Vanuatu 2017 Pacific Games venues and operations personnel are planning to a few office partitions wall insulations, plumbing works at Unit 1 office space of TGE Building. The scope describes all materials and workmanship required to complete all works. Whether specifically referred to in this document or not, in conformity with the general requirements of the drawings and or written communication. The contractor shall be in charge of revamping the selected premises as per the detailed scope below. CODES AND STANDARDS All works to be conducted by the contractor shall comply with current industry practice as well as standards and authorities detailed hereafter and elsewhere in the scope of works. Building must comply with Vanuatu National Building Code (VNBC). All work in this scope shall be provided by the Contractor to the Organization without further cost of: i. Supply of Materials, tools and equipments ii. Pre-fabrication of frame works required iii. Any demolishing required iv. Onsite installation replacing existing sinks and associated plumbing v. Staircase adjustments vi. Hand railing fabrication and installation vii. Office partitioning viii. Office Free Standing Partitions ix. Installation of Power to partition spaces x. In this scope of works, the word shall indicates works to be carried out. The word should indicates a recommendation. The contractor shall do a proper site inspection as well as engage in discussion with the Project Manager and Maintenance Planners concerned prior to work in order to meet the content of this scope. Should any error or discrepancy appear in the scope, refer it the Project Manager or Lead Planner for decision. Once the selected contractor is given the notification, the Contractor shall mobilize with all materials, tools, labour and equipment in a safe manner to the work site. Work shall commence within five (5) working days after the notification to proceed. The contractor shall make prior arrangement with maintenance and operations personnel to ensure it establishes itself at the site with no trouble from any third party if any. All hot works conducted at on site must be carried out in a safe manner making sure the area is clear of any hazardous materials that my easily catch fire or cause any harm to surrounding occupants and facilities within the building premises Contractor should remove any safety hazards that may hinder the progress of work in the safest possible manner. The contractor shall remove existing hand rails and barricade the area when all jobs are done for the day or site remains inactive for the duration of the day. The contractor shall relocate sink and associated plumbing as per the drawings attached to this scope. The contractor shall provide new sink and all fittings required for new installation. The contractor shall also fabricate a cabinet on which the sink will be placed on. Page 6 of 13

The contractor shall make necessary adjustments to the existing staircase to bring it up to standard building code (VNBC) and should seek consultation with the project manager if the contractor proposes a new design. Work on this shall halt until told otherwise. The contractor shall design hand railing and should consult the project manager prior to fabrication and installation of hand railings on mezzanine floor along D 2 -D 5 and B 2 -D 2 (Appendix Bii). Again these must meet standard building code Vanuatu National Building Code (VNBC). The contractor shall put in place wall insulation and suitable wall framing for plasterboard. The contractor shall construct office partitions as per drawings. The windows and other components shall be installed thereafter or simultaneously. [Optional Tender- wall partition D 2 -D 5 (Appendix Bii) submit a separate quotation. Ceiling height 2700mm]. The contractor shall fashion a free standing partition as specified in Appendix Bi. The contractor shall during installation of partitions fit 3x 2G GPO s in each proposed office partition running standard 3C cables and connect to mains at the load center/main switchboard. Contractor will also isolate partitioned off lights in office partitions. Post completion of the partitioning, insulation, plumbing and electrical work, the painting works shall be completed by the contractor as well. After completion of every job each day, the contractor is responsible to safely clear all used materials and consumables to be disposed to waste area with assistance of maintenance personnel and store away equipment for housekeeping Page 7 of 13

The contractor shall forward to Maintenance Planner the time sheet of the personnel part taking in the job. All works regarding materials shall be provided by the contractor responsible. The project schedule will be provided by the concerned project engineer assigned for this project for monitoring of the progress. The Contractor shall inform or consult the concerned Company Project Engineer, Maintenance Personnel and contracts administration personnel five (5) working days in advance of the actual date on which he will take possession of the site. During installation and repair works, temporary barricading may be required to prevent unauthorized access to certain areas, this fencing / barricading shall be provided by the Contractor. Damage to other equipment or services, during the course of the entire work, shall be repaired by the Contractor at no cost to the Company (VAN2017). Each person working at site must have and wear as required the personal protective equipment (PPE) The contractor site supervisor shall ensure that the following protective equipment used where appropriate. The following list is considered the minimum requirement in protective equipment and is not intended to override any statutory safety requirements Hard hats - for all overhead works or in the vicinity of the work. Safety footwear with protective steel cap Eye protection clear glasses onsite. Ear protection - for all persons in the vicinity of noise Gloves - for handling sharp or hot objects, suitable for welding Safety harness for all work on heights VAN2017 will not be held responsible for any careless and reckless work attitudes that result in any form of bodily harm while working on the premises. The Contractor shall take note of VAN2017 s no-tolerance policy on stimulants such as drugs and alcohol. Any violations shall lead to the offender being denied entry into the work premises. Repeated violation by the same offender shall result in total ban of the concerned personnel from entry into the proposed work premises. Page 8 of 13

During field installation and repair, Contractor shall not undertake or perform any extra work or deviate from the Job Specification without the necessary change order duly approved by VAN2017. VAN2017 will not assume any liability for non-payment of any field change done without the required change order. a. Prior to submission of proposal, Contractor shall visit the proposed work site to determine and satisfy himself of the actual field conditions; the nature of the work; the location and peculiarities at work site; the character, quality and quantity of equipment required; the type and magnitude of labour and construction services; the character of construction tools and equipment and facilities required preliminary to and during the execution of work; the general and local conditions and all other matters which could in any way affect work under this job specification on the day of the pre-bid meeting. Any failure by Contractor to discover matters which affect work shall not relieve him from his obligations under the Job Specifications. Contract must provide proof of insurance for the following: Public/General Liability Insurance Workers Compensation Insurance Contract Insurance Failure to provide any proof of insurance will render the contractors bid proposal invalid. b. It is the Contractor's responsibility to determine the actual sizes and dimensions of Plant equipment, facilities and materials required therein. VAN2017 will not be responsible / liable for any deviations of material quantities actually required in the field. c. For conflicts on dimension between VAN2017 supplied data and field conditions, the latter shall prevail. Page 9 of 13

d. All inquiries for clarification and other pertinent communications shall be referred to: e. All exceptions or alternative to the Job Specifications shall be clearly listed or enumerated under the appropriate headings, i.e., EXCEPTIONS", "ALTERNATIVES", etc. As a matter of preference however, VAN2017 shall consider ALTERNATIVES only after considering the proposals that comply fully with the Job Specification. f. Contractor shall upon award, submit firm manpower listing for the job classified into site supervisors, tradesmen, assistants, safety officers, etc. The Final Payment and Retention monies shall not be released until all documents as required in the handover has been fully complied with. The contractor is eligible to apply for 25% mobilization payment up front prior to commencement of work. A further 60% shall be awarded when all jobs are completed then and contractor has done all necessary housekeeping, there will be an inspection and evaluation of work done by the Project Manager and associates [MAINGUY CONSULTING ENGINEERS AND PROJECT MANAGEMENT], once it is proven that the scope of works has been fulfilled the remaining percentage (15%) will be awarded thereafter.
