Booths are 10 x 10 but can be joined to create larger spaces. We have a limited number of 5 x10 booths that face a curtained wall available. Does the booth come with any furnishings? No. All furnishing including carpet, chairs, tables, wastebaskets, can be rented through our Official Customer Service Contractor, Square 1 Creative. The aisles of the exhibition hall will be carpeted. You may print the forms and fax in or we have a secure store where you can make your order online. Drape colors are teal, purple, and white. Carpet color is purple. Will there be any lead retrieval systems at the show? Yes. This information is available on the Exhibitor Extranet. You will also be sent an email from the supplier - Show Data Solutions. Will there be a list of attendees available? If you would like a list of the people that visited your booth, you will need to use the lead retrieval system. A list of those who are pre-registered will be sent a couple of weeks prior to the show. I do not want to exhibit, but would like to walk the floor. If you are a petroleum marketer, convenience store owner/operator, truckstop owner/operator or carwash owner/operator you can register on the Attendee Info page of this web. If you are eligible to exhibit, you may attend the show as a sponsor. The cost of sponsorship is as follows: SHOW REGULAR SPONSOR - $1095 (you can request up to 4 badges); SHOW PREMIUM SPONSOR - $1395 (you can request up to 8 badges). Additional badges for each sponsor category are $50 each. Should you register as an attendee and are not eligible; your registration will be removed from the database. Please note, a completed credit card authorization form MUST BE ON FILE with Square 1 Creative in order for us to process any orders, regardless of your preferred method of payment. Advance Payment by Company Check When placing your orders, please mail in your check with your order forms. If you are faxing in your order forms, please fax a copy of your check along with the forms and overnight your check to us. Your orders will be processed immediately upon receipt of your ORIGINAL CHECK. Please make checks payable to: Square 1 Creative. Checks must include Exhibitor Company Name, Booth Number and Name of Show. Advance Payment via Charge Card (complete SQ1 s Credit Card Authorization form) For your convienince, we accept MasterCard, Visa and American Express. When placing your orders, please complete and submit Square 1 Creative s Credit Card Authorization form along with your orders. Square 1 MUST receive this form with your orders by close of business February 2, 2018 in order for you to receive the discount rate. Advance Payment via Third Party If Square 1 Creative will be invoicing a third party for payment for our services, please complete and submit the Third Party Payment Authorization Form. The exhibiting company is ultimately responsible for all charges should the third party not pay. SAVE MONEY BY TAKING ADVANTAGE OF OUR PRE-SHOW DISCOUNTS! Order as many of your materials and services as possible before the deadline dates. Orders received AFTER the deadline dates, or submitted on show site at the Square 1 Exhibitor Services Center, will automatically be billed at the standard prices (see discount and standard prices listed on the various order forms.) Full payment must accompany all orders. All accounts must be settled at our Service Desk prior to the close of the show. In order for us to process your orders for the services and materials listed in your EXHIBITOR S SERVICE MANUAL, we must have your signed charge card information or full payment IN ADVANCE of the show. Invoices for outstanding balances will be prepared at the Exhibitor Services Center for your review, at which time we will also process your payment. Invoices will be emailed after the close of the show. Tax Exempt Status If you claim tax exempt status, you MUST provide us with a copy of your Tax Exempt Certificate issued by the federal government or state in which your event is taking place, simultaneously with the placement of your initial order. Overpayments Overpayments for services will first be credited to any outstanding balances on remaining orders. Any remaining credit balance will be refunded within thirty (30) days after close of the show. Credits for Billing Discrepancies Any requests for credits related to billing discrepancies must be addressed with Square 1 Creative Exposition Services within 30 days from the close of the show. All materials are provided on a rental basis for the duration of the show and remain the property of RC Events & Square 1 Creative. By providing the signed payment Authorization form to Square 1 Creative, your company understands and agrees to pay these charges incurred through exhibiting at the Southeast Petro-Food Marketing Expo. In the event that a named third party (broker /supplier) does not discharge payment of their final invoice the charges will revert to the exhibiting company. 1. This credit card authorization must be on file with Square 1 Creative before any goods or services will be rendered regardless of your preferred method of payment. 2. RC Events and its subcontractors shall not be responsible for damage to uncrated materials, materials improperly packed, glass breakage or concealed damage. 2. Relative to inbound shipments, there may be a lapse of time between the delivery of shipment(s) to the booth by RC Events or its subcontractors and the arrival of the Exhibitor s representative at the booth. Similarly, relative to outgoing shipment(s), it is possible that there will be a lapse of time between the completion of packing and the actual pick-up of materials from the booth for loading onto a carrier. With the knowledge that during such times the shipment(s) will be left in the booth unattended, it is recommended that a representative from the exhibiting company stay with the shipment until it is picked up. RC Events and its subcontractors shall not be responsible for ordinary wear and tear in handling of equipment, nor for loss or damage due to fire, theft, windstorm, water, vandalism, acts of God, mysterious disappearance or other causes beyond their control. 6. It is understood that RC Events and its subcontractors are not insurers. Insurance, if any, shall be obtained by the Exhibitor. Amounts payable by RC Events hereunder are based on the scope of the liability as herein set for and are unrelated to the value of the Exhibitors property. It is agreed that if RC Events or its subcontractors should be found liable for loss or damage to Exhibitor s equipment, the liability shall be limited to the specific article that was physically lost or damaged. Such liability shall be limited to a sumequal to $.30 per pound per article, with a maximum liability of $50.00 per item or $1,000.00 per shipment, whichever is less, as agreed upon damages and exclusive remedy. Provisions of this paragraph shall apply if loss or damage, regardless of cause or origin, results directly or indirectly to property through performance or non-performance of obligations imposed by the offering of services to Exhibitors or from negligence, active or otherwise, by RC Events, its subcontractors or their employees. 7. RC Events and its subcontractors shall not be liable to any extent whatsoever for any actual, potential or assumed loss of profits or revenues or for any collateral costs that may result from any loss or damage to Exhibitor s materials, which may make it impossible or impractical to exhibit same. 8. Claims for loss or damage must be submitted to RC Events and its subcontractors by the close of the show. No suit or action shall be brought against RC Events or its subcontractors more than one year after the cause of action. 9. The Exhibitor agrees, in connection with the receipt, handling, temporary storage and reloading of its materials, that RC Events and its subcontractors will provide these services as Exhibitor s agent and not as bailee or shipper. If any employee of RC Events or its subcontractors shall sign a delivery receipt, bill of lading or other document, we agree that RC Events or its subcontractor will do so as the Exhibitor s agent, and the Exhibitor accepts the responsibility thereof. 10. Empty container labels will be available at the Service Desk. Affixing the labels is the sole responsibility of the Exhibitor or its representative. It is understood that these labels are used for EMPTY STORAGE ONLY, and RC Events and its subcontractors assume no responsibility for loss or damage to contents while containers are in storage or for mislabeled containers. 11. In order to expedite removal of materials from the show site, RC Events shall have the authority to change designated carriers, if such carriers do not pick up on time. Where the Exhibitor makes no disposition, materials will be taken to a warehouse to await Exhibitor s shipping instructions, and the Exhibitor agrees to be responsible for payment of charges relating to such handling at the warehouse. RC Events assumes no liability as a result of such re-routing or handling. 12. The Exhibitor agrees, in the event of a dispute with RC Events or its subcontractors relative to any loss or damage to any of our materials or equipment, that the Exhibitor will not withhold payment in any amount due to RC Events for material handling services or any other services provided by RC Events or its subcontractors as an offset against the amount of the alleged loss or damage. Instead, the Exhibitor agrees to pay RC Events prior to the close of the show for all such charges and further agrees that any claim the Exhibitor may have against RC Events or its subcontractors shall be pursued independently by the Exhibitor as a completely separate transaction to be resolved on its own merits. No service desks, storage areas, or other work facilities will be located anywhere in the building. The show aisles and public spaces are not a part of the Exhibitor s booth space. 9. The Exhibitor Appointed Contractor shall provide, if requested, evidence to RC Events that it possesses applicable and current labor contracts and must comply with all labor agreements and practices. The Exhibitor Appointed Contractor must not commit or allow to be committed by persons in its employment any acts that could lead to work stoppages, strikes or labor problems. 10. The exposition floor, aisles, loading docks, service and storage areas will be under the control of the Official Service Contractor RC Events. The Exhibitor Appointed Contractor must coordinate all of its activities with RC Events. 11. For services such as electrical, plumbing, telephone, cleaning and drayage, no contractor other than the Official Service Contractor will be approved. Many exhibitors are used to lead retrieval systems that print receipts after each attendee is scanned. These older style systems print receipts because that is the only way to take notes handwritten notes on a piece of paper. Our system uses devices that allow you to capture notes and qualifiers on the device, eliminating the need for a printer. If you do need your leads printed, you can stop by our service desk and our staff can print your leads at no additional cost. Can I order more than one scanner for my booth? Absolutely! Our system automatically date and time stamps each lead, plus it marks the name of the device that recorded the lead. Additional scanners are available at a substantial discount and the multi-device discount applies to all equipment rented. Our ECONOMY and MOBILE HANDHELD models are battery operated and fully portable. Do I need Internet access in my booth to support your system? Our ECONOMY model does not require Internet access. Our MOBILE HANDHELD model will automatically store the captured leads in your online exhibitor account if wireless Internet is available and is usable. If wireless Internet is not available or is too slow, the device will automatically switch to local mode and store leads on the device only. When you return the MOBILE HANDHELD, our staff will connect it to the Internet to ensure all locally stored leads are also copied to your online exhibitor account. Regardless of the device used, your leads will all end up in your online exhibitor account, either real-time (MOBILE HANDHELD) or during/post-event (ECONOMY). Where do I pickup my scanner at the show? Our service counter will be located next to Exhibitor Services in the Purple Level look for signs for Lead Management Services. Our staff will be available from March 5, 2018 until the end of the event. You need to stop at our service desk to sign the authorization forms, get trained and pickup your scanner before the start of the show. We provide one-onone training at pickup time and continuous technical support throughout the duration of the event. What happens if I do not pickup my scanner? If you have not picked up your scanner prior to the start of the event, we will make one attempt to come to your booth to notify you that your scanner needs to be picked up. We do not deliver scanners to working booths, since you must sign forms and get trained on the equipment. It is not possible to be properly trained in your booth, where you will be busy with your sales efforts. There are no refunds for equipment ordered and not picked up. What kind of information will I receive in my lead report? You receive full contact information, including name, company, title, address, phone, fax (optional) and email address. At some events, email addresses are provided based on an opt-in policy, so you may not get email addresses for all of your leads. Can I print my leads? We have since discontinued offering lead receipt printers with our devices, since so few exhibitors actually rented the printers. Since the data is stored electronically, the need for immediate printing is eliminated. If you do need to print out information regarding a lead, simply stop by our service desk anytime during the event for a printed report. How soon will I get my leads? For the ECONOMY model, you will have your leads within one (1) business day of the close of the event, typically by 9:00 AM ET the next business day after the show closes. All leads are uploaded to our secure web site where you can access them via your exhibitor ID and password. When you drop-off your scanner at the end of the event, we will process your leads and create your instruction form for accessing the WEB DOWNLOAD site. For the MOBILE HANDHELD model, your leads are stored in real-time in your online exhibitor account. You can use your exhibitor ID and password to login to the site to download your leads.
