Additional Deduction Calculation Methods PR-1067 Overview This Extended Solution to the standard MAS 90 MAS 200 Payroll module adds several new deduction calculation methods: the Percentage of Deduction method (which calculates the deduction amount as a percentage of another deduction for Employer Contribution Types only), the Based on Regular and Overtime Hours method, the Based on Paid Hours method (see below for a definition of paid hours), the Percentage of Total Hours method, and the Based on Pay Rate method. Installation Before installing this Extended Solution, please verify that the version level(s) printed on the CD label are the same as the version level(s) of the MAS 90 MAS 200 module(s) you are using. For further information, please see the Upgrades and Compatibility section below. Check your Shipping Manifest for a complete list of Extended Solutions shipped. For detailed installation instructions, please refer to the Sage website at: http://support.sagesoftware.com/mas/extended_solutions/main.cfm Installing Your Extended Solutions under Windows From a CD If you have the autorun function turned on for your PC, the installation program will start up automatically. If not, find the autorun.exe file on your CD-ROM drive and double-click it to start the installation program. Follow the on-screen instructions. From the Sage FTP site When your Extended Solution is ready to be downloaded, you will receive an email from extendedsolutions.na@sage.com telling you that it is ready. The email will contain the Customer Name, Cross Reference, a case-sensitive Password, a link via which you can download your Extended Solution, instructions, and a Shipping Manifest. If you have any problems with this order, please email extendedsolutions.na@sage.com and we will assist you during normal business hours. Extended Solutions Control Center Installing any Extended Solution will add an Extended Solutions Control Center to the MAS 90 MAS 200 Library Master Utilities menu. When you open the Control Center, the following options will be available: Extended Solutions Manuals Remove Extended Solutions Unlock Extended Solutions Merge Installation Files 2005 Sage Software, Inc. Extended Solutions Setup options Custom Office If you customize your MAS 90 MAS 200, then you must run the Update Utility every time you install a Sage Software Extended Solution. Setup Once the disk is installed, you will need to access the Payroll Setup menu option screen. After the standard MAS 90 MAS 200 option screens have been displayed, a Setup screen for this Extended Solution will appear. Check the Enable Extended Solution box to activate this Extended Solution (Figure 1). The manual for this Extended Solution, if it has been installed, can be viewed by clicking the Manual button next to the Enable Extended Solution check box. It can also be viewed via the Extended Solutions Control Center (see Installation, above). Figure 1 You should visit this Setup screen after each upgrade or reinstallation of this Extended Solution. Operation Percentage of Deduction Method In Deduction Code Maintenance, when setting up a deduction of type E (employer contribution), a new Percentage of Deduction calculation method is available (Figure 2). With this method you must specify the deduction code from which to take a percentage (see the Percentage Of Ded Code field in Figure 2). 2005 Sage Software, Inc. All rights reserved. PR-1067 (Revised 04/07) Page 2

Figure 2 The Employee Maintenance Voluntary Deduction Maintenance screen has been changed to include the Percentage of Deduction calculation method (Figure 3). Be aware that the amounts on screen during Payroll Data Entry may not always represent the final amount of the deduction because the final calculation is always made during Tax Calculation (see Helpful Hints below). It is recommended that you always calculate taxes and print either the Payroll Data Entry Audit Report or the Deduction Register to see what amounts have been calculated for the deduction. Deduction Calculation Method Based on Regular and OT Hours In Deduction Code Maintenance, a new deduction calculation method Based on Regular and OT Hours has been added. This new calculation method is based on hours worked on earnings codes set up as R Regular and O Overtime. The Employee Maintenance Voluntary Deduction Maintenance screen has been changed to include the calculation method Based on Regular and OT Hours (Figure 3). 2005 Sage Software, Inc. All rights reserved. PR-1067 (Revised 04/07) Page 3

Figure 3 Deduction Calculation Method Based on Paid Hours In Deduction Code Maintenance, a new deduction calculation method Based on Paid Hours has been added. Paid hours are defined as hours worked times their pay rate multiplier from Earnings Code Maintenance. Paid hours are most easily defined by example. One hour worked under an Earnings Code with a multiplier of 1 is one paid hour; one hour worked under an Earnings Code with a multiplier of 1.5 is 1.5 paid hours; with a multiplier of 2 is two paid hours, etc. The Employee Maintenance Voluntary Deduction Maintenance screen has been changed to include the calculation method Based on Paid Hours. Percentage of Total Hours Deduction Calculation Method In Deduction Code Maintenance, a new Percentage of Total Hours deduction calculation method has been added. It is calculated as a percentage of Total Hours Worked multiplied by Pay Rate One. Deduction Calculation Method Based on Pay Rate In Deduction Code Maintenance, a new deduction calculation method Pay Rate has been added. For this method you can enter a multiplier and choose Pay Rate 1 or Pay Rate 2 from the drop box (Figure 4). It calculated by multiplying the selected Pay Rate by the multiplier. 2005 Sage Software, Inc. All rights reserved. PR-1067 (Revised 04/07) Page 4

Figure 4 You will not have the ability to override the Pay Rate choice on an Employee basis. The Employee Listing as been modified to print the deduction calculation methods added by this enhancement. Helpful Hints For the Percentage of Deduction Method, the amount of the deduction is calculated during Autopay and Tax Calculation. If the check is to be printed, the deduction amount cannot be edited. If the check is not to be printed (i.e., manual check), the deduction amount may be edited and will not be recalculated by Tax Calculation. It is important to note that deductions with a Based on Regular and OT Hours calculation method or Based on Paid Hours method should be entered after the regular and overtime earnings lines in Payroll Data Entry. This assures that the number of hours defaulted on the line is correct. 2005 Sage Software, Inc. All rights reserved. PR-1067 (Revised 04/07) Page 5

File: Description Fields: PRD Earnings Deduction Master LinkedDeductionCode Be aware that the ODBC Dictionaries may contain other files and data fields that will be unavailable without their corresponding Extended Solutions installed. Upgrades and Compatibility The installation CD is labeled with the version of the MAS 90 MAS 200 module for which this Extended Solution was prepared. This Extended Solution will check its compatibility with the appropriate MAS 90 MAS 200 modules and will be disabled if an incompatibility is found. If you upgrade your MAS 90 MAS 200 modules, this Extended Solution must be upgraded as well. Your MAS 90 MAS 200 dealer can supply this upgrade. Documentation Only changes made to the standard operation of MAS 90 MAS 200 have been documented in this manual.
