Modify a Sabre Vacations Reservation Quick Reference OVERVIEW Sabre Vacations enables you to modify confirmed reservations and view the reservation s history, including payment information. Modifications you can perform include: Add general comments Apply payment Change passenger names* Change passenger ages and/or decrease the number of passengers* Change the reservation s travel dates* Change the travel components in the reservation s itinerary (*=reservation-level changes) Note: You can modify a booking made in Shop by Schedule mode following the same shopping flow as the initial search. This mode allows you to modify one leg of the flight without adversely affecting the other leg. Each vendor establishes its own rules for modifying a reservation. As a result, the changes you can perform may vary from package to package. The modify bar on the Itinerary Tools feature identifies the changes you can make to that reservation. Sabre Vacations provides the original itinerary for reference when you modify a reservation. Click Original at the top of the Itinerary Summary screen to review the original itinerary. Important! If the itinerary includes air and the air has been ticketed, Sabre Vacations does not allow you to make reservation level changes*. However, you may still be able to modify the non-air components on the itinerary (for example, change hotels, add a car rental, etc.) RETRIEVE A RESERVATION Use one of the following two options to display the Retrieve Reservation screen: Click Reservations on the top navigation bar, and then Retrieve Reservation Click Member Services, and then Retrieve Any Reservation 2. The Retrieve a Reservation screen displays. Use one of the following two options to retrieve your reservation: Enter your reservation code on the Reservation Number input field, and then click Retrieve Reservation Type the passenger last name or last/first name on the Passenger Name field, and then click Go next to the desired passenger name from the list Note: You can re-order a similar name list by Depart, Reservation number, Status, Vendor, or Booking Source by clicking the respective title. USING THE MODIFY BAR Retrieve the reservation you want to modify. 2. Move down to the Itinerary Tools feature. 3. Us e the respective tab on the modify bar to accomplish any of these tasks: Add payment, Comments and Preferences, Modifications, Copy, History, and Cancel. ADD PAYMENT Select Add Payment on the modify bar at the top. 2. Fill in the required fields on the Add Payment form. Check the Deposit Due and Full Payment Due dates and amounts highlighted in blue. 3. Click the box to agree with Terms and Conditions, and then click Add Payment. ADD COMMENTS AND PREFERENCES Select Comments and Preferences on the modify bar at the top. Click Special Service Requests if you want to add any Hotel, Flight, or Add-on requests. Click Internal Comments to type your general comments in the text box. These comments are for internal purposes only and do not transmit to the vendor with the reservations. 2. Click Sumbit to save your Special Service Requests and/or Internal Comments. The checkout screen displays. General comments display in the General comments field. MODIFY A RESERVATION Select Modifications on the modify bar at the top. 2. Click Change PAX Info to modify passenger s information. A pop-up screen displays the First and Last name field for all passengers. Make the necessary changes Click Submit 3. Click Change Component to modify Air, Hotel, Rental Car, or Features selections. The Summary screen displays only the tabs for the components that you can change. Sabre Vacations populates the itinerary with the original travel components. Use the Change or Remove buttons to modify/delete the itinerary to include different components. Some features are linked to specific hotels. If you change hotels, you may be changing the reservation s features as well. If you modify the itinerary by selecting a new hotel, the original hotel may not display in the hotel s results. If you changed hotels and then you need to reselect the original hotel, stop the modification process by retrieving the original reservation. (Optional) If the package price changed, click Commission to verify and/or adjust the commission amount Click Checkout. Sabre Vacations defaults to display the Traveler and Payment information screen. Review the package s new deposit and balance amounts and due dates. The revised reservation may require additional payment, or you may need to request a refund if the new price is less than the original amount due. Be sure to click the field next to Terms and Conditions to agree Click Complete Itinerary Change to confirm the changes 4. Click Drop PAX/Age Change to change the passenger s age or remove a passenger from the booking. A pop-up screen display with an Age drop-down menu and a Remove Passenger check box for each passenger. Select the appropriate age (1-17 or AD for Adult) from the Age menu next to the desired passenger s name or Click Remove Passenger check box next to the desired passenger s name Click Change to confirm the changes. Sabre Vacations verifies the prices and rules for all travel components and when necessary, adjusts the itinerary and recalculates the package price to reflect the new passenger age or count. 5. Click Change Res. Date to change the travel dates. When you change the reservation s travel dates, the new dates must overlap the original dates by at least one day. Type the new dates on the respective fields or click the calendar icon next to each field to select new Depart/Return, Check-in/Check-out, Pick-up/Drop-off dates. Sabre Vacations defaults to display the reservation s original dates. Verify the new dates and number of nights, and then click Search. The new search results display on the Availability screen. When possible, Sabre Vacations recreates the original itinerary for the new dates. If the original travel components are not available for the dates, Sabre Vacations selects a substitute component. A one-time message displays on the screen when the original reservation components do not match the components for the new dates. (Optional) click the different components on the Availability screen to modify the new itinerary (Optional) If the package price changed, click Commission to verify and/or adjust the commission amount Click Checkout. Sabre Vacations displays the Checkout screen. Review the package s new deposit and balance amounts and due dates. The revised reservation may require additional payment, or you may need to request a refund if the new price is less than the original amount due. Click Complete Itinerary Change to confirm the changes 6. Click Apply Promotion to enter a Promotion code. Type the code on the Promotion Code field, and then click Apply. CLONE A RESERVATION Select Copy on the modify bar at the top. 2. Select the number of Rooms, Adults, and Children for the new itinerary, and then click Copy Reservation. 3. The new itinerary displays. If inventory is unavailable, click the different Components on the Availability screen to make the appropriate selection, and then click Checkout. 4. Complete the travelers and payment information, and then click Complete Booking. The complete reservation itinerary (including the reservation number) displays on the Reservation Confirmation screen. HISTORY Select History on the modify bar at the top. 2. Select the History Type from Comment History, Accounting History, Reservation History, and Reservation History with Special Service Requests. CANCEL A RESERVATION Be aware that vendors may apply a fee for cancelling a reservation. Always review the Terms and Conditions for any cancellation penalty information. Select Cancel on the modify bar at the top. 2. Verify the passenger name and travel data. Important! Sabre Vacations displays a warning message to identify the amount of any applicable cancellation fees. 3. Click Complete Cancel. A Canceled message displays at the top of the screen. If the vendor assessed a cancellation penalty, the fee displays in the Itinerary Summary screen. 4. If it applies, click Refund Request next to the Reservation number to request a refund. REFUND REQUEST Retrieve the booking you want to request a refund for. 2. If you have not done yet, cancel the booking following the steps on the Cancel a Reservation section. 3. Click Refund Request next to the Reservation Number at the top. 4. Read the information on the form and fill in the Agent Name, Agent Email, and Agent Phone Number fields. 5. Choose one of the available Refund Options, and then click Submit.
