Fall Conference 2017 Exhibitor Registration Information Terms and Conditions It is agreed that the sponsor will abide by the terms and conditions below as well as those of the venue: Liability: Sponsor agrees that Philadelphia Chapter Institute of Internal Auditors and their agents are held harmless from any claims for damage, theft, fire, water, liabilities, or loss to any person or property, by any reason of the exhibitor s operations in connection with the Conference. Payment: There are a limited number of sponsorships available. A sponsorship level will not be reserved until payment is received. In addition, Full payment must be received by October 20, 2017 to be included in the sponsor listings. We cannot guarantee that your name and/or logo can be included in conference materials if your registration is received after October 20, 2017. Once payment is received, the Premiere and Diamond level exhibitors will be able to choose the location of their exhibit table from the enclosed exhibit layout. Cancellation Policy: Once the exhibitor agreement is signed, there are no refunds. Substitution: Subletting or division of booth space is not permitted. Electrical Services: Access to electrical outlets may be obtained (based on availability) from the venue at an additional cost. Electric can be ordered on the enclosed electrical order form. Please pre-order electric, as you may not be able to order electric the day of the event. Electric ordered on the day of the event will incur additional fees. Internet: Wi-Fi access will be provided to all exhibitors at no additional charge. Exhibitor Assignments: Exhibitors will be allowed to choose their own table location based on availability and sponsorship level. Locations may be chosen from the provided layout, based on the schedule listed and once payment is received. Chapter and Premiere Sponsors can choose table location once payment and registration form is received Diamond Sponsors can choose table location beginning on October 20, 2017; payment and registration form must be received. Bronze and Education Sponsors table location will be assigned by the event manager. If payment and registration forms for any given level are received prior to the table location selection date, tables will be chosen in the order that the payment AND form are received. Additional tables, displays, telephone service, audio-visual equipment rental, electrical services, and early shipment of exhibit materials may be provided at the order and expense of the sponsor. Exhibit Set-up/Break Down: The sponsor agrees to keep its table fully set up, staffed and operational through the expo hours. The sponsor agrees to remove all property, garbage, boxes etc. from the table at the conclusion of the expo. Photo Disclosure: By attending this conference, all attendees agree that their image or likeness may be captured in one or more form of media, and that said images may be reproduced by The Institute of Internal Auditors Philadelphia Chapter for its reasonable business purposes. GENERAL INFORMATION Exhibitor Registration: Exhibitor badges will be available at the registration desk beginning at 6:30 a.m. on Monday, November 20, 2017. Please pre-register your booth personnel form. We will send you this form once the exhibitor registration form is received. All personnel must be registered. No one will be permitted into the expo area without a badge. Please keep in mind that any materials received prior to that will be declined and may not make it in time for the conference if it is re-shipped. Should you be shipping boxes for your event, PLEASE NOTIFY THE HOTEL 1 WEEK IN ADVANCE. The package must be addressed to the attention of your on site contact who will receive the package, the name the organization is booked under (IIA Philadelphia), a date when your on-site contact will be looking for the package (4-29-2016). Otherwise charges for incoming will apply for outgoing. (Shipping has regular scheduled pick-ups Monday Friday for FedEx and UPS.) Parking: Secure underground parking is available at the Exhibitor s expense. Move-In Procedures: Exhibitors can unload their exhibit materials to the venue. We will do everything possible to ensure a smooth move-in, and we ask your cooperation in complying with the move-in schedule. Exhibit Furnishings: Each exhibitor will receive the following; one 6 x 30 table. There will be no facility or location to hang banners. Your exhibit materials and displays are limited to your table and the space directly behind your table. The exhibit space is carpeted. Table Location: All exhibit tables will be on the Liberty Ballroom Foyer outside the Ballroom. Electric: Electric is available at an additional cost of $90 plus additional fees and taxes. Each sponsor is entitled to have 2 table personnel. If you need to purchase a registration for additional exhibit personnel you may do so at a cost of $100 per person to cover the costs of meals. There is a maximum of 4 table personnel per exhibitor space. Complimentary Attendee Registrations: Sponsorship packages include comped attendee registrations (3 for Premiere, 2 for Diamond and 1 for Bronze). Please have the person(s) who will be utilizing your comped registration register on the attendee registration site. Further instructions will be included in the packet you receive once you have committed to a sponsorship Please note all comped registrations MUST be registered no later than Monday, November 6, 2017. Failure to register will result in the forfeiture of your comped registrations. Conclusion: It is the responsibility of the vendor to remove any and all exhibit materials from the venue at the conclusion of the event. Any costs involved with waste removal will be charged to the sponsor.

Proceed on Highway 73 North to Highway 38 West. Continue to Highway 30 West over the Benjamin Franklin Bridge. After crossing the bridge, continue on Vine Street and turn left onto 17th Street. The hotel is located 1 block further on the left. From Interstate 95 South (North/South) Take Interstate 95 South to Exit 22.
