Introduction Retail STAR/Retail ICE Version 7.5 is a release of the latest update to the Retail STAR and Retail ICE products. Before Installation Please familiarize yourself with the contents of these Release Notes for details regarding this release. This upgrade will attempt to perform a backup/restore to the database. Support recommends that all users log out of Retail STAR/ICE and that the SQL engine is stopped from running. If you are using Retail ICE, close the SQL engine by right-clicking on the SQLBase Server engine that is minimized on your task bar and selecting Close. If you are using Retail STAR, continue with the following instructions. SQLBase must be enabled to interact with the desktop. To do this: For Windows 2000 or Windows XP - Click on the Start button, select Settings, then click on Control Panel. Double-click on Administrative Tools and then double-click on Services. Right-click on Centura SQLBase in the list, and select Properties from the pop-up menu. Click on the Log On tab and make sure there is a check mark in the Allow service to interact with desktop option box. For Windows NT - Click on the Start button, select Settings and then click on Control Panel. Double-click on Services and then select Centura SQLBase in the list. Click on the Startup button and make sure there is a check mark in the Allow Service to Interact with Desktop option box in the Service window that displays. Create a manual tape backup of the data. This is usually a process that should occur on a nightly basis; however, open files like the database (pos.dbs file) are not backed up if the engine is running. This will ensure that a restore can be conducted if something fails during the upgrade. NOTE: Failure to have a current backup on an unsuccessful upgrade may cause a loss of all your data! - 1 -

Accounting Users - Prior to upgrading: Make sure that all the payment records have been posted to the bank in the Make A/R Deposit option (from POS Closing Register ). The function has changed in 6.X to sum the records from the Payment table so that the Deposit information will include money collected through Accounting. In version 5.X, if the POS register was not open and money was collected in Accounting, the funds were not reported in the Make A/R Deposit option. Run Daily Process to ensure that in-house payments/charges, receivers, and i.star orders (if applicable) records are processed prior to upgrading. Close all POS registers and then run Make A/R Deposit. Run Post to GL to ensure that all records are posted to the General Ledger. Please note that for every transaction created or changed from Accounting that will be posted to GL, we provide a warning message for users if the entry date falls into the closed year before they save the entry. Run One Time Update with the Flag POS Transactions option box selected to update the inventory transactions (adjustments, transfers, and physical inventory records). Prior to converting from versions prior to Version 6.6, make a note as to what General Ledger account number Credit Memos are being booked to. To verify this, go into Retail STAR Accounting>Utilities>GL Account Setup>Accounts Receivable tab>payment>store Credit. After the upgrade has taken place, do the following: 1. Define a new general ledger account number for Customer Liabilities. 2. Define a new general ledger account number for Escheatment Liabilities. 3. Set up the Customer Liability and Escheatment Liability default account numbers on the new customer Liability tab in G/L Account Setup. 4. Create a journal entry to move credit memos to the new Customer Liability account from the old (prior to 6.6) Credit Memo account. To find the total dollar amount, run the Retail STAR report Credit Memo/Gift Certificate. Report on Credit Memos only and then on the Include tab select All that have not been redeemed (Expirations optional). Your journal should be made for the total amount at the end of the report. 5. Create a journal entry to move gift certificates to the new Customer Liability account and reduce sales. To find the total dollar amount, run the Retail STAR report Credit Memo/Gift Certificate. Report on Gift Certificates only and then on the Include tab select All that have not been redeemed (Expirations optional). Your journal should be made for the total amount at the end of the report. Conversion to Customer Liabilities 1. Gift Certificates All gift certificates that were SOLD prior to version 6.6 and have NOT been redeemed need to be adjusted in the general ledger. Prior to 6.6, they were treated as a sale and then as a return when redeemed. The following journal needs to be made to move them to the correct account. Sales DR Customer Liability CR This will put them in the proper account and nothing further needs to be done. When the gift certificate is redeemed in version 6.6, the Customer Liability account will be reduced. 2. Credit Memos All credit memos that were ISSUED prior to version 6.6 and have NOT been used need to be adjusted in the general ledger. Prior to 6.6, they were booked to a user-defined account. In Retail - 2 -

STAR/ICE 6.6 and higher, they will not automatically be booked to Customer Liabilities. The following journal needs to be made to move them to the correct account. User-defined Credit Memo Account DR Customer Liability CR This will put them in the proper account and nothing further needs to be done. When the credit memo is used in version 6.6 and higher, the Customer Liability account will be reduced. 3. Layaways Prior to version 6.6, when a layaway deposit was taken at POS, the accounts receivable account was credited. When the layaway was final, accounts receivable was debited. Layaways prior to 6.6 will continue to work this way. New layaways set up in version 6.6 and 7.0 will change to book the deposits as Customer Liabilities, but those set up in 6.5 and prior will continue to work the same way they did. No accounting entries are needed after upgrading to version 6.6 and higher. Retail STAR/ICE Versions 6.6 and higher include SQLBase 7.6.1, which allows Office and POS to run faster and with fewer problems. During an update to STAR/ICE 6.6 and higher, a box will display before the program files are copied. This box explains that the database must be unloaded using the existing database engine and then reloaded using the 7.6.1 database engine in order to complete the update. After the files are copied, another box will display stating that the SQLBase engine is being updated to version 7.6.1, which could take several hours depending of the size of the database and the speed of the computer. i.star ecommerce Sites If you are an i.star customer, your i.star server (hosted at the CAM facility) must be upgraded concurrent with upgrading your store systems. Please contact the Retail STAR Support Department to coordinate this effort. Security New features are automatically available only when system is entered as the User Name and Password at login. All other users must have the rights granted to them in Maintenance> Employee/Security before the options will display in the Retail STAR/ICE menu. Please Note Retail STAR/ICE Version 7.5 requires a minimum of Version 6.0.41 to upgrade. It will not install on Version 5.1.41 or earlier. During an upgrade to Version 7.5, a window will display listing the new options available that will require password access and you will be able to decide which employees you want to grant access to the options. CODESOFT Lite does not work with Windows XP or Windows 2000. We recommend that you upgrade to CODESOFT 6 Premier if you are running on either of these operating systems and plan to use CODESOFT. - 3 -

You must upgrade to Microsoft Office 2000 in order to use the Mail Merge feature in Frequent Buyer Redemption. Upgrading to Retail STAR/ICE versions 6.6 and higher will change the way Gift Certificates are accounted for. In previous versions, a gift certificate was entered as a sale, and redeeming it was considered a negative balance. The gift certificate is now considered an escheatment item and is its own separate entity. Report STAR report #19, Sales Profit Analysis, will no longer provide gift certificate information due to this change. However, you can run the Register Summary, Credit Memo/Gift Certificate, and Sales Audit reports to get your gift certificate information. Also, the Register Balance report has a new field named Liabilities Issued. This field accounts for gift certificate units sold as well as the amounts sold for. Along with this is a column for Remaining Deposits for Store, which includes totals of all active receipts (layaways, special orders, gift certificates, etc.) attached to your customers. It is recommended that you run a database check once a week to make sure the database is running as efficiently as possible. This is accomplished by using the CheckDB utility located in the Retail STAR or Retail ICE folder. Contact Support for assistance before using this utility. New Features 1) Revolving Charge The Revolving Charge option lets you give your customers a credit line that can be paid in full or in monthly installments with an added finance charge. Revolving Charge calculates once per billing cycle. The finance charge is calculated by the Average Daily Balance method. A customer must have an in-house charge account set up to use this option. 2) Case Quantities The Case Templates option is used to set up case codes for use in Purchasing. Cases of a product are based on quantities. In contrast, prepacks of a product are based on sizes. Examples of quantities include 6 pack, 12 pack, etc. within a case named Soda. After creating a case template, it can be attached to one or more styles in the Product Maintenance option. 3) Price Rounding Maintenance This option lets you set up methods of price rounding. For example, you can have your regular prices end in.99, and your sale prices end in.97. You can have multiple price rounding methods set up, but only the one currently designated as active will apply. Prices can be rounded either up or down. 4) Management Overview Report This report shows an overview of sales and orders for the specified department/class/subclass, the top 10 items with the highest margin based on WTD sales, and sales for the department/ class/subclass for various time periods. Gupta 8.5 is required to use this report. - 4 -

5) Stock Distribution Report This report shows the quantity on hand for specified products and stores, and can be produced in list or matrix format. The UPC can be displayed if desired. 6) Alerts This new utility is designed to notify you if there is a failure in the backup or performance utilities. You can specify if you want alerts to display at login or to have them delivered by email by selecting the appropriate settings in Program Setup. 7) Touch Screen POS If you have a touch screen monitor, you can use it to sell products at POS. If you do not have a touch screen monitor and would like to use this feature, contact your CAM sales representative. 8) Inventory Activity Matrix This new report shows detailed inventory information including on hand levels, model inventory, transfers, adjustments, etc. for selected stores and products. You can specify an overall date range or choose different date ranges for certain individual data sets. If you include multiple stores in the report, you will have a choice of four report formats. Gupta 8.5 is required to use this report. 9) Job Calendar The Job Calendar helps you keep track of jobs by day, week, or month for a customer or by employee. Enhancements 1) Accounting a) Bank Reconciliation i) Voided checks can now be reconciled. (6246, 6676, 7008) ii) Incomplete data can be saved when a discrepancy is found during the bank reconciliation. (5677, 6482) b) Credit Memo i) Added option to display shipping tracking number in default email message. ii) You can select credit account from customer record when tendering. (7577, 9010) iii) You can add a line note to display under the description on the credit memo. c) General Ledger i) Report can be produced for a specific store and/or department. Only the rules get communicated; actual changes occur at the remote. v) New price can be calculated based on original retail or retail. vi) Pricing is manipulated at the style/department/vendor level instead of vii) populating the grid with UPCs. If you create a price change for the same UPCs as an existing started price change, a warning will display when you activate the new price change and you will have to change the start and end dates or remove the overlapping UPCs before it can be activated. (8444) viii) A price change can be deleted, unless it has been posted. (7085) ix) Remote stores can change price change status. e) Price Levels i) Price rounding is available in Price Levels. ii) Added ability to maintain the GP% against the retail price if the cost changes. (8192-3214) f) Product Change By Range i) Price Rounding Maintenance is available from within this option. ii) If odd size values exist for the asterisk fields displayed in the Product Changes grid, they will display highlighted in yellow. - 7 -

iii) Changes can be applied to all or specified stores if a multi-store field is changed by a user at the main store location. (8252) g) Product Inquiry i) Product search allows partial style lookup throughout all modules where it is available. (8040) h) Product Maintenance i) You can view extended descriptions from within this option. ii) You can delete individual UPCs that are not being used. iv) You can display and print a report of an employee s record, including security settings. v) Security groups let you set similar security information quickly for multiple users. For example, if you have 15 clerks for whom you need to have the same security settings, you can create and apply a security group for those settings. vi) Employee record can be set to allow employee to see receiving cost in PO Receiving and Receiving Query options; to delete product records; and to correct receivers. vii) Web Resources added to security profile under Office Components. d) Frequent Buyer i) Enhanced reporting capability on frequent buyer information. (5952, 6802, 7144) ii) You can give customers frequent buyer points for old transactions. (8410) iii) Points are calculated to a fractional value based on the sales amount. Also, total departmental points can be carried over. (5005, 8192-3735) e) Size Matrix i) You can specify the items within a size run for which you want to create UPCs from within this option. (7545) f) Tender Maintenance i) Ask for Qty option box prompts for quantity of tender at POS if selected. (8192-4253) g) Timeclock i) Time clock feature from Employee/Security option has been moved to become a separate option in Maintenance (2987). 7) POS a) Receipts i) Added access to Credit Card Query to aid in locating receipts. ii) You can change or attach a customer to a receipt after it has been closed. (5166, 6833) iii) Notes entered in POS can print on receipt. (2971, 5208, 8313, 8192-2697) iv) Total earned frequent buyer points print on receipt. (8015, 8192-3357) v) Total quantity and total number of items prints on Windows, 40 column, and OPOS receipts (not open receipts). (8192-2807, 8192-3147) vi) You can search on a partial customer name when reopening a receipt. vii) Subtotal, Tax, and Total on POS screen are easier to read. viii) Prompt displays during receipt lookup if not enough limiting criteria has been ix) specified.
