GS1 Canada Stewardship Initiative Implementation Guide November 2011
Purpose The purpose of this document is to define the data attributes required to allow private label product suppliers to synchronize their product packaging information with data recipients, such as retailers. Data recipients will use the data to determine their stewardship obligations to Industry-Funded Organizations (IFOs) to help manage the product life cycle, including collecting, transporting and recycling efforts. To help retailers provide IFOs with precise reporting on retailers stewardship obligations, GS1 Canada is adding product packaging attributes to ECCnet Registry, Canada s national product registry. Canadian retailers and suppliers have been using ECCnet Registry for over a decade to electronically share accurate, up-to-date product data for product listings and updates. This process is data synchronization. Adding product packaging data to ECCnet Registry enables trading partners to capture and share more product information in a more efficient way. Leveraging ECCnet Registry s product data synchronization process will also benefit private label product suppliers, as they will use an established, proven process to share product packaging data. Data Synchronization Process ECCnet Registry s data synchronization process is based on the concepts of publication and subscription. Publication allows suppliers to manage and control their product data and make it visible to their selected data recipients, including retailers. Subscription allows retailers to access the product data. Publication and subscription also control the flow of stewardship data from suppliers to retailers. However, loading product packaging data will be slightly different. To load product packaging data, suppliers first need to load their Global Trade Item Number (GTIN) information in ECCnet Registry. Once the GTIN data is loaded and complies with industry requirements, the product packaging data can be added. There are two data loading options for the ECCnet Registry Stewardship Tool 1- Bulk Upload: Suppliers add product packaging data to the import template (an Excel file) and upload it to the ECCnet Registry Stewardship Tool to update the existing GTIN data in ECCnet Registry with the product packaging information. 2- User Interface: Suppliers can search for GTINs one-by-one, add/edit the product packaging data per GTIN and save the changes to the data set. Once the product packaging information is loaded for a GTIN, the data will be made available to the retailers that have subscribed to the GTIN. Retailers will be able to search for the GTINs and view the product packaging information online or download the data in the download template. Collecting Product Packaging Information The product packaging information can be obtained from one of the following sources: 1- Bill of Material (BoM): The product s BoM identifies the product packaging components and associated data elements. 2- Third-party packaging provider: The packaging manufacturing team, which may be a third party. To load product packaging data in ECCnet Registry, a product must be identified by a unique GTIN. Product packaging data collected should directly relate to the GTIN representing the product. E.g. A case of water is constructed with two GTINs: The case GTIN; and The GTIN for each of the 24 individual bottles. Each individual bottle, or item GTIN, has three product packaging components: Bottle; Closure (cap); and Label. The case is wrapped with shrink wrap and supported with cardboard. Thus, the product packaging information for each GTIN should contain the following: 1- Case GTIN: The direct product packaging components are shrink wrap and cardboard. The material information for these two components should be collected. 2- Item GTIN: The direct product packaging components are the bottle, closure and label. The material information for these three components should be collected. Note: There is no need to collect the packaging information for indirect components. E.g. For a case of water bottles, there is no need to provide the material information for the bottle, closure or label (just provide the material information for the case s shrink wrap and cardboard). Once the data is loaded in ECCnet Registry, the information for child GTINs (the individual bottles of water) will be associated with the case GTIN based on the quantity of child GTINs. After uploading the packaging data for the bottle of water and its case, the case will contain the packaging material information of 24 bottles, including the material type and weight of the bottle, closure and label. This information will be made available using a series of aggregation rules based on the case-item relationship. Loading Product Packaging Information to the ECCnet Registry Stewardship Tool To load product packaging information in the ECCnet Registry Stewardship Tool, GTIN data must already be loaded in ECCnet Registry. As indicated, suppliers can load product packaging information to ECCnet Registry by using either the user interface to load the data on a one-by-one basis, or the import template to upload product packaging information for more than one GTIN. The Import Template The import template is divided into two sections: 1. GTIN data pulled from ECCnet Registry; and 2. Product packaging data, which needs to be updated. GTIN Data The GTIN data contains a minimum set of attributes to ensure the GTINs can be easily identified appropriately and correct product packaging data can be added to the import template. When downloading the import template from the ECCnet Registry Stewardship Tool, such GTIN attributes as product description, product classification, dimensions, weight and volume are shown. For explanations of the attributes, please refer to the ECCnet Registry Attributes Guide. Product Packaging Data Product packaging data is captured by using the attributes shown in the Product Packaging Data Elements section of this document. Each GTIN can have more than one product packaging component. In the import template, up to 8 packaging components can be identified for each GTIN. The product packaging data needs to be entered according to the specifications outlined for data elements. The attribute values should match the values in the code lists or the attribute requirements. The product packaging data for each GTIN should be directly related to that GTIN rather than lower level GTINs. E.g. A case of water is constructed with two GTINs: the case GTIN and the GTIN for each of the 24 individual bottles. The import template lists all private label GTINs in ECCnet Registry that are not associated with product packaging data. The product packaging components can be added in the import template for each GTIN in the list. For each component, the packaging information, such as material type and weight, can be added to the import template. After the import template is complete, it can be uploaded to the ECCnet Registry Stewardship Tool. After the upload is complete and aggregation rules are applied, the product packaging data for lower level GTINs in a hierarchy will be made available at the higher level (i.e. parent GTINs). Product Packaging Data Elements The product packaging information is an extension of the product information. Each product can have one or more product packaging components and each component can be made of different packaging material.
