Release Notes Assistance PSA Suite 2016 Spring Release (June 2016) New License Structure The Assistance PSA Suite License structure has changed In the new license model 3 licenses are available: - Essentials: for Timesheet users. Projects Purchase Orders Purchase Orders can be entered on a Project. In the Project form, choose the option Purchase Orders. Click on Add New Purchase Order. Or, if you have imported the Solution PSA Suite Financials, go in the main menu of CRM (Sitemap) to psasuite FINANCIALS and click on the tile Purchase Orders. You can enter an overall value for the P.O. or use the inline edit grid to insert detail lines with Purchase Order amounts. Once you have saved the inline edit grid and refreshed the P.O. you will see the total value of the detail lines posted to the Amount field of the P.O. (in the General section). In a next release Purchase Orders will be integrated with PSA Suite Financials. For now they are informative and not connected to any financial back-end. Project Accounting - Revenue Recognition In the Project (form) the menu option (tile) Revenue Recognition has been added. With the Revenue Recognition module you can recognize revenue at the Project level (per Project Item and Item Type) based on the calculated percentage completed and actual completion. The Revenue Recognition module will also create a log of the completion progress. PSA Suite Financials requires a Professional license however with Revenue Recognition a PSA User with a Basic license, for example the Project Manager, can perform revenue recognition that will generate Journal transactions in PSA Suite Financials (which can also be integrated with your Financial back-end). For this purpose the Solution PSA Suite Financials is required on top of Assistance PSA Suite. To have a complete understanding of Revenue Recognition we advise that you attend a training of the Assistance Software Academy and implement PSA Suite Financials with the help of a consultant. - Booking Groups The Ledgers in Chart of Accounts can be categorized in Ledger Groups (COA Sub Groups) and Ledger Groups can be categorized by COA Main Groups. They are maintained in Microsoft Dynamics CRM, psasuite FINANCIALS. Release Notes Assistance PSA Suite 2016 Spring Release June 2016 Page 3 of 35

Project Forecasting Revenue Forecasting A forecast amount can be entered in the field Amount of a Project Item Activity. After updating the Forecast from the Gantt Chart, the amount is added to the Forecast. The amount is divided over the number of days in the period from start to end date. Note that Assistance PSA Suite will always check if there is a value in the Amount field of a project item activity; if there is none, then it will use the planned number of hours to calculate the forecast. Project Planning - Gantt Chart extended with Utilization Grid (resource availability) The Gantt Chart is combined with a Utilization Grid to validate a resource s availability in the period that the employee is scheduled. The Utilization Grid is expanded by clicking on the symbol in the lower right corner of the Gantt Chart. Note!: only PSA Users where the setting Adjust PIA s per Day in their PSA User record has been set to Read Only or Read & Write can access this Utilization Grid. After expanding the Utilization Grid the utilization of the project team members can be consulted. Scheduled represents the total number of hours that the employee is planned on other projects for a selected period. When pointing at a cell a tooltip displays on which projects the employee is planned and what is the number of hours per day. Below Scheduled the Project Item Activities and their total number of hours for the current Project and period are displayed. The very last line of the grid represents the total number of planned hours of the employee. Cell colors The colors of the cells have the same meaning as within the Utilization Sheet in the menu Microsoft Dynamics Release Notes Assistance PSA Suite 2016 Spring Release June 2016 Page 5 of 35

CRM, psasuite PSA, Utilization Sheet. New colors are described below: - PTO (Leave/Time Off) is displayed in the color light green. The Utilization Grid does not use the user s Time Off in CRM Work Hours, but instead hour entries on Hour Types marked as Vacation Leave. Business Closures are displayed in the color pink. Weekends are displayed in yellow. - Reassign a Project Item Activity By giving a right mouse click on a Project Item Activity you can reassign the Project Item Activity to another Project Team Member. - Create a General Activity By giving a right mouse click on any line of a resource and choosing the option Add General Activity, an activity that is not related to a Project can be entered. The activity can be regarding an Account, Opportunity or Case. By entering the first position(s) of a description of a record in the field Search you can filter the records. The activity appears in the list of the Activities and you can enter a quantity of hours for the activity. - Manually change the number of hours of Project Item Activities per day. By clicking on a cell the number of hours can be changed. Each time you change a selection or edit the data, remember to click on the buttons Save and Refresh ( )to see the correct data displayed. Note that for a change made in the Utilization Grid to be displayed in the Gantt chart, it must first be saved in the Utilization Grid and the Gantt chart refreshed afterwards (the same principle will apply if a change is made in the Gantt chart). - Create Recurring Activities On the tab Recurrence of a Project Item Activity a number of hours for one or multiple specific day(s) of the week can be entered. For example: you want to plan a 4 hour activity for a resource on every Friday until August. Enter 4 hours in the field Fridays. Define the duration via the tab General the (by entering Start and Finish dates if not already defined when you first created the activity) Select the Resource and hour type via the Resources Tab. Save the activity in the Gantt and refresh the Gantt. The number of hours will be calculated automatically and will replace any previous value (even if manually entered). - Availability Sheet The Availability Sheet is found in Microsoft Dynamics CRM, psasuite PSA. It is a list of Resources (Employees) with their availability displayed on a monthly period. The availability of the employee is visible at a single glance. A tooltip, with planning details such as clients, project description, work hours and planned hours, appears when going with the mouse pointer over a cell. A new Project Item Activity can be directly entered here. Expand the subsection of any resource and position your mouse at the level just below the resource level. Select one or more cells by stretching with your mouse pointer the number of days and give a right mouse click. Then give a name to the PIA, select a project, project item, define the number of hours and resource(s) and click OK. Availability Sheet Tip!: By double clicking on Resources, Projects and Project Item Activities their CRM forms are opened. - Reassign Project By giving a right mouse click on a Project, then a left mouse click on Reassign Project, the selected employee will become the owner (Resource) of all Project Item Activities of that Project. - Reassign Activity By giving a right mouse click on a Project Item Activity, then a left mouse click on Reassign Activity, the selected employee will become the owner (Resource) of that Project Item Activity. The Availability Sheet is combined with a Utilization Grid to validate a resource s availability in the period that the employee is planned. The Utilization Sheet is expanded by clicking on the symbol in the lower right corner. After expanding the Utilization Sheet the utilization of the resources can be consulted (monthly periods). Work Hours represents the resources work hours from the CRM User s Work Hours setup. Below Work Hours the Project Item Activities and Projects the resource is scheduled for are displayed, with their total of hours. On the last line the total of unscheduled hours is calculated. The number of hours per activity and day can be changed here. Activities can be reassigned to another resource. - Create a General Activity By giving a right mouse click on any line of a resource and choosing the option Add General Activity, an activity that is not related to a Project can be entered. The activity can be regarding an Account, Opportunity or Case. By entering the first position(s) of a description of a record in the field Search you can filter the records. - PSA Users: Adjust PIA s per Day In a user s PSA User record this setting determines whether a user can view and/or edit the quantity of hours of the Utilization Grid in both the Availability Sheet and Utilization Sheet. - PSA Business Closures per Legal Entity Business Closures are entered in Microsoft Dynamics CRM, psasuite SETTINGS, Business Closures. This is done per Legal Entity. The CRM Business Closures are ignored. In the Availability Sheet Business Closures are displayed in the color pink. - PTO (Leave/Time Off) is displayed in the color light green. The Availability does not use the user s Time Off in CRM Work Hours, but instead hour entries on Hour Types marked as Vacation Leave. Roll Forward - The Roll Forward functionality schedules automatic copy of projects that are renewed on a yearly basis. - In the System tab of the project form the following fields have been added. - Roll Forward: To activate the Roll Forward check this box. - Copy Date: is automatically populated with the date of the creation of the project + 1 year. This date can be modified before the roll forward is performed. - New Start Date: is automatically populated with the date of the creation of the project + 1 year. This date can also be modified before the roll forward is performed. - RF Type: two options are available. 1. Copy Scheduled Hours will copy the project item activities (without resources). 2. Use booked hours as scheduled hours will generate budget lines based on the actual hours of the original project. - RF Status: When a new project is created the status is set to Planned. When the roll forward is performed the status of the original project is set to Project Created. To perform the Roll Rorward an executable file must be installed. Performance Report and Project List - Project Performance Report The Performance Report has been added to see the project s financial performance. It displays the profit margin. You can access it from an opened project form. Choose Report Type Performance Report. The report is created in HTML5, is not customizable, but can be exported to Excel. If you click on the symbol in the right lower corner, a chart is expanded. - Project List The Project List is a Performance Report for all Projects. It can be accessed in Microsoft Dynamics CRM, psasuite PSA, Project List. Release Notes Assistance PSA Suite 2016 Spring Release June 2016 Page 14 of 35

Invoice Scheme (Installment) Templates A Project Template can have one or more Invoice Scheme Templates. Invoice Scheme Templates are created in the menu Microsoft Dynamics CRM, psasuite SETTINGS, Project Templates. Open a Project Template and choose the menu option Invoice Installment Template. Click on the button Add New Installment Template. Enter a name for the Installment (required). Click on Save. For each Project Item of Item Type Fixed Fee a line is created. Click on the button to create installments. These are the percentages of the fixed fee amount to invoice. The installments can be saved as soon as the total of the column % is 100. These Installment templates can be selected in a Program Template. In a next release an Invoice Scheme Template can be selected in a Project as well. It will also be possible to update the Installment amounts from Fixed Fee Project Item amounts. Release Notes Assistance PSA Suite 2016 Spring Release June 2016 Page 17 of 35

Project Managers no longer in Project Team by default. Project Managers are not added to Project Team automatically. psasuite SETTINGS Omit Sales Tax Calculation Lines per Transaction Process Import Vertical Operating Company (OpCo) In Psasuite Settings, PSA Settings, section Invoices, the option Omit Sales Tax Calculation allows to disable the tax calculation by Assistance PSA Suite. This enables third party software to calculate invoice tax amounts. This setting is to prevent possible time out errors after 2 minutes in CRM Online when creating invoices with large quantities of invoice lines. In psasuite SETTINGS, PSA Settings, Invoices, in the field Lines per Transaction Process you can enter the quantity of invoice lines to process in bulk. In PSA Suite Settings, PSA Settings, in the local command bar, the button Import Vertical allows to import a Solution with industry specific predefined templates with hour types, data and project breakdown structures. More information can be found here: http://www.assistancesoftware.com/industry/ In Microsoft Dynamics CRM, psasuite SETTINGS, Legal Entities, a Legal Entity can be marked as an Operating Company (OpCo). In Assistance PSA, a Legal Entity is an Operating Company by default. Programs Program Templates Program Templates allow users to quickly create Programs if your Programs are identical or similar. To enter a new Program Template, go to the main menu of Microsoft Dynamics CRM and then to psasuite SETTINGS, Program Templates. The Program Template needs a name. In the section Template Items you enter the Project Templates that must be used to create the Projects of the Program and the standard Name that the Projects have when they are created. There is also an option to have a Budget and/or Forecast created for the project from the project template. To create a Program from a Program Template, go to Microsoft Dynamics CRM, psasuite PSA, Programs and click New. Enter the Program details and save the Program. Use the option CREATE MULTIPLE PROJECTS in the local command bar to add the projects from a selected Program Template. Release Notes Assistance PSA Suite 2016 Spring Release June 2016 Page 21 of 35

In this window where the Project Templates are presented, you can still deselect Project Templates, Create Budget, Create Forecast and change values. After clicking on Accept the Projects are created and related to the Program. Program Budget Programs have a section titled Budget. It is a HTML5 Budget grid displaying all budget lines of all Projects in the Program. To modify a line you need to open the budget grid within the project. Hours Booking Restriction Project Booking Restriction does not make Project Item Activity Mandatory for an hour entry anymore. If the option is checked, only Project Item Activites that the user owns can be selected by the user in the Timesheet with the Calendar view. Approval Tools Two new approval tools are now available: Project Manager approval and Administrative Approval. - Project Manager Approval Tool In Microsoft Dynamics CRM, psasuite PSA, Project Managers can use the menu option PM Approval. This is a tool developed in HTML5 to PM approve hours and expenses. Release Notes Assistance PSA Suite 2016 Spring Release June 2016 Page 22 of 35

Note: the direct link (URL) to this tool is: https://my.crm.com/webresources/psa_/pmapproval.html If the current user is a Project Manager, his or her name will appear in the field Project Manager. All Hours to be PM approved can be retrieved for a period and per Project. Before the Project Manager approves an hour entry he or she can change the following: Put hours On Hold or Continue Description Internal Note Hour Type Project Item Hours To Invoice The Project Item can be changed by giving a right mouse click on the hours line. In the column Hours to Invoice the quantity of T&M Hours that can be invoiced can be changed. This will not make any changes to the actual hours! On the tab Expenses all expenses, that still need to be approved by the Project Manager, are retrieved. - Administrative Approval Tool In Microsoft Dynamics CRM, psasuite PSA, administrative approvers can use the menu option Admin Approval. This is a tool developed in HTML5 to Admin approve hours and expenses. Note: the direct link (URL) to this tool is: https://my.crm.com/webresources/psa_/adminapproval.html You can choose to approve hours administratively per Timecard or you can retrieve all hours to be approved administratively per Employee and period. Hours to booked, Booked and Balance display the selected Time Card information. A graph displays the percentages of all hours from January 1 st of this year until the selected End Date of the following: - % Internal: hours on Projects marked as Internal - % Production: hours on Projects not marked as Internal - % Sick: hours with hour types with value Yes for Sick Leave - % Leave: hours with hour types with value Yes for Vacation Leave The pie with title Hours to approve displays the number of hours selected for approval for the same categories. On the tab Expenses all expenses that still need to be approved administratively are retrieved. There will be a checkmark in the column App. PM if the hour entry has been approved by the Project Manager. Release Notes Assistance PSA Suite 2016 Spring Release June 2016 Page 25 of 35

Instant Time Entry extended functionality. It has been made more flexible and manageable. Start a Timer with no Project information entered. Project information, like Project, Project Item, Hour Type and Project Item Activity, can be entered later. Pause and Resume the Timer. A running Timer can be paused. After this it can be resumed. A running Timer is auto paused when starting a new Timer. When a new Timer is started or an existing Timer is resumed, the currently running Timer is paused automatically. Adjust minutes. Extra minutes can be added to or subtracted from the running time of a Timer. Release Notes Assistance PSA Suite 2016 Spring Release June 2016 Page 26 of 35

This can be done before the Timer is stopped. When stopping the Timer the time adjustment is made to the hours. Adding or subtracting minutes to the time can be done in an opened Timer as well. Enter Allowances in Timesheet Line If in his or her PSA User record the setting Show Allowances in Timesheet Line is active, then a Timesheet Line user can select an Allowance that has been entered in Assistance HRM. Allowance rates are related to an HRM Employee. Only then the Employee can select an allowance in Timesheet Line. Allowance Rates are added to an HRM Employee in Microsoft Dynamics CRM, psasuite HRM, Employees. Open an Employee record and add the Allowance Rate in the section Allowance Types. Project Search in Timesheet Calendar and Timesheet (Line) no longer dependent on setting With both settings ( Projects where the user is a team member and All Projects ) in Microsoft Dynamics CRM, psasuite SETTINGS, PSA Settings, Hours, Hour Entry Scope, a Project Search is available. Project Item selected if one to be selected in Timesheet (Line) If users can select only one Project Item for a time entry in Timesheet (Calendar) en Timesheet (Line), then that Project Item is automatically selected. Expenses First 100 Expense records loaded in Expenses Form Per Project and overall (so in Microsoft Dynamics CRM, PSA, Expenses, Expenses Form) 100 Expense records are loaded by default. Invoices HTML5 grid with Invoice Lines The CRM Invoice form PSA Invoice has a HTML5 grid to edit the Invoice Lines for more efficient and user friendly editing. The column Date displays the hour entry date if the project setting Detailed Invoicing is set to Detailed. If it is set to Group By, then the field Date is not populated. The column Hours Booked displays the number of hours booked for Project Items defined as T&M; the value in this field can t be modified. The column Quantity represents the quantity to invoice and the value in this field can be modified. It is possible to also edit the other columns of the grid. Maximum of one Credit Note per Invoice It is no longer possible to create multiple Credit Notes for an Invoice. In the field Credited Invoice of the credit note you will find the name of the original invoice and will be able to drilldown from here to the document. Sales Forecast Edit Opportunity Forecast from Overall Forecast In the Overall Forecast the Forecast for an Opportunity can be opened and edited by clicking on the link to the Forecast. Assistance HRM Time Off in Work Hours of a CRM User is no longer updated automatically. Allowances When a Leave Request in Assistance HRM is approved, the Work Hours of the CRM User are no longer updated with Time Off. Note: if you use Assistance HRM for Leave Requests, leave time entries are still created automatically. If you do not use Assistance HRM for this purpose, then leave has to be entered manually in the Timesheet. Allowances have been added to Assistance HRM. They are additional to an employee s salary. Allowances are not related to projects and can therefore not be billed to the client. In Microsoft Dynamics CRM, psasuite HRM SETTINGS, Allowance Types and Allowance Rates can be entered and maintained. See also the section Hours in this document where it is explained how users can book allowances in the Timesheet Line. Allowances booked in the timesheet Line are automatically added to the Compensation table in PSA Suite HRM. Compensation is related to an Employee and Period and can be used for your payroll system. Assistance Financials Tax Group and Tax Amount added to Financial Transactions Book Year and Period added to Financial Transactions The Cost Price, Transfer Price and Selling Price values of transfer of Expenses determined by Expenses setting Numbering Settings If a Financial Transaction record is an Invoice Line, then Tax Group and Tax Amount added to Financial Transactions. The fields Book Year and Period are added to Financial Transactions if they are Invoices. The Periods are: - The value of the Financial Period - The values (Period and/or Year) of the Invoices The Cost Price, Transfer Price and Selling Price values of transfer of Expenses was determined by the Hours setting, not the Expenses setting.
