KNOW BEFORE YOU GO 26 th Annual Meeting Hiroshima, Japan PREPARING FOR THE TRIP The attire for the meeting is business. The weather in Hiroshima should be 60-85 Fahrenheit (16-30 Celsius) with a chance of rain. Conference rooms may be a bit chilly for some people sweater or light wrap is advised. You may want to have a small quantity of Japanese yen on hand to pay for a taxi or bus. Tipping is not customary. However, traveling with a lot of cash is not recommended. The conference hotel (Grand Prince) has an ATM machine in the main lobby. Bring a sufficient quantity of business cards for use in networking at the meeting. It is expected to exchange business cards in Japan. The voltage in Japan is 100 Volt, which is different from North America (120V), Central Europe (230V) and most other regions of the world. Japanese electrical plugs have two, nonpolarized pins, as shown. They fit into North American outlets. Japanese power outlets are identical to ungrounded (2-pin) North American outlets. While most Japanese outlets these days are polarized (one slot is slightly wider than the other), it is possible to encounter non-polarized outlets in some places. Some North American equipment will work fine in Japan without an adapter and vice versa; however, certain equipment, especially equipment involving heating (e.g. hair dryers), may not work properly or even get damaged. Bring an appropriate converter and/or adapter depending on your needs. TSA long lines arrive at your airport 3 hours prior to flight for international flights. MEETING INFORMATION All registration is online at http://www.ibnsconnect.org/ibns-2017-annual-meeting. Payments cannot be accepted onsite. Pick up name badges at the registration desk (required for all events) 14:00-17:00 pm on Monday afternoon (BEFORE the reception). Late arrivals can also pick up your name badge at the registration desk prior to the 8:00 a.m. sessions. Badges must be worn to all IBNS events and sessions. There will be a $10 fee for replacement badges. Guests are not permitted to attend the scientific sessions. Guest passes can be purchased for attendance at the reception and/or banquet through our online registration forms. Certificates of attendance will be emailed automatically to you after the meeting. Programs will NOT be provided onsite, so please print any sections you may need prior to arrival or access them on your mobile device. TRANSPORTATION The Grand Prince Hotel is offering complimentary transfers by shuttle bus between the Hiroshima Airport and the hotel for arrival on June 25 and departure on July 1 ONLY. There will be a bus driver with an IBNS welcome sign waiting in the Hiroshima Airport Domestic Arrival Lobby, see map below. THIS IS THE MAP FOR THE FREE SHUTTLE BUS FROM THE AIRPORT DIRECTLY TO THE HOTEL ON JUNE 25. If you are arriving outside of the times listed above, here is the best way to get to the hotel. From the Hiroshima Airport, take the Airport Limo Bus to the Hiroshima Train Station. From the train station, you can catch the complimentary bus to the Grand Prince Hotel. The cost for the Airport Limo bus is 1,340 Yen (approximately $12.00 US). Tickets can be purchased at the vending machine (cash only--yen) or at the convenience store (credit card accepted). See map ABOVE for locations. The schedule to the left is for the bus from the TRAIN STATION, NOT THE AIRPORT. Taxi is NOT recommended from the Hiroshima Airport to the Grand Prince Hotel due to cost. It will be approximately $160 - $200 USD! Most taxis accept credit cards, but not all. Same with the English-speaking taxi drivers some do, some don t. However, most of them have some tools to communicate with foreigners such as sign boards or free call for interpreter service. WELCOME RECEPTION The IBNS opening reception will be held at the Grand Prince Hotel (Prince Wedding Suite) on Monday, June 26, 17:30-20:00. Welcome speeches from the President of Hiroshima University, the Mayor of Hiroshima, the IBNS President and Local Organizing Committee will be followed with hors d oeuvres and a cash bar. Japanese Yen is required to purchase drinks. If you need to exchange currency there is an ATM machine on the first floor of the Grand Prince Hotel. Everyone, including guests, are required to have an IBNS name badge. STUDENT/POST-DOC SOCIAL The IBNS Student Social (for students and post-docs only) will be held in the Park View Room from 16:30-17:15. Come and meet other students/post-docs and learn about the exciting new opportunities during the IBNS meeting. (Hint: Some of these opportunities involve cash and prizes.) Snacks will be available. WIFI CODE For IBNS in the meeting rooms at The Grand Prince Hotel. SSID: BANQUET5 3 Password: dzs8a8ns POSTERS Poster presentation time is from 18:30-20:30 (6:30-8:30 pm) on Wednesday and Thursday. Please check your presentation date and poster number on the final program. Poster sessions will be held in the Setouchi Hall. Please plan to display your poster during the lunch break 11:30-13:30 (11:30-1:30 pm) or afternoon break 15:30-16:00 (3:30-4:00 pm) on the day of your poster session. All posters should be displayed no later than 16:00 (4:00 pm). Backup your poster on a USB flash drive (thumb drive) in case you accidentally leave it at home, on the plane, in the airport, etc. Poster Board size (usable area): Width 900mm x Height 2100mm (approximately 35.4 inches wide and 82.7 inches tall). The boards are tall and narrow. Posters will need to be attached with TAPE. No push pins. Tape will NOT be supplied, you will need to bring tape with you for your own poster. Poster presenters are required to be present in front of their poster during the poster session. Please remove your poster promptly at 8:30 p.m. Posters left behind will be discarded. Hors d oeuvres will be served and a cash bar will be available during the poster sessions. Japanese Yen is required to purchase drinks. If you need to exchange currency there is a machine on the first floor of the Grand Prince Hotel. 4

ORAL PRESENTATIONS Time Allocations Plenary/Keynote Speaker: 60 minutes (50 min for your presentation, 10 min for Q&A). Symposium Speaker: 30 minutes (25 min for your presentation, 5 min for Q&A). Note: Some symposia have more/less speakers and the time has been adjusted accordingly. See program for exact times. Oral Sessions: 11 minutes (8 min for your presentation; 3 min for Q&A). Travel Award Blitz: 6 minutes (5 min for your presentation; 1 min for Q&A). Note: A five slide maximum is recommended. Your final slide should contain your poster title and numerical location so that additional questions and discussion can take place during the poster session. Oral presenters should bring their presentation on a thumb drive (USB flash drive). The presentation may be downloaded to the IBNS laptop provided in each session room prior to the presentation time. Laptops provided will be have Microsoft software. If you require a Mac, please bring your laptop and the appropriate cords for projection. Oral presentations will be viewed by select students at the Hiroshima University via live streaming. AWARDS BANQUET Join us for the IBNS Banquet at the Grand Prince Hotel on Friday, June 30th for entertainment, award presentations, dinner, DJ and dancing from 8:00 p.m. until Midnight. A meal will be provided and a cash bar will be available. Japanese Yen is required to purchase drinks. If you need to exchange currency there is a machine on the first floor of the Grand Prince Hotel. Business or after-five attire is requested. COMPETITIONS & GAMES There will be a competition for the Best Poster Award in three categories: Undergraduate, Graduate, and Post-Doc. There will be one award given in each category. The winner in each category will receive a certificate and free registration for the 2018 meeting in Puerto Rico. IBNS Networking Bingo - Open to students/post-docs. Pick up your card at the Student/Post-Doc networking social. Networking game - total blackout on your bingo card will make you eligible for drawing at banquet for 2,500 Yen in cash. Two names will be drawn, must be present to win. Photo Contest - Open to all attendees. The photo uploaded to the Whova App (official IBNS meeting app) with most likes wins 2,500 Yen in cash. Prize will be awarded at banquet - must be present to win. Caption contest - Open to all attendees. Add a caption to one of the photos on the Whova App (official IBNS meeting app). The winner will be selected by an anonymous judge and will win 2,500 Yen in cash. Prize will be awarded at banquet - must be present to win. Share the science and networking of the IBNS meeting on social media (Facebook, Twitter, Instagram) using #ibnsconnect.
