Ensure Compliance with New FLSA Overtime Rules The U.S. Department of Labor issued final rules on May 18, 2016, that would substantially increase the minimum salary requirement to be exempt from overtime under the FLSA. On November 22, 2016, a federal judge in the U.S. District Court for the Eastern District of Texas issued an injunction and temporarily blocked the new overtime rule. 28

Provide your annual enrollment specialist with the carrier account manager and the account structure documentation for plan changes. Review your Employee Self Service content and workflow rights (and update if applicable). 33

December Checklist Return items requiring a response to ADP. Obtain 2016 Forms W-4 for employees. Complete prior quarter adjustments or amendments. Process year-end bonus and adjustment payrolls and verify their accuracy. Notify ADP if you need new management reports. Review your Preview Forms W-2 and Preview Wage and Tax Register so that you can verify the accuracy of your Social Security numbers, names, and addresses. 41
December Checklist (cont.) Submit your W-2 Release Form by January 25, 2017, to release your Forms W-2 and request Direct Mail Service. Work with your payroll service team to set up new special accumulators. Verify that all manual and voided checks and special compensation moneys have been accurately submitted. Review the final payroll of 2016. Enter backup withholding. Submit your SUI and workers compensation rate change requests through the ADP Support Center. 42
Direct Mail Benefits ADP can mail employee Form W-2 or Form 1099 documents directly to each employee s home, providing the following benefits: Convenience Confidentiality Ease of distribution (especially for terminated employees and multiple work sites) Elimination of postage metering and handling Outsourcing of a non-core task that frees up your time to focus on critical issues 43
Direct Mail Process Direct Mail Service no longer requires an advance request. Forms W-2 are postmarked by January 31, 2017. Submit your W-2 Release Form no later than Wednesday, January 25, 2017, and indicate whether you want Direct Mail Service. If forms are not received by this date, ADP will deliver paper Forms W-2 to the employer s legal address. 44
Direct Mail Process (cont.) The W-2 Release Form is available on the ADP Support Center. Submissions through the ADP Support Center are sent directly to your dedicated service team. You can also request a PDF version of the release form from your dedicated service team. You can send the PDF version of the form by email to HRServices@adp.com. Pricing for this service includes a $45.00 base charge per company code and a $1.15 charge per mailed document, including all postage metering and handling. All employer copies and other year-end reports will be delivered to the employer s address that is on record with ADP. 45

January Checklist Verify receipt of all reports. Submit your W-2 Release form to ADP by January 25, 2017. Forms W-2 will not be produced until the release form is received, authorizing ADP to release them. Indicate on the release form whether you want Direct Mail Service. Review Forms W-2 and distribute them by January 31. Verify 2017 schedules. Verify new company setups. Have employees claiming tax-exempt status complete new Forms W-4. 48

The Payroll Schedule verifies your company s payroll week numbers, schedule deduction codes, pay and period-ending dates, and quarter-end closing dates.
