Features Need to Audit and report on changes to key records? This must-have compliance App lets you configure audit logging down to field level and provides reporting and on-screen viewing of audit records. You can configure audit logging on the following Greentree records: Master Files Customer Supplier JC Job Stock Item Fixed Asset GL Account HR Module Classes HR Person HR Default Deduction Lines HR Default Employer Cost Lines HR Default Tax Lines HR Default Pay Lines HR Default Payment Lines The App records: date and time a record with an audited field was changed the user who made the change what audited field(s) changed the data before and after the change was made If required the App will also store the 'changed date' for a particular field, in a User Defined Field on the record itself. A new "Audit Report" is added to the Other Reports menu, with the following parameters: From Date & To Date Tick boxes to report on: New records, Updates & Deletions If you have the Greentree Workflow module you'll also be able to view audit records on-screen as Sticky Notes. Important Notes Each company s Audit Logging configuration is unique and must be set up separately. Data entered via FREE or any other external source will not be audited. Implementation Guide Please refer to the Important Notes section above before installing and configuring this App Installation 1. Log in to Greentree as the Super user 2. Select the menu item System Apps For Greentree Apps Module Control 3. Enter the New Registration Codes supplied and click Install App 4. Select/Highlight the Audits App. 5. Click on the Edit Users button and select the users who will be configured to use [name of App], for which companies. 6. Once you have selected the users, Save the settings using the save icon in the header and Close the window. AppsForGreentree.com 2012 4
Configuration 1. Click on the Change button beside the App 2. Tick the Class Name for each class you would like to audit. 3. Click the Edit button beside each class, in turn. 4. Select the Fields (or Properties) you would like to audit 5. Advanced Feature: If, in addition to creating an Audit record, you would like to store the date a field was last changed in a visible field, select the Display Field from the drop-down to the right of the Property name. Tip: Use a user defined field as the display field. 6. Save the settings, using the save (disk) icon in the header and Close the window. Note: Each company s Audit Logging configuration is unique and must be set up separately. User Guide Worked Example This example is for Auditing the HR Person (employee). 1. Follow the steps above to configure logging on the Address fields of the HR Person class 2. Select the menu item HR Employee Maintenance 3. Make a change to some audited data e.g. change 43 Harry Street to 431 Harry Street 4. Save and Re-load the record 5. If you have the Greentree Workflow Module, click on the Sticky Notes icon to view the Audit log. Double click to drill in to see the detail AppsForGreentree.com 2012 6
Reporting 1. Select the menu item Reports Other Reports 2. Locate and click on the Audit Report then click on the Print button 3. Select a date range and any other criteria that will apply to the report Print Created Audits? Print Updated Audits? Print Deleted Audits? Include audit logs for newly created records Include audit logs for existing records that have been changed or updated Include audit logs for records that have been deleted 4. Run the report. E.g.
