Using the Mobile Hand Held Device in Connected and Disconnected Modes When using the Connected Mode all changes in erportal are real time. If using the Disconnected Mode and before removing the device from it s cradle or away from the wireless access point it is necessary to synchronize the device with the erportal system. This will upload any new Information that has been entered since the last time it was synchronized. When any changes are made on the Hand Held Device while disconnected from erportal they are stored and will need to be uploaded to the erportal system. When the device is either docked in it s cradle or connects to the wireless access point the device needs to be synchronized to the erportal system. This will upload the stored changes that were made on the device while disconnected. The screen shot below shows how to synchronize the Mobile Hand Held Device to the Computer. Depending on the configuration of your device will determine if you use the wireless access point and or the docking cradle to synchronize devices. Synchronization function can be done before or after signing on to the hand held device. The screen on the left is before signing on and the one on the right is after. 2014 erportal Software Group 1
Logging in to the Mobile Hand Held Device 1. Enter the same User Name and Password used to sign into the main erportal program 2. Tap on Submit to open the Main menu shown on the next page. 2014 erportal Software Group 2

Work Order Create 1. The screen on the left will open after tapping on WO entry on the main screen. 2. The asset code can be Free Form entered or the search option can be used. 3. Tap on Search to open the Asset Lookup. 4. There are 2 options to Sort by; Asset and Description 5. Pump was entered in to the Descr field and all assets with the word pump display 6. Find The asset that should be entered into the work order and tap on it. 2014 erportal Software Group 4
Work Order Create 7. Enter the Craft ID and WO Type using the drop down menus. 8. Set the Asset Status to the correct condition; Running, Down or Degraded. 9. Enter the Description of the work being requested. 10. Tap on Save to Create and enter the work order in to the hand held device. 11. My Work Orders 1. Tap on My Work Orders to open work orders assigned to the person logged in. 2. Tap on the work order to open it. 2014 erportal Software Group 6
My Work Orders 3. Tap on Issue Parts to enter to enter ant parts used on the asset. 4. Change the Qty if more than one item was used. 5. Scan or free from enter the erportal Item Number in the Item # field. The cursor must be in this field to scan the Item number. 6. If free from entering the number tap Finish twice to enter the Item number. 7. Or after scanning the barcode for the Item tap on Finish 8. Tap on OK 2014 erportal Software Group 7

My Work Orders 11. Tap on Enter Proc to add Procedure, Time and Work Performed notes to the work order. 12. Tap on Save and Return 13. Tap on Return on the WO Inquiry screen. My Teams Work Orders 1. Tap on Teams WO s to open the a list of all unassigned work orders for the craft that the person signed in is set up under. 2. The process is the same to enter information on to the work orders as explained in the section, My Work Orders starting on page 6. 2014 erportal Software Group 10
Asset Inquiry 1. Tap on Assets. 2. Enter part or all of the Asset ID or description to open a list of assets in the system with this criteria. 3. Find and Tap on the Asset ID Number to bring up a record of the Asset. 4. Here you can view key information about the asset, view work order history, perform an ad-hoc inspection or create a new work order. 2014 erportal Software Group 11
Asset Inquiry 1. Tap on Create WO. 2. The process to fill in the WO Entry screen is the same as explained in the WO Entry section starting on page 4. 2014 erportal Software Group 12
Ad Hoc Inspections during Asset Inquiry 1. Tap on Inspect to open a linked inspection list for this asset. 2. Enter the requested information or data and tap on Save to advance to the next step. 3. The screen will step through all the steps that have been set up in a procedure that has been linked to the asset. In the screen shot on the right one step has been entered and triggered a work order. 4. When all the information and data have been entered a Message will open stating that All Inspection Data has been Successfully Entered 2014 erportal Software Group 13
Using the Mobile Hand Held Device to create new Assets 1. Tap on Add Asset to open the Asset Entry Screen. 2. Select the Asset Type from the drop down menu. 3. Enter the Asset Code. NOTE: It is best to use the same naming convention used for the new asset that has bee used for assets in the system. 4. Provide a good description of the asset 5. Select the Asset Class, Division and Department from the drop down menus. 6. Enter any other pertinent information into the remaining fields. 7. Tap on Save and a dialog box opens stating a new asset has been entered 8. Enter a new Asset or tap on Return to go back to the main menu. 2014 erportal Software Group 14

There are 5 options to choose from under Materials management; Cycle Count, Item Inquiry, Issue Items, Bin Reorder and PO Receiving. Enter the Stockroom that the cycle count is being done in. 3. Enter or scan the Item # 4. Enter the current Quantity. 5. Tap on submit to enter the current count of the item.. 6. Using the Mobile Hand Held Device for Materials Management Issue Items 1. Tap on Issue Items on the Materials Management Menu and the Issue Item screen opens. 2. Select the Work Order # from the drop down menu. 3. Tap on submit to open the issue screen. 4. Enter the Qty being issued. 5. Scan or enter the Item #. 6. Tap on Finish to enter the item. 7. If the Qty on hand is different then what is displayed, the inventory can be adjusted to the correct amount. 8. Using the Mobile Hand Held Device for Materials Management Bin Reorder 1. Tap on Bin Reorder on the Materials Management Menu and the Bin Reorder screen opens. 2. Enter or scan the Item # 3. Enter the Quantity to order. 4. Tap on submit to enter the Quantity to send to the Reorder List in erportal. 5. Enter another Item # and Quantity to order or tap on Done to return back to the erportal Materials Management Menu 2014 erportal Software Group 22
Using the Mobile Hand Held Device for Purchase Order Receiving 1. Tap on PO Receiving on the Materials Management Menu and the PO Receiving screen opens. 2. Enter or scan the PO #. The sequence number needs to be entered also. In this example it is 1 3. Tap on submit to open the Line Receiving screen. 4. Enter the Line number and tap on submit to open the screen to enter the Qty Rec. 5. Enter the Qty Rec and click on submit. If the entire Quantity order was not delivered the PO will advanced to the 2nd sequence. When receiving the same PO Number the -2 needs to append to the PO number 6. If there is more than 1 Line enter them and complete the process for each one. 7. When all Lines on the PO have been entered tap on Close PO. 2014 erportal Software Group 23
