Which BitTitan tool is right for your project? BitTitan designs and builds end-to-end solutions for SMB to enterprise Data Migration projects. BitTitan migration tools provide solutions to migrate data from the server as well as Outlook configuration from the desktop. There are two broad solutions BitTitan provides for Office 365 migration projects: UserActivation and MigrationWiz with DeploymentPro. UserActivation UserActivation is a solution that has been designed for SMB migration projects. UserActivation provides an end-to-end solution specifically for migrating customers to Office 365: tenant provisioning, licensing, user creation, mailbox migration, DNS changes, and desktop configuration are automated by UserActivation. But if your business relies on performing these types of migrations on a regular basis, then the majority of your costs are going toward technical engineering to support the multiple manual steps associated with migration and client configuration. We have designed UserActivation to automate many of the tasks associated with migrating mailboxes and configuring Outlook for SMB migrations to Office 365. Automating these tasks significantly reduces the amount of time that your engineers are spending on each project, allowing you to maximize profit or to provide more competitive pricing for your services. BitTitan has designed, built, and maintained ownership of the entire UserActivation IP stack. We do not rely on third-party tools, services, or dependencies. Coupled with the scheduling features in UserActivation, this level of control lets you determine the exact timeline for your migration. Other migration solutions require you to submit your project and wait up to 5 days before anything happens. But UserActivation begins migration when you click Submit. And with 24/7 live support, BitTitan is quick to work with you to resolve issues should they arise. The tasks associated with migrating to Office 365 messaging can be grouped into three phases: 1. Discovery, preparation, and migration 2. Create and customize Office 365 3. Outlook configuration, user communication, and support Each phase is composed of a number of manual tasks that UserActivation automates with minimal configuration. Phase 1: Discovery, preparation, and migration 1. Customer environment discovery: UserActivation auto-discovers the email provider and DNS provider.

2. Build end user communications: UserActivation includes optional automated email notifications for end users at various points during the process. You can customize these messages according to your specific scenario. 3. Build migration plan and migrate the data: UserActivation automates the migration of your Source messaging data into Office 365. UserActivation migrates server data and Outlook data: Mailbox data: emails, calendars, contacts, journal, notes and tasks; Outlook rules; folder permissions Outlook settings: autocompletes or Nk2 files, signatures, attached PSTs Phase 2: Create and customize Office 365 1. Purchase Office 365 tenant: UserActivation purchases and provisions Office 365 for the tenant that you specify during setup. If you provide your Partner ID, UserActivation will ensure that it gets applied to the new account. 2. Verify the domain name: UserActivation handles domain ownership verification with the Office 365 service. 3. Create Users: UserActivation discovers all users in your current environment. You can specify which users to migrate, or migrate them all. UserActivation will then create the users in the Office 365 tenant. 4. Select and assign licenses: UserActivation allows you to batch users into different profile groups. You can then assign the appropriate Office 365 licenses to each profile. Profiles also allow you to specify whether Outlook is configured or mail is migrated for a given profile in the Destination environment. 5. Configure DNS: After the users have been created and a pre-migration pass is performed, you then schedule when UserActivation will configure the DNS records for Office 365. After the MX and other DNS records have been changed, UserActivation will complete a Delta migration pass on the Source environment for the final cutover to Office 365. At this time, UserActivation will also kick off the Outlook configuration tasks on the user desktops. 6. Customize Office 365: UserActivation copies all distribution groups, shared mailboxes, and resources from the Source environment to the new Office 365 environment. Phase 3: Outlook configuration 1. Install and configure Outlook: UserActivation includes the DeploymentPro Agent. You can configure how this agent is distributed to the users. You can distribute the agent with an automated email process that walks users through a simple download process. Or you can copy the agent to local

network share. In this scenario, UserActivation will communicate installation instructions through email. Or you can distribute the agent by means of a silent installation using Group Policy. After the UserActivation completes the DNS configuration, it notifies the DeploymentPro Agent installed on the users computers, where the agent automatically launches. The agent is a familiar wizard-based user experience that configures Outlook for Office 365. You can customize the DeploymentPro Agent to show your logo and company tagline. Configuration is straightforward: users enter a password and the agent creates a new Outlook profile, migrates the user signatures, and reattaches any PSTs that the user had configured in their previous Outlook profile. 2. Support: Manual configuration of Outlook can be a time-consuming and error-prone process, especially if you are relying on end users to create and manage Outlook profiles and PST files. UserActivation tracks which users have installed and run the DeploymentPro Agent, optionally sending reminders to the users that have not complied. Instead of visiting every desktop in the organization, you can review the status of user compliance in UserActivation, and identify only those users that need assistance.

UserActivation: calculating profitability In this section, we provide profitability comparisons between manually migrating and configuring desktops versus automating these tasks with UserActivation. In the manual migration scenario, you must charge over $100 per user just to break even. cloud-based email or document storage solution. In addition to migrating traditional mailbox data such as email, calendars, contacts, tasks, journals, etc., MigrationWiz also migrates PSTs, public folders, documents, and other data types. MigrationWiz is managed and configured from your web browser. All migration processing occurs in the cloud in one of five secure, highly performant MigrationWiz distributed datacenters. DeploymentPro is an end-to-end solution that simplifies the tasks associated with configuring an Outlook profile on user desktops for Office 365. The Outlook profile is configured with an agent that DeploymentPro distributes to the user desktops by email, network share, or by Group Policy. The agent is a familiar wizardbased user experience that configures Outlook for Office 365. You can customize the DeploymentPro Agent to show your logo and company tagline. Configuration is straightforward: users enter a password and the agent creates a new Outlook profile, migrates the user signatures, and reattaches any PSTs that the user had configured in their previous Outlook profile. Together, MigrationWiz and DeploymentPro support a broad set of migration scenarios across a number of systems, regardless of size. Our customers have migrated small, complex projects hosting only a handful of users, as well as massive enterprise messaging solutions with thousands of users. MigrationWiz and DeploymentPro support cutover migrations and staged migrations. The engineers at BitTitan have done the hard work to abstract the complexity of migrations across different solutions. To help eliminate compatibility issues and further reduce the cost of testing and troubleshooting, the matrix of supported source and destination solutions are hard-wired into the UI. Therefore, you cannot configure an incompatible migration set. Both tools allow robust configuration, monitoring, and reporting in a simple web-based interface. Unlike most free

migration tools offered by messaging vendors, MigrationWiz and DeploymentPro do not require installation of new hardware. MigrationWiz UI: Abstracting complex migration scenarios to an intuitive user experience The biggest expense of most IT-related projects is usually costs associated with human resources. The more you can reduce the time that people are spending with the various phases of a migration project (planning, installing software, configuring, testing, moving data, troubleshooting, retries, etc.) the more time and money you will save, and the less downtime your users will experience. Therefore, a critical variable required for calculating migration cost is the time commitment required by IT professionals to perform the end-to-end migration. For example, a migration project that introduces software installations and additional onsite server configurations will drive the cost of your project up. Additional minimum software requirements and dependencies imposed by free tools often require upgrades before you can even start your migration. Some of these requirements are likely to require existing in-house expertise, costly consultants, or in-house training for software that may only be installed and run once. MigrationWiz has been designed to minimize these costs. MigrationWiz is run entirely from a web browser. The UI is an intuitive design that makes sense to people who want to move data. Regardless of whether you are moving mailboxes, Public Folders, or documents, your project is defined by specifying a Source server and a Destination server. From there, you can configure advanced settings to batch up users and credentials, to optimize performance, or to customize your migration according to your organization s specific needs. After you have specified the Source and Destination servers, the items you want to move, and the appropriate credentials, you then submit your project for migration, where you can monitor the process in real time.

The UI and migration engine provided by MigrationWiz afford the same Source/Destination model for all data types, thereby providing an intuitive experience across projects, regardless of data type. In other words, the UI that you use to migrate mailboxes is the same UI that you use to migrate Public Folders and documents. It s a simple model that does not impose extensive training requirements for you or your staff. Increasing profit with MigrationWiz and DeploymentPro As Office 365 migration projects scale up, the time spent on user-related tasks grow linearly, while others remain fixed. For example, the manual task of user discovery for a 75-seat migration might take 4 hours; whereas, the same manual task for a 250-seat migration might take 10 hours. On the other hand, fixed tasks, such as purchasing the Office 365 tenant, adding and verifying a domain in the Office 365 provisioning workflow, or switching over your DNS records after migration, take the same amount of time regardless of how many seats you are migrating. The migration tasks we ve prioritized in MigrationWiz and DeploymentPro are those tasks that cost you the most engineering money as your project scales up: discovery, data migration, and Outlook configuration.

By using the MigrationWiz filtering options, you can exclude data types, such as calendars, mail, contacts, etc. from a mailbox migration. MigrationWiz also allows you to exclude specific mail folders in Exchange migrations. By using the date filtering functionality for Exchange migrations, MigrationWiz allows you to prefill and backfill the Destination source so you can optimize the migration timeline according to your business needs. During the migration, MigrationWiz provides real time reporting and error resolution status. Unlike a manual migration, where engineers are monitoring multiple Sources across a number of tools, MigrationWiz reports all migration status through a single administrative interface. And with 24/7 live support, BitTitan is quick to work with you to resolve issues should they arise. Phase 2: Create and customize Office 365 MigrationWiz and DeploymentPro do not automate Phase 2 tasks. This is because the engineering time associated with Phase 2 tasks is generally fixed. However, some tasks, such as preparing the CSV file for upload to the migration tool, customizing Office 365, or uploading users take such an inconsequential time per user that automating them is cost-prohibitive. So for example, the difference in paying a consultant $75 an hour to upload prepare a CSV file with 50 users compared to preparing a CSV file with 250 users is about $250, or 1.4% of a manual migration to Office 365 with 250 seats. Compare this to the task of manually migrating a mailbox, which averages about 10 minutes per user. In the same 250 seat scenario, manually moving 250 mailboxes costs $3125 and the cost difference of paying a consultant $75 an hour to move 50 versus 250 mailboxes is $2500, or 14% of the cost of the entire project. In this scenario, using MigrationWiz to migrate the mailboxes would take 3 hours of consultant s time ($225). Phase 3: Outlook configuration Outlook configuration by DeploymentPro is integrated into the MigrationWiz workflow and UI. DeploymentPro is a wizard-like agent that runs on the user desktop. End users click through the wizard and enter a password. The agent configures the user Outlook profile to connect with Office 365; it also imports the users current profile signatures, and attached PSTs. You can learn more about the process of deploying
