General Description: Plans, organizes, coordinates, and monitors City special events, including the Lake Mary Farmers Market and the Lake Mary Heathrow Festival of the Arts. Essential Job Functions: Plans and coordinates City special events and signature partner events at various parks and facilities. Responsible for the overall event operation process and serves as on-site lead for all City events and signature partner events. Directs and coordinates event operation planning meetings with other City departments, City employees, and citizen groups to identify, plan, and improve City special events. Coordinates and monitors event timelines to ensure deadlines are met. Facilitates and coordinates vendors, entertainment, event activities, and event sponsors and tracks event receipts and invoices. Assists in creation and determination of sponsorship opportunities for City special events. Actively solicits sponsorship support for all City events and signature partner events and maintains sponsor relationships. Communicates special event information to local businesses and organizations around the City. Organizes supplies and marketing materials for all events, ensuring that supplies needed for event operations are available. Responsible for creation and implementation of special event marketing plans and special event social media campaigns. Performs administrative tasks including answering phone calls and emails, utilizing RecTrac software database, contract management, fee and deposit collection, budget formation, and event reports. Follows safe working practices and has a working knowledge of safety practices and procedures in accordance with the City s Safety Plan. Afternoon, evening, weekend, and holiday work is required. Performs other related duties as required and other such work as may be assigned.
