Chubb Travel Smart deployment guide Online dashboard access instructions for HR, Risk and Security Managers
Introduction Thank you for choosing Chubb to provide your business travel insurance. Included with your cover is Travel Smart, a powerful set of tools designed for Risk and HR managers and travelling employees. We have developed Travel Smart to help employers adequately prepare and support travelling employees before and during their business trip. These instructions are designed to help HR, Risk and Security Managers distribute, access and use the three key components of Travel Smart included with your cover: 1. online pre-travel risk training and competency testing 2. smart phone app for Apple and Android; and 3. online dashboard for HR and Risk Managers. In this pack we have provided additional documentation to help you distribute Travel Smart to travelling employees across your organisation. These items have been designed for email distribution and can be accessed via PC, tablet or smartphone. Pre-travel risk training and competency testing In your Travel Smart welcome pack we have included joining instructions for the pre-travel risk training and competency programme for employees. To register and complete the course, employees will need internet access, their Chubb policy number and the joining instructions. The instructions can be distributed to employees by email or printed hard copies. Once an employee has completed all 7 modules, they can print a certificate to demonstrate they have successfully completed the course. Smartphone App Also included in your welcome pack are download, install and registration instructions for the smartphone app. The instructions include links to the app for Apple and Android smart phones. We recommend the instructions are distributed to employees by email and accessed from their smartphone as they include direct links to the relevant app store. Once downloaded, employees then need to complete a one-time registration process. Distribution checklist 1. Pre-travel risk training Make sure that when you email the joining instructions to employees you also include your Chubb policy number so they can register. 2. Smart phone app To make it easier for staff to download the smartphone app, we recommend that you distribute the download and install instructions by email highlighting they can download the app directly to their smartphone by clicking on the links to the Apple or Android store symbols shown on the flyer when opening the email on their smartphone. 2
Employer Online Dashboard Access Instructions for Risk & HR Managers The Travel Smart online dashboard provides additional functionality for HR and Risk Managers that allows you to locate and send messages to travelling employees. To access the dashboard click here if you are viewing this on a computer or other device to register and confirm the Chubb scheme number shown on your policy documentation. If you are viewing a hard copy please type the following url into your web browser: https://app.chubbtravelsmart.com/risk_manager/groupnum Please note that for security purposes this link can only be used once so you should carefully consider who will have overall responsibility for managing the dashboard before registering. Then you will need to complete the user registration form. Once a key user has been set up, they can add new users and change their permission rights as required. 3
Inviting other users to join Employees that have downloaded and registered for the smartphone app will automatically appear on the dashboard but you can also invite other users to join your travel community by asking them to register using the following URL: https://app.chubbtravelsmart.com/users/create/basicinfo Extending user permissions You can also extend user permissions to include access to the employer dashboard for other HR, Risk or Security Managers, or for specific colleagues, allowing them to locate and send messages to travelling employees subject to your company s privacy policies. You can do this by selecting the drop down Action box next to the registered user and change the status as shown below using the edit option. Staff who have registered for the smartphone app can also access the same information via the dashboard but end user permission means they are not able to see the Live View map to ensure the privacy of users is maintained. Here you can choose End user or the Risk Manager profile: End user provides access to the full content of the smatphone app, including the live information feeds, destination information and health conditions library. Risk Manager provides additional functionality including geo-locate and messaging. 4
You can then edit and save the new user profile. Please note that employees that have already registered for the smartphone app can also access the same information contained in the app via the dashboard but the content is restricted and does not include the geo-locate or messaging facility available to Risk or HR managers.
