PRINTEMPS EDI USER'S GUIDE 1 INTRODUCTION 1.1 Goals of this Guide This Guide is for PRINTEMPS suppliers who intend to send their Despatch Advice messages via EDI. The aim of this Guide is to show the concept of Electronic Data Interchange (EDI), to give the most important stages for efficient interchange, to provide the information expected in exchanges with PRINTEMPS, and to specify EDI's Despatch Advice message structure. The Guide includes: An introduction to EDI A presentation of the Despatch Advice message A structure and description of the Despatch Advice segments A Despatch Advice message example 1.2 Advantages of EDI (Electronic Data Interchange) In today s world, the real time interchange of information between suppliers and distributors is essential. The main reasons for a suitable exchange are: To avoid information loss To avoid a time lag between sending and receiving information To ensure information's traceability To avoid the use of paper To answer all these problems, the electronic data interchange is the best solution, and the tool or system of interchange is EDI. It also brings a reduction of costs for the parties involved. The advantages of using EDI between PRINTEMPS and a supplier are: The use of a common language between both parties via standard messages A reduction of errors within administrative processes and data manipulation. Data transmission costs are much lower than entering the data in an informatics system, ensuring a fast return of your initial investment. PRINTEMPS EDI USER'S GUIDE 1.3 Prerequisites For all suppliers using Electronic Data Interchange for the first time, it is very important to get familiarised with the parties involved in the system and the prerequisites before they start. System participants: Suppliers, distributors and logistic operators are the users of the EDI system The software suppliers provide and implement programs to allow exchanges and translations of the different messages Prerequisites: Must belong to a GS1 body or equivalent (acquisition of a GLN code: Global Location Number) Must have EDI software for sending and receiving messages. Must have an EDICOMNet or an RVA mailbox allowing the interconnection. PRINTEMPS EDI USER'S GUIDE 2 Presentation of EDI messages from PRINTEMPS 2.1 EDI standard used: messages and versions The standard EDIFACT message used by PRINTEMPS to receive shipping advice notes from its suppliers will be the DESADV D96A UN EAN005. 2.2 Functionality of the message The aim of this message is to inform the recipient about the goods delivery or the goods ready to be delivered within agreed conditions. The message can be used either for a delivery or to inform about goods availability. The aim of this message is to inform about the different parts for a delivery. The message connects a supplier and a customer or their respective agents. It provides a goods departure date and a delivery place. It can correspond to different products and delivery units. The delivery message has to show the total contents of the shipment. The working unit is the one used in the purchase order message (consumer unit). The unit specified as working unit in this Guide is the consumer's unit (given in LIN segment). This message allows the recipient: - to acknowledge the delivery date, - to obtain accurate information about the delivery and get tracking details - to allow a link with the order, - to allow a link between the delivery and the corresponding invoice. To allow the recognition of each delivery unit (pallet, carton,...), Individual units have to be identified in a unique way. For this identification it is recommended to use the Serial Shipping Container Code (SSCC). The delivery message describes the contents of the units. This permits a direct comparison between the physical delivery and the electronic description after the goods have been delivered. PRINTEMPS EDI USER'S GUIDE 8 Delivery message validation rules An automatic validation has been placed in Printemps EDI solution. At the time of a DESADV reception, these rules will be checked and in case of an error detection, a GENRAL message with the error descriptions will be sent automatically via EDI to the supplier. 8.1 Rules control list Here are the validation rules: Rule 1 The document number is mandatory.
