD/SD in whole or in part as decided by the Director, AIISH, Mysore d) Recovery of extra cost, if any, incurred by the institute in the work by adjustment from money due. 23. Rates should be quoted only in the prescribed form i.e. (Part IV - Rate Schedule) and any other alteration/ deviation from the prescribed form is liable for rejection. All alterations should be properly attested by the competent authority. 24. Right to accept or reject any of the tenders without assigning any reasons vests with the director of the institute. 25. The Director does not bind herself to accept the lowest or any tender and reserves to herself the right of accepting the whole or any part of the tender and the bidder shall be bound to perform the same at the rates quoted. 26. Preference will be given to those bidders who have carried out similar type of work in any other organization, earlier. 27. Only those tenders which has all items quoted mentioned in Part - IV will be considered. 28. Canvassing in connection with the tender is prohibited and the tenders submitted by the bidder who resort to canvassing will be rejected.
29. All statutory taxes like Income-tax, Sales Tax etc., will be deducted at source. Tax deduction certificate will be issued. Tenderer Director.6. 30. The firm / Agency shall make arrangements to provide stationeries viz., Pen Drives, Maplitho / Bond papers, Compact Disks etc. and other consumables meeting the requirements of the students availing photocopying services. 31. In respect of matters not covered in the contract, the decision of the Director shall be final and binding on the contractor. 32. Orders will be placed as per requirements and if the work is not commenced within a period of 45 days from the date of placing order, Director, AIISH, Mysuru will have the right to cancel the tender or award the same work to any other firm, and the difference of cost, if any will be recoverable from the approved bidder. 33. Duly filled tender form shall be submitted in a sealed cover superscribed as Tender for providing photocopying and other services on or before 5.00 PM on 21.4.2017 at the Office of the Director, AIISH, Mysuru.
