VIRTUAL DESIGN & CONSTRUCTION, THE NEXT LEVEL OF COLLABORATION AND INTEGRATION Lessons from COAA Information Handoff Initiative: The connection to VDC Integrating with Facilities Construction Owner s Association of America (COAA) The COAA Information Handoff Initiative Lessons from the Initiative 3
MISSION The Construction Owners Association of America supports facility Owners in the planning, design, and construction process through education and information exchange to facilitate continuous improvement and evolution of the industry.
VISION Education: Provide Owner-focused educational and leadership development programs to enhance the skill set of Owners and industry partners. Knowledge Sharing: Leverage the wisdom of our collective membership by networking, actively promoting collaboration, and sharing best practices in collegial, supportive venues, both inperson and virtually. Industry Evolution: Develop and foster relationships among related organizations and industry service providers to improve the delivery of facilities planning, design, and construction.

COAA Information Handoff Lessons Learned An Ongoing Compilation from the COAA Information Handoff Initiative
FM Handover: A digital exchange of data typically from a project to Facilities Management Group Can come from any phase of the project Can come from a BIM model Can come from construction documentation Can come from commissioning Key: It is Digital!!
COAA Information Handoff Initiative Mission Our mission is to identify lessons from real project experiences as we gather data, validate data, transfer data to facility management systems, manage the data and share the lessons learned with the COAA membership.
COAA COBie Pilot (2011) Recap February, 2011: COAA Call for Participation March 9: Kick-off call (11 Owners participated) May 4: COBie Part One: Baltimore (5) June to October: Work Sessions (5 to 4 to 3) November 12: COAA Part Two formally presented experiences (3)
We thought this was the problem
Here s what we learned Average time to populate the Facility Maintenance System Six Months? A year? More than a year? Never? THIS is THE problem!!
Early lesson learned Gathering the data: Job Crawl Manually gather as it comes in Exporting Data from Model Subsets of data (e.g. room info) Third-Party Integrator Automatic Transfer IFC (SPF or XML) Transferring the data:» Manually enter it» Import data Spreadsheet Database Custom interface (API)» Third-Party Integrator» Automatic Transfer IFC (SPF or XML)
Another early lesson learned What is COBie? A concept or idea? A process? (as in the COBie process?) A spreadsheet? (as in COBie spreadsheet?) Mike Kenig A specification? (as in COBie specification?) A model? (as in COBie model?) A solution? (to the COBie problem statement?) A data format? (as in COBie data?)
Some Lessons and from previous COAA forums: BIM to FM vs. Information Handoff Is the BIM Model (software) the repository for all of the data? Information Handoff does NOT require BIM! Lesson: Include IT ( speaks data ) in the process!
Lesson: Is it all or nothing? (which data?) Which data do you need? (two opposing views): 1. Only what you need to maintain ( COBie Lite?) OR 2. Gather all of the information Whether or not you want it Whether or not you need it Whether of not you ever plan to use it Why not take it?!
More Lessons from COAA Information Handoff: Waiting for Standards? Creating your Own/ Customizing COBie? No Magic Button (yet)! The NEED to HAVE THE Discussion!
Lesson: Have THE Discussion! Current Software? How do you manage your facilities today? How would you like to manage your facilities in the future? Maximo
Lesson: Digital and Digital Paper Worlds Documents (Unstructured) vs. Structured Data Digital and Digital Paper Worlds Supplied By: Manufacturers Vendors Contractor Architect
Digital and Digital Paper Worlds Good: Scanned PDF Documents. Raster Graphic, Unsearchable Better: Native (not scanned) PDF Documents Vector Graphics, Searchable Best: Native PDF Documents with Metadata Vector Graphics, Searchable Bookmarks Data Tags (Metadata) Applied to Document
What if I am just starting? Pilot on a small project Evaluate how institution currently uses CMMS Requirements: assets; bar codes, etc. Staffing this (the handoff )?!
