Creating Schedules Overview A schedule contains information about an employee s typical workday. A schedule can include details such as start and end times, the time allocated for lunch, the department in which the employee works, and pay codes. Types of Schedules You can create and manage schedules in two ways: Shifts Used to create, edit, or delete a schedule for one or more employees for specific days. This can be used to create shifts that are not repeatable. Templates Used to create and assign a repeatable schedule to one or more employees for multiple days. Example of a Schedule Shift Brenda Hahn is assigned a shift of 8:30 a.m. to 4:30 p.m. She is scheduled to attend a training session from 7:00 a.m. to 3:00 p.m. on Wednesday, so she will be assigned a shift change for only that one day. Example of a Schedule Template Mary Macgill will work a new schedule from 9 a.m. to 5 p.m. from Monday through Friday, every week. A schedule template will be created, and Mary will be assigned to that schedule. Important Information A supervisor's ability to create, edit, and delete schedule templates depends on the access permissions granted by your company. When clicked, displays a menu of various shift details and column totals that you can choose to be displayed. Use to create, modify, or delete information such as start and end times or pay codes for individual or multiple shifts. Use to create, modify, or assign recurring or repeatable schedules. Displays the details of employee schedules within the selected time frame. Allows users to complete many tasks directly in the grid. Displays the total hours for the time frame selected and daily totals. When clicked, displays keyboard shortcuts. When clicked, displays indicators that may appear in the scheduling grid. Creating Schedule Templates Job Aid Scenario Your company requires a new schedule for employees who work from 6 a.m. to 2 p.m., Monday through Friday. Schedule Template Panel Instructions: Create a New Schedule Template Starting Point: People > Time & Attendance > Schedules > Templates Step Action 1 Click (action) and select Create New. Result: Schedule detail fields are displayed. 2 In the Code field, enter the name of the new schedule. 3 In the Description field, enter a description of the schedule. 4 In the Effective Date field, enter the date that you want the schedule to start. 5 In the Access field, select Private or Public. Caution: Selecting Private will restrict visibility to the schedule template creator. 6 In the Start Time and End Time fields, enter the start and end times of the shift. 7 Enter data in any of the optional fields such as Schedule Template Notes, Pay Code, Lunch Plan, and Department, as needed. 8 While pressing Ctrl, select the days of the week to include in the schedule. 9 Click Add Shifts. Result: The start and end times are populated in the selected days of the week. 10 Click Save. Result: The schedule template is saved. You can now assign it to employees. Assigning and Unassigning Schedule Templates Overview You can use the schedule templates that you set up to quickly assign employees to schedules, based on predictable, repeating patterns. You can end ongoing schedule assignments as needed, or make updates by Start Week, Start Date, and End Date, or by End Date only. Assigning a Schedule Template Job Aid Scenario Assign Frank Cavallo and Heather Duncan to the 6 a.m. to 2 p.m. schedule template, starting today. Instructions Starting Point: People > Time & Attendance > Schedules > Templates Step Action 1 To display a list of available schedule templates, double-click in the Schedule Template field, or click (search). 2 Select the desired schedule template. 3 Select the start week, if applicable. 4 Enter a start date. 5 In the Employee column within the scheduling grid, select the cell for each employee that you want to assign to the schedule template. Tip: To select nonsequential employee cells, press Ctrl while you make your selections. 6 Click Apply. Result: The "Template has been assigned successfully" message is displayed. Ending an Employee s Schedule Assignment Job Aid Overview You may need to end an employee s schedule assignment. You can assign employees to more than one schedule, but their schedules cannot overlap. By ending a schedule assignment, you preserve the historical information related to that schedule. Instructions Starting Point: People > Time & Attendance > Schedules > Templates Step Action 1 In the scheduling grid, locate and select the employee whose schedule you need to end. 2 Click any day in the employee s schedule that contains his or her current schedule assignment. Result: The employee s schedule name and start date are displayed in the template panel. 3 In the template panel, in the End Date field, enter the date on which the assignment will end. 4 Click Update > Update End Date Only. Result: The assigned template is displayed through the ending date. A message indicates that the template assignment or assignments have been updated successfully. Learning Activity: What Can You Get Done in 2 Minutes? Scenario Margaret Albany was assigned to a part-time schedule (PTSCHED). Because Margaret has accepted a full-time position, she is required to work the full-time hourly schedule. You must first end her part-time schedule template assignment. Learning Byte Questions and Answers Answer the following questions using what you learned from the learning byte. 1. When would you need to end an employee s schedule assignment? 2. Practice: Creating and Assigning a Schedule Template Scenario 1 Your company requires a 7 a.m. to 3 p.m., Monday through Friday, schedule template. Create a public schedule template using the following information: Code: Enter 7a 3pX, where X represents the last letter of your user name, as shown in the upper-right corner of the application. Description: 7am 3pm, Mon Fri Effective date: Monday of the current week Scenario 2 Assign Margaret Albany and Samuel Barbato to the new schedule starting on Monday of the current week. Instructions In your breakout room, complete the practice scenarios. When you have finished, compare your results with the results that are provided on the following page. Viewing and Editing Schedules Overview To view or edit schedules, you can use a variety of tools in the shift panel and make a variety of edits directly in the scheduling grid. Explore: The Shifts Tab Elements and Descriptions Element Schedule filter field Shift panel (close) Schedule details Apply the Shift To field Add Shift(s) Update Shift(s) Delete Selected Discard Selective Update Clear Fields Description Allows you to filter employees against schedule criteria such as start or end times or worked or nonworked hours. Fields to modify an existing schedule or to create a temporary shift for one or more employees. Click to close the shift panel. To reopen the shift panel, click the Shift tab. Editable shift elements such as start and end times, department, pay codes, lunch plans, and shift rules. Allows you to apply the shift details to selected shifts in the scheduling grid or to specific days of the week. Click to add new shifts in selected cells in the scheduling grid. Click to update or replace selected shifts in the scheduling grid. Click to delete selected shifts. Enabled when an action generates an error and allows user to discard that action. Applying a Schedule Filter Job Aid Overview You can use a schedule filter to limit the amount of records that will be displayed in the scheduling grid. The filter is based on schedule elements, such as start and end times, pay codes, and lunch plans. To make it easier to assign schedules and view schedule assignments, you can apply schedule filters. You can also temporarily add employees who do not meet the filter criteria. Scenario You need to assign employees to a special inventory project this week. You select the schedule filter for employees who start after 8 a.m. You need to add two employees to the scheduling grid. Instructions Starting Point: People > Time & Attendance > Schedules > Shifts Step Action 1 In the schedule filter field, select the applicable filter. Result: Only employees who meet the filter criteria are displayed in the schedule grid. 2 At the top of the Employee column, click (add). Result: A Temporarily Add Employees to Employee List is displayed. 3 Select the desired employees. 4 Click Add Selected. Result: The selected employees are now displayed in the scheduling grid. Editing a Shift Using the Schedule Grid Job Aid Scenario Brenda Hahn has to attend safety training classes two days this week. Change her schedule for Wednesday and Thursday to 7 a.m. to 3 p.m. Instructions Starting Point: People > Time & Attendance > Schedules > Shifts Step Action 1 Locate the employee in the scheduling grid and locate the shift to be modified. 2 Double-click the cell. Result: The start time and end time are displayed in two editable cells. 3 Highlight the start time and enter the new time. Repeat to edit the end time. Tip: It is not necessary to enter a colon or zeros. Result: The new start and end times are displayed. An indicator denotes that this is an override. 4 To add a note to the override, select the cell, right-click, and select Add Note. 5 Enter the contents of the note. 6 Click Save. Result: A (note) indicator appears in the edited shift cell. You can point to it to display the contents. Clicking the employee name will display all schedule notes for the employee. Deleting an Override Job Aid Overview After you make temporary changes to an employee's schedule, you may need to cancel them. Scenario The safety training class that Brenda Hahn was scheduled to attend has changed from a twoday to a one-day class. Cancel the temporary schedule on Thursday for Brenda. Instructions Starting Point: People > Time & Attendance > Schedules > Shifts Step Action 1 Locate the employee in the scheduling grid and identify the shift that was modified. 2 Select the cell or cells from which you want to remove the override. Tip: To select multiple cells, press Ctrl as you select them. 3 Click Delete Selected. Result: A message is displayed, "You have chosen to delete the selected shifts. Click Delete to continue or Cancel to keep the transactions." 4 Click Delete. Result: The schedule is removed for the selected day or days. 5 Enter the replacement schedule into cell, if necessary. Editing a Shift Using the Shift Panel Job Aid Overview Some changes to shifts and schedules, such as labor charges or pay codes, must be completed in the shift panel. Scenario An employee is required to work in another department. Instructions Starting Point: People > Time & Attendance > Schedules > Shifts Step Action 1 Locate the employee in the scheduling grid and select the cells to be modified. 2 Scroll up to the shift panel and enter the appropriate start and end times. 3 Click the Department field and choose the department to which you want to assign the hours. Tip: Other schedule feature fields such as Pay Code or Lunch Plan can be modified in the same way. 4 Click Update Shift(s). Result: A "Shifts updated successfully" message is displayed. Learning Activity: What Can You Get Done in 2 Minutes? Scenario The Sales department has requested Margaret Albany assist them on Wednesday and Thursday. We need to edit Margaret s usual assigned schedule. Learning Byte Questions and Answers Answer the following questions using what you learned from the learning byte. 1. How did Margaret s changes differ from the schedule changes for Brenda Hahn? 2. You can always use the shift panel to make changes to an assigned schedule. Practice: Editing Schedules Scenario 1 Brenda Hahn needs to change her shift on Monday and Tuesday for child care. Use the scheduling grid to override the schedule template and change her hours to 10 a.m. to 6 p.m. Add a note Brenda has child care issues. Scenario 2 Charles Fager does not have a set schedule template but has been asked to help in the Service department from 8:30 a.m. to 4 p.m. on Monday, Wednesday, and Friday. Complete these changes using the shift panel. Remember to click (action) and change your view to include labor charges (department changes) to review your changes. Scenario 3 Brenda Hahn's child care need for Tuesday was canceled. Change her hours back to her original schedule for Tuesday. Instructions In your breakout room, complete the practice. Additionally you will explore options to sort employees to help streamline your scheduling tasks. You can also create your own employee list. Allows you to filter employees against schedule elements such as start or end times, worked or nonworked hours, and so on. Click the Calendar icons to select a range of dates. APPENDIX Creating an Employee List Job Aid Overview You may want to create a filtered employee list to easily display a specific group of employees based on the criteria that you selected. For example, you may want to display only hourly employees in the Service department. You can create a filtered employee list from most pages accessed from the People menu. This job aid describes using the Schedules page to create the filtered list. Instructions Starting Point: People > Time & Attendance > Schedules Step Action 1 Click Manage My Lists. Result: The Manage My Lists window opens. 2 Click Add. 3 Enter a list name. 4 In the List Privacy field, select Public or Private. Note: Selecting Private will restrict visibility to the list creator. 5 In the Field Name field, select the field on which you want to filter. 6 In the Comparison field, select a comparison value. 7 In the Field Value field, select or enter a value. Result: The Manage My Lists window opens. 2 Click (add). 3 Enter a filter name. 4 In the List Privacy field, select Public or Private. APPENDIX Using Schedule Templates to Create Rotating Schedules Overview You can use schedule templates to create rotating schedules for employees whose hours or shifts rotate on a recurring basis or a loop. Example Sherry Williams works the 7 a.m. to 3 p.m. shift during week 1, the 3 p.m. to 11 p.m. shift during week 2, and the 11 p.m. to 7 a.m. shift during week 3. APPENDIX Instructions: Create a New Template with a Rotating Schedule Job Aid Starting Point: People > Time & Attendance > Schedules > Templates Step Action 1 Next to the Schedule Template field, click (action) and select Create New. Result: Schedule detail fields are displayed. 2 Double-click the first scheduled day in the grid and enter a start and an end time. Repeat for all applicable days. Caution: Enter daily start and end times in the grid before you enter other schedule details. 3 After you complete week 1 entries, click (add/delete row) next to the week number. 4 Select Add Row After or Add Row Before. 5 Enter the start and end times for the applicable days in the new row. 6 In the Code field, enter the name of the schedule. 7 In the Description field, enter a description of the schedule. 8 In the Effective Date field, enter the date that you want the schedule to start. 9 In the Access field, select Private or Public. Caution: Selecting Private will restrict the visibility to the schedule creator. 10 Enter data in any of the optional fields such as Schedule Template Notes, Pay Code, Lunch Plan, and Department, as needed. 11 Click Save. Instructions Starting Point: People > Time & Attendance > Schedules > Templates Step Action 1 Click (search). Result: The existing schedule templates are displayed. 2 Select the schedule template to be edited. 3 Click (action) and select Edit. 4 In the grid, select the day or days to be changed and enter the new start or end time. 5 Make applicable changes in any editable fields in the template panel such as pay code, department, or notes, if applicable. 6 Click Save. Result: A green banner is displayed confirming that changes were saved successfully. APPENDIX Removing an Employee from a Schedule Template Job Aid Instructions You may find it necessary to remove an employee from an assigned schedule template. Starting Point: People > Time & Attendance > Schedules > Templates Step Action 1 In the grid, locate the employee whose schedule you want to remove. 2 Click any cell that contains the template that you want to remove. Result: All cells of the schedule are selected. 3 Click Delete. Result: A message indicates that you have chosen to delete the selected assignment. Click Delete to continue or Cancel to return without deleting the schedule. Deleting the schedule template will remove the history for that employee. 4 Click Delete.
