Overview Rio Tinto Kennecott (RTK) has contracted with BROWZ to facilitate the fulfillment of contractor employee identification cards to be used at RTK. Your employees will be issued an HID access card to RTK. They will be required to have these cards with them as they enter and leave the RTK site. Employee arrival and departure data from card swipes will also be used to audit supplier invoices issued to RTK. Adding Employees 1. From the Employees menu at the top of the page select Employee Dashboard. 2. From the Manage Employees tab select the Add Employee Icon 3. Add all of the relevant employee information. First Name and Last Name are required fields. If your employee has an email address it would be helpful to add it. The email address will be used to communicate information about online induction training to the employee. Select the Update button to complete the employee add. 4. When prompted to add assignments to this employee, select OK. 5. On the Client Assignments screen the employee will automatically be assigned to the RTK (denoted as Kennecott Utah Copper). However, you must request gate access to the appropriate gates by checking the corresponding check boxes. When completed, click Save. 1
6. You are required to upload employee photos for KUC. These images will be used on the employee s HID card. Please ensure the image is in the portrait orientation not landscape. 1. Select the Manage HID Cards tab from the Employee Dashboard. Ordering Cards Figure 1 2. This screen will default to show you cards with the following status: Unpaid these are cards that you have not paid for. Paid These are cards you recently paid for. Cards will be immediately transmitted to the fulfillment center. Cards should not stay in this status for more than two minutes. Fulfillment These cards have been sent to the fulfillment center and will be printed and shipped at 4pm Eastern Time on the day you order them. 3. Select the Unpaid cards you wish to pay for. You may select cards by checking one of three methods ( Refer to figure 1 above). 1 Check this box if you have multiple pages of employees and wish to pay for them all. 2
2 Check this box to select unpaid cards on this page only. 3 Check these boxes to select individual employees Note: You will not be able to order cards for employees without photos. 4. Once you have chosen the employees that you want to order cards for, select the PAY icon. 5. You will get an order summary. Select Continue. 6. You will be required to enter your credit card and shipping information. Select Next. Note: Credit cards are the only form of accepted payment for your order. 7. After you review your order, click Submit Payment. Your order is now complete. All orders received by 4PM ET will be shipped that day via the US Postal Service. If you ordered more than 25 cards, they will be sent by Federal Express 2-day. Activating Your Cards In order for your cards to be used at RTK they first need to be activated in the BROWZ system. 1. Login to BROWZ. 2. Go to the Employees > Employee Dashboard. 3. Select the Manage HID Cards tab. 4. Select the appropriate employee from the list of cards and enter the 6 or 7 digit HID card number. 5. You will be asked to enter the number twice to ensure that you have keyed it in correctly. If you get an invalid card message, please contact BROWZ. 6. Your employee HID card is now activated. 3
Although your card is activated your access is subject to approval of Rio Tinto Kennecott. Your company and employees must meet all of the compliance requirements of Rio Tinto Kennecott in order for the card to remain active. Printing a One-Time Temporary Badge If an employee needs access to KUC before their badge has arrived, you may print a one-time temporary badge that can be read at a QR Code reader at the RTK gate for two weeks. 1. From the Employee Dashboard, select the employee for which you would like to print a temporary badge. 2. From the Employee Details tab select Print ID Card. 3. Select ID Card from the radio button. 4. When prompted to create a temporary HID card select Yes. This will generate a temporary card that contains a second QR code that can be used at RTK to access a gate with an optical reader. 4
