PANstrat Solutions is a software company established in 1998 for the sole purpose of developing a software product for the hospitality industry. The system, marketed as The PANhospitality Suite, is a seamlessly integrated software package that contains Reservations, Point of Sales, Stock Control, Debtor s, Creditor s, General Ledger and Reporting. It contains additional features such as: bank reconciliation s, multi-currency transactions, multi-locations for stock, multiple combinations of accommodation rates, currency conversions, cash tracking, logging of changes or modifications to transactions, multi-level user access, touch screen point of sale, multi-property handling, cost centers handling, department handling, order entry, menu costing, interfaces with most telephone management systems, custom report writer, customizable management reports, 36 active accounting periods allows reporting on previous two years. PANhospitality is a Windows based client/server system. It was developed using Firebird 1.5 and Borland Delphi 10. It must ideally run on a 100 MB/s TCP/IP network, but can also run in a single user environment making it ideal for the smaller Bed & Breakfasts and Guesthouses. While the workstation runs on any version of Windows, in the network environment we recommend Windows 2008 Server or later. 04
Changing over to your PANhospitality Suite: We, as your PANstrat Support team will assist you in setting up your database prior to installation by: Importing all your stock items with Unit costs and selling prices. Importing all your Debtors and Creditors. Importing your Chart of Accounts. Setting up your rooms and rates for your reservations. Creating your different Market Referrals. Setting up user level access as required for various departments Setting up your online distribution platform Once the configuration has been completed we proceed with basic training on the system. A: Yes. When creating a reservation you will be able to create sub bookings for guest and group accounts. All sub bookings will be linked with the main booking. With the guest list feature you will be able to create individual accounts for group bookings, while still maintaining a main/principal account for the agent. Q: Will we be able to set up room rates instead of per person rates? A: The system allows you to set up alternative rates. The rate setup can be done as room rates or per person rates, and also includes rates for extras such as tours, transfers, activities etc. We also allow stock to be set up as bookable, which will make the item available as a rate. Different date ranges can also be set up on the system for holiday periods, peak seasons, special events etc. 06
02 Close rooms off for Maintenance Room Status Module Housekeeping can use the Clean and Dirty Room Report to manage the department Q: How will the availability of rooms affect the status of the room e.g. provisional, quoted, waitlisted, cancelled or confirmed bookings? A: Waitlisted and Quoted rooms will not affect the availability of rooms. Only provisional and confirmed bookings will deplete rooms. Cancelled rooms/bookings do not affect your room stock. Q: Will the program allow over bookings? A: There is an option in the company setup which will enable you to activate or de-activate over bookings. Q: How will I indicate on the system if there are rooms closed for maintenance? A: The system will allow you to block rooms for selected dates. Rooms that are blocked will not be bookable over this period. 07

A: The system enables you to setup different Price Categories where you can specify different prices which are linked to debtor groups and debtor accounts. These prices will only effect the items sold from point of sale and will not have an effect on your accommodation rates. Q: As a wedding venue we receive large deposits for beverages. How will the system be of benefit in this regard? A: On the system you will be able to receipt a point of sale deposit, which will allow you to select it at a later stage to use as a payment method. Q: Will the system allow partial payments on invoices? A: Yes. You have the option to do partial payments on point of sale as well as using different payment methods.

A: The Inventory Module includes a stock transfer feature which will allow stock transfers from one location or store room to another. You will also be able to do issues with the stock transfer. Q: Will the system enable us to issue expired or broken stock to write offs accounts? A: By using the stock transfers you will be able to issue stock to write off accounts, entertainment accounts, cost of sales accounts etc.
