VILLAGE OF VERNON HILLS INVITATION FOR BIDDER S PROPOSAL Bid Conditions Page 1 of 2 1. Invitation to Bid. The Village of Vernon Hills, 290 Evergreen Drive, Vernon Hills, IL ( The Village ) invites Bidder s Proposals for the items described in detail in the Bid Specifications page and generally describes as follows: the expansion of the existing Storage Area Network for the Village of Vernon Hills. The Village is eligible for Government pricing. 2. Bid Opening. The Village will receive sealed Bid Proposals for the Equipment until 12:00 P.M., November 3, 2017 at the Village s Office listed above, at which time all Bidder s Proposals will be publicly opened and read aloud. Late bids will be returned unopened. Bid envelopes must be marked Village SAN Expansion Bid. 4. Qualification as Authorized Dealers. Bidders must be authorized resellers of Dell EMC components and shall provide all applicable manufacturer warranties for the items being bid. 5. Delivery Cost. The price quoted by the vendor shall include delivery F.O.B. to the Village of Vernon Hills, 290 Evergreen Drive, Vernon Hills, IL. 6. Taxes The Bidder can assume that the Village is exempt from State Sales Tax and Federal Excise Tax. Any other applicable tax should be included in the bidder s bid price. 7. Installation Responsibility. Installation will be done by the Village of Vernon Hills Information Technology IT Contractor.
Bid Conditions Page 2 of 2 8. Bid Acceptance. After analysis by the Village, a bid will be awarded by the President and the Village Board of Trustees at a regularly scheduled Board Meeting. 9. Bid Acceptance Period. Bids must be good for sixty (60) days after their receipt if awarded within those sixty (60) days by the Village President and the Board of Trustees. 10. Delivery Timeframe. Delivery of all SAN Expansion Equipment specified in this bid must occur within thirty (30) days after the receipt of a Village Purchase Order based on award by the Village President and the Board of Trustees. 11. Delivery Acceptance. The SAN Expansion Equipment will not be accepted unless all specifications agreed on are met at the time of delivery. 12. Exceptions. All exceptions to the bid specifications must be noted in writing. 13. Village Rights Reserved. The Village reserves the right to reject any bids, and to accepts parts of different bids, to waive any and all technicalities or irregularities in a bid, and to accept that bid which in the judgment of the Village is to the best advantage of the Village.
