Job Description Job Title Venue Hire Officer Location National Waterfront Museum Background Amgueddfa Cymru National Museum Wales was founded by Royal Charter in 1907 as the National Museum of Wales and was granted Supplemental Charters in 1991 and 2006. It derives its funding in the main from the Welsh Government as a Welsh Government Sponsored Body (WGSB). Amgueddfa Cymru National Museum Wales consists of National Museum Cardiff, St Fagans: National History Museum, the National Slate Museum, the National Wool Museum, the National Roman Legion Museum, Big Pit: National Coal Museum, the National Waterfront Museum and the National Collections Centre. The key purpose of Amgueddfa Cymru is the advancement of the education of the public. This is to be achieved by caring for, enhancing and giving access to the collections, which cover earth and natural sciences, fine and applied art and the archaeology, and industrial and social history of Wales. The Vision of Amgueddfa Cymru National Museum Wales today is to be a world-class museum of learning. The senior management group consists of the Director General and four Directors. Main purpose of the post To administer and effectively oversee venue hire enquiries and events at the National Waterfront Museum and assist the Business Development Manager with commercial filming and photo-shoot requests. Responsible to This post is matrix managed. The post-holder will be line managed by the Marketing & Communication Officer in Swansea on a day-to-day basis, and supported by the Business Development Manager on an operational and strategic level. Key Tasks and Responsibilities Core Tasks 1. Respond to telephone, written and in person enquiries regarding hiring Museum facilities. 2. Undertake site tours with clients, and make recommendation on the most suitable area(s) for their event, and follow-up with summary and quote in writing. Ensure booking forms are signed, completed and returned. 3. Maintain and update administration client files to ensure all accounting and booking procedures are in place. Prepare and present monthly reports for AC- NMW and Elior. 4. Work closely with Museum colleagues to ensure client bookings do not clash with internal programmes and correctly input bookings into the electronic booking system 5. Liaise with Museum colleagues, clients and contracted suppliers and performers to plan events effectively and obtain necessary risk assessments and insurance documentation in advance 6. Prepare and forward Sales Advices to the Finance Department in advance of events and raise purchase orders where necessary 7. Maintain and update administration files to disseminate accurate records for month end accounting and venue hire meetings 8. To act as Duty Officer and take the lead in ensuring smooth running of events and oversee functions 9. Conduct regular meetings with the catering franchise holder to plan and ensure smooth running of forthcoming events 10. Assist with set-up and take-down of basic AV equipment in the absence of the technical team 11. Maintain a bank of suitable images and client testimonials to use for publicity purposes 12. To work with site management team to renew relevant licenses well in advance of expiry; make and process applications to the Council for temporary extensions to late license on behalf of clients 13. To work with site management team to ensure all area and event risk assessments are up to date and reviewed regularly

14. Use social media to promote and raise awareness of venue hire opportunities at the venue 15. Assist the Business Development Manager in the administration of commercial filming and photo-shoots requests and oversee such events when required Corporate 1. High quality events and other income generating are produced for as wide a range of customers as possible, in a cost efficient, efficient and timely manner. 3. Appropriate and timely information will be produced for all involved in delivering the events and opportunities, including customers, franchise holder, external suppliers and museum staff. 4. Agree venue hire initiatives in the Enterprises Strategic Plan and the Sales & Marketing Plan will be delivered on time, within budget and to agreed customer service delivery outcomes

Person Specification ESSENTIAL DESIRABLE Knowledge Required Working knowledge of office systems. Working knowledge of planning, organising and delivering a range of events Knowledge of budget administration and reporting. Knowledge and understanding of processes for collating and reporting statistical information. Experience of working in a similar role in a hospitality/event environment Experience Required Experience gained in a busy office environment, dealing with public and staff. Experience of co-ordinating and overseeing a range of different events, and dealing confidently with clients at all levels Demonstrated experience in daily budget and financial management, including maintaining and monitoring records of budget spending. Experience of managing and processing orders, invoices and payments. Qualifications Required Educated to GCSE standard or equivalent. Relevant qualification in events management Skills Required Excellent general administrative skills and the ability to follow procedures and guidelines. Ability to communicate in Welsh or a willingness to learn

Excellent interpersonal and communication skills, both written and oral, with the ability to respond proactively to enquiries. Fast and accurate word processing skills and an ability to take minutes of meetings. Report writing. Excellent organisational skills including the ability to prioritise workloads, multitask and work with competing deadlines and diverse workloads. A high degree of computer literacy with knowledge of Windows based and database applications. A confident user of internet, email and social media. Terms and Conditions of Service Starting Salary Grade C 15,893.89-20,346.42 per annum (based on the full-time equivalent of 37 hours at 16,802.11-21,509.60 per annum) Contract Length Permanent Contract Hours 35 hours per week. Regular weekend and evening working required. Probation The post is subject to a probationary period of 6 months.
