City of Lake Mary Position Vacancy Announcement 17-10 POSITION TITLE: Special Events Coordinator PAY RANGE: $15.28 - $23.86 DEPARTMENT: Parks & Recreation MINIMUM QUALIFICATIONS: Graduation from a community college or equivalent with an Associate s Degree supplemented by two (2) years progressively responsible experience in public relations, hospitality management, marketing, event coordination, leisure administration, community programming, and/or special events. A combination of training and experience may qualify an applicant for consideration. Must have or be able to complete ICS 100 and 700 courses within six (6) months of hire. Must be proficient in Microsoft Office. Valid Florida Driver s License with an acceptable driving record. Knowledge of the principles and practices of special events operations. Ability to create clear and detailed event plans, including but not limited to site plans, marketing plans, safety plans, and sponsorship plans. Strong communication, organizational, and interpersonal skills. Ability to develop event budgets and monitor event expenditures. Ability to lead others and promote teamwork. Ability to coordinate complex events and meet deadlines. Knowledge of public relations, customer service, and marketing principles and practices. Knowledge of business English, spelling and punctuation. Ability to deal effectively with the public. Ability to write in creative, descriptive, technical, and factual manner. Ability to run a meeting and communicate effectively through all means of communication. Ability to respond to difficult and stressful situations effectively and perform tasks with tact, discretion, and courtesy. Ability to work independently in carrying out assignments to completion. Ability to work outside during events in addition to inside in an office environment. Skilled in the use of a computer system and database software for word processing and spreadsheet use. Skilled in the operation of basic office equipment, such as a computer, scanner, copy machine, phone, and printer.

POSITION FUNCTION: Plans, organizes, coordinates, and monitors City special events, including the Lake Mary Farmers Market and the Lake Mary Heathrow Festival of the Arts. General Description: Plans, organizes, coordinates, and monitors City special events, including the Lake Mary Farmers Market and the Lake Mary Heathrow Festival of the Arts. This position requires knowledge of event planning and operations. This position is expected to work all City run special events. Work is performed under the general supervision of the Recreation and Events Manager and is reviewed through results achieved. Essential Job Functions: Plans and coordinates City special events and signature partner events at various parks and facilities. Responsible for the overall event operation process and serves as on-site lead for all City events and signature partner events. Directs and coordinates event operation planning meetings with other City departments, City employees, and citizen groups to identify, plan, and improve City special events. Coordinates and monitors event timelines to ensure deadlines are met. Facilitates and coordinates vendors, entertainment, event activities, and event sponsors and tracks event receipts and invoices. Assists in creation and determination of sponsorship opportunities for City special events. Actively solicits sponsorship support for all City events and signature partner events and maintains sponsor relationships. Communicates special event information to local businesses and organizations around the City. Organizes supplies and marketing materials for all events, ensuring that supplies needed for event operations are available. Responsible for creation and implementation of special event marketing plans and special event social media campaigns. Performs administrative tasks including answering phone calls and emails, utilizing RecTrac software database, contract management, fee and deposit collection, budget formation, and event reports. Follows safe working practices and has a working knowledge of safety practices and procedures in accordance with the City s Safety Plan. Afternoon, evening, weekend, and holiday work is required. Performs other related duties as required and other such work as may be assigned.
