Adding Orders and Assignments Step 1: Order Add Wizard Within the Order ribbon, select the Add icon. The Order Add Wizard begins with a Company Look Up. In the Parent field, type the name of the company for which you d like to add the order. Select the A list of companies will appear as possible matches. Look out for possible duplicated companies. Select the correct company from the list, then the Review the company structure. If the structure is accurate, click the If the wrong company level was chosen, select the Back button and pick the right one.
Step 2: Creation Options The Branch to Service Order field will default to the branch that services that particular company. If it is not correct, select Cancel and fix it within the company before continuing with the order. The Order Date is always the date the client called with the order, which should be the day it s entered. Choose the appropriate Order Type. If Temporary is chosen, StaffSuite will only allow you to add assignments for temporary jobs. If you choose Direct Hire, StaffSuite will only allow you to add positions for direct placement. This field cannot be changed once the order is saved. Click the Order Acquisition drop down and choose whether the company called the branch (Branch), if a sales representative contacted the company (Sales), or if a Corporate Recruiter came across the order (Corporate Recruiter). Only check the Create new Std Order checkbox, if you are adding this as a standard template and NOT an actual client order. After reviewing the Instructions field, select the Step 3: Order Description Click the Reason drop down and choose why the order is being added. Enter the number of people the company wants within the # Needed field. The Service Line pulls from the company level. If you choose a service line that has not been entered in StaffSuite, it will not pull the correct comp code and markup onto the assignment.
Choose the most fitting option within the Category field, such as Production. In the Description field, detail what the actual job will entail. After reviewing the Instructions field, select the Step 4: Relationship Information The Taken By field will default to your name, since you are the one creating the order. The Sales Rep will pull from the company screen. If this is not correct, you may change the Sales Rep field by clicking the binoculars, then looking up the rep s name. The Order Rep field should identify the person who gave you the order. Click the icon to the right, then choose the appropriate individual. If the person is not listed, choosing List All will display everyone from that company. Several companies have a rep you should confirm with before working on the order. Click the icon to the right of the Confirm Rep field, then choose the appropriate person from the list. After reviewing the Instructions field, select the
Step 5: Billing Information Defaults from all of the information in the company level. Occasionally you will have to put in a PO Number, but most of the time this page doesn t need to be filled out. The fields in red are required to be completed before moving on. After reviewing the Instructions field, select the Next button. Step 6: Temporary Order Complete. Verify the information. You may change the description and number of assignments the client needs filled. Select Finish when the information is correct, including the Instructions field. Step 7: Assignment Add Wizard Once the order is added, the assignment or position add wizard will immediately open. All of the information will default from the order that was added. You should not select Secondary Source, unless you have another company helping you staff. Click Next.
Step 8: General Assignment Information The Reporting To and Working For defaults in, but be sure to verify the information. If you would like to change the field, click on the filter button and choose the correct rep. After reviewing the Instructions field, select the Step 9: Assignment Details Enter the Job Title in the field provided. The Job Description will be pulled from the order. If you change the text in this field, it will only change on the assignment, not the order. Choose the appropriate Employment Type. Other qualifications can be added such as Skills by checking the checkmarks provided. After reviewing the Instructions field, select the
Step 10: Skills Required Select New. Choose which Skills are required, then select OK. After reviewing the Instructions field, select the Step 11: Rate/Profit Information The Corporation will default to Elwood Staffing. For the Work Class, pick the option that is close. The Workers Comp code automatically defaults from the company. If the Workers Comp is empty, cancel out of the wizard, then fix the company information before going any further. When you put in the Pay Rate and hit tab, it figures up the markup for you. If you would like to verify the Bill Rate is accurate, select the Negotiate Rates button. When you are finished select the
Step 12: Assignment Work Schedule On the assignment work schedule, the first thing to check is the length of assignment. The Estimated Days is always set to one day, so be sure to change it to the appropriate number. If you have no idea when the assigment will end, enter 8888 days. When you hit tab the Est End Date will automatically change. Always leave the Weekly Hrs as 0. Enter the Start Time and End Time for the assignment. Select the appropriate Shift. In the Further Details field include if overtime is required or if there s a special schedule. Then, pick the days of the week they are required to work. After reviewing the Instructions field, select the Step 13: Assignment Verification You may change the number of assignments or add additional assignments for the order. Select Finish.
