Provide an efficient and comprehensive secretarial support service to the secretary/pa, prioritising work to ensure deadlines are met. 2. Ensure effective communication with associated departments. 3. Assist in the organisation of the Clinical Team s workload. 4. Electronic and manual search for notes. Main duties and responsibilities 1. Using Microsoft office application, produce clinical correspondence with audio transcription. To include communication to General Practitioners and other health professionals, clinical letters, notes and discharge summaries. 2. Ensure all queries from colleagues and external organisations are dealt with quickly and effectively in the department, producing file notes as necessary. 3. To adhere to agreed policies, procedures and protocols. 4. Ensure the smooth running of the office/team including the assessment of priorities and the initiation of preparatory action. 5. Opening and dealing with incoming correspondences as appropriate. 6. Photocopying, general office duties and the use of PAS (Patient Administration System) when necessary. 7. Book in and book out notes to other departments using the in-house Patient Document Tracking (PDT) system. 8. File results, letters and various other documentation in medical notes. 9. Maintain comprehensive office systems ensuring prompt access to information. 10. Ensure shared knowledge within the team. 11. Contribute to ongoing projects as required. 12. Respond to telephone calls from anxious and distressed patients, taking messages and resolving problems when possible, in a professional and competent manner. 13. Environment The post holder will be aware of physical effort with regard to sitting for long periods to carry out word processing and the manual handling issues related to transfer of substantial numbers of heavy medical notes. Exposure to frequent interruptions to routine, relating to telephone calls and personal requests and demands. Be aware of the prolonged exposure to Visual Display Units (VDU) and the associated health and safety risks. Frequent exposure to working in a stressful environment which could include coming into contact with ill, abusive and aggressive patients. Exposure to medical photographs within clinical notes which could be of a distressing nature. Health and Safety Employees must be aware of the responsibilities placed upon them under the Health and Safety at Work Act (1974), to ensure that the agreed procedures are carried out to maintain a safe environment for employees and visitors.

Disclosure of Information - The unauthorised use or disclosure of information relating to the Trust s activities or affairs, the treatment of patients or the personal details of an employee, will normally be considered a serious disciplinary offence which could result in dismissal. Upon leaving the Trust s employment and at any time thereafter you must not take advantage of or disclose confidential information that you learnt in the course of your employment. Unauthorised disclosure of any of this

information may be deemed as a criminal offence. If you are found to have permitted the unauthorised disclosure of any such information, you and the Trust may face legal action. Information Quality and Records Management - You must ensure that all information handled by you is accurate and kept up-to-date and you must comply with the Trust s recording, monitoring, validation and improvement schemes and processes. Professional Standards and Performance Review participate in statutory and mandatory training as appropriate for the post; and maintain consistently high personal and professional standards and act in accordance with the relevant professional code of conduct; and take responsibility for the maintenance and improvement of personal and professional competence and to encourage that of colleagues and subordinates; and participate in the Trust s appraisal processes including identifying performance standards for the post, personal objective setting and the creation of a personal development plan in line with the KSF outline for the post. Safeguarding Children and Vulnerable Adults We all have a personal and a professional responsibility within the Trust to identify and report abuse. This may be known, suspected, witnessed or have raised concerns. Early recognition is vital to ensuring the patient is safeguarded; other people (children and vulnerable adults) may be at risk.
