BACKGROUND INFORMATION: World Cancer Research Fund International WCRF International is the not-for-profit umbrella association that leads and unifies our WCRF global network of cancer charities dedicated to funding research and education programmes into the link between food, nutrition, physical activity, weight maintenance and cancer risk. WCRF International was created to maximise the potential of each national member, and by building a network of cancer charities, strengthen the global cancer prevention message. The national member charities are based in the US, UK, Netherlands, and Hong Kong. In particular, WCRF International plays a leading role in directing and supporting the research and policy activities of the WCRF global network. Following the launch of the Second Expert Report, the Continuous Update Project (CUP) was established to maintain a central database of the accumulated evidence related to food, nutrition, physical activity and cancer. It is based on a live system of scientific data that is updated on an ongoing basis with any new research on cancer prevention published worldwide. This allows us to continuously monitor the research on cancer prevention and regularly review our messages. The database is one of, if not the, largest resource of existing scientific literature on food, nutrition, physical activity and cancer in the world. Working with researchers, health professionals, policy makers and other health organisations throughout the world, we provide people with the information they need to make choices that can reduce their chances of developing cancer. We fund cutting edge cancer research and provide people with the information they need to reduce their cancer risk. JOB DESCRIPTION Section 1 Job title: Reporting to: Division: Location: Hours: Duration: Salary: DATA SERVICES MANAGER Head of Fundraising Fundraising WCRF UK, 22 Bedford Square, London WC1B 3HH 37.5hrs/week full time Permanent contract 27,000-33,000 per annum, plus benefits Section 2 Purpose of Post To lead and be responsible for the management, use, maintenance and development of systems and databases to support the achievement of the charity s strategic objectives and analyse and review results To ensure the smooth running of day-to-day data tasks, take the lead on data projects and make sure they are completed efficiently and on time To lead and motivate the data team and directly line manages the Data & Analysis Manager To work closely with other members of the organisation, especially fundraising and supporter services departments, and will support other departments around the WCRF Network as needed Section 3 Main Duties and Responsibilities Staff Management Lead and motivate a team of two and manage the Data & Analysis Manager, including job design, recruitment, induction, development, review and management of performance Database development Maintaining and developing the integrity, accuracy, completeness, timeliness and fitness for purpose of WCRF UK s supporter data Develop systems for maintaining and enhancing the integrity and quality of all data held on databases and be responsible for departmental backup of databases Managing the development of systems to allow effective reporting, analysis and data selections Indentifying and prioritising business process improvements, developing and implementing new processes to deliver reductions in cost and/or improvements to service to supporters Propose and agree amendments to WCRF UK databases and project manage all database reconstruction, changes and developments carried out Be responsible for effective relationships with external database services suppliers, to ensure cost effective, timetabled implementation, monitoring and management of provision of service Specify data capture procedures within database activities, develop management systems to monitor accuracy and progress of data capture and fulfilment processes Have overall responsibility for analysis of results of WCRF UK programmes and impact monitoring. Make programme recommendations based on solid understanding of results and performance Support the Data & Analysis Manager to ensure that, working to agreed schedules; selections of supporter data are produced for Gift Aid claims. Ensure that resulting data is received and verified,

and then loaded onto the development database. Ensure that claims are forwarded to the HMRC with in agreed timings Ensure at all times all Gift Aid record systems are accessible on request and kept up to date for HMRC inspection. Support the Data & Analysis Manager in agreeing schedules for data cleaning exercises. To ensure that database selections from databases are produced and verified before being sent to data cleaning house Support the Data & Analysis Manager to ensure data is selected and sent to the telemarketing agency in the correct format. Ensure the transfer of data back to WCRF UK/CAF is done in a timely manner, with donors flagged according to internal policies and procedures. Ensure responder files are provided to the telemarketing agency 6 weeks after the end of each campaign and using established systems track donor attrition for all telemarketing campaigns Take the lead in managing WCRF UK s working relationship with CAF, to ensure that direct debits are processed efficiently and compatible data reports are produced Regularly review other supplier options to remain competitive, making recommendations to the General Manger and Head of Fundraising in relation to options for changes Alongside the Data & Analysis Manager, and working with relevant programme managers, produce written analysis and impact reports on fundraising campaigns and direct mail and make recommendations to help ensure future successes. Ensure that weekly data updates from the direct mail database are received, loaded onto the development database and verified for integrity Assist colleagues with their databases needs, as required and appropriate to existing workload Offer advice on telemarketing or other areas of fundraising to relevant colleagues around the WCRF Network as and when required. Provide database inductions and training and data protection training updates to WCRF staff to ensure current legislation is adhered to Data Protection Ensure all actions undertaken comply with the Data Protection Act Maintain a working knowledge of Data Protection legislation and communicate to relevant colleagues whilst providing advice and guidance on Data Protection issues. Developing, promoting and enforcing internal processes and procedures to ensure that all use of supporter data is compliant with Data Protection Legislation, other relevant regulations, and WCRF UK s aims and business objectives Ensure that WCRF UK databases and manual systems are Data Protection compliant, that they meet all other regulatory requirements and ensure that industry best practice is achieved as a standard for all databases.

General Prepare annual expenditure and Gift Aid income budgets and plans and, on approval, manage their execution, ensuring that targets are met, monitoring and evaluating performance against targets Play a key role in the continued development, implementation and ongoing review of WCRF UK strategic plans Develop & maintain knowledge and expertise on trends, development techniques in the sector and relevant UK marketplaces Represent WCRF UK on internal and external IT/data strategy groups Follow WCRF UK procedures and policies for all areas of data and fundraising work and update annually or more regularly as needed Keep procedures for all programmes within remit up-to-date, and produce new ones for new programmes as they arise. Take on new projects, as appropriate. Contribute and play a leading part in departmental meeting Monthly meetings and Cross Department. As needed assist in preparation and execution of the Bi-annual WCRF UK Development meetings and supplier meetings. Ensure that any promotional materials produced by team members are produced within corporate identity and the appropriate individuals and departments approve guidelines and copy. PERSON SPECIFICATION The person specification describes specifically the behaviour, skills and experience that are needed for the job. Experience Proven experience of designing new databases, creating scripts and maintaining existing databases systems for fundraising Considerable hands-on experience of working with complex databases Experience of data project planning and management preferably gained within a charity environment Proven track record of staff management, leadership and motivation Experience of project management and work planning Previous experience of working in a charity environment, ideally in fundraising Experience of FileMaker Pro, especially versions 10 to 12 or similar Knowledge & Technical Skills Understanding and working knowledge of Data Protection, fundraising law and good practices. TERMS AND CONDITIONS: This is a part time role and the salary for the post is 27,000 33,000 per annum depending on experience, plus benefits SALARIES WCRF pays salaries into bank accounts once a month on the 26 th of each month. FLEXITIME SCHEME A flexi time scheme is in operation across the organisation. The daily requirement is to work 7.5 hours plus from 30 minutes to 1 hour and 30 minutes for lunch. WCRF UK s core business hours from Monday to Thursday are between 10.00am - 5.00pm with flexi time periods between 8.30am 10.00am and 5.00pm - 7.00pm. WCRF International s core business hours on Fridays are between 10.00am - 4.30pm with flexi time periods between 8.30am 10.00am and 4.30pm 7.00pm. ANNUAL LEAVE WCRF International s annual leave year runs from 1st October to 30th September. Annual entitlement for full-time staff is in relation to length of service: Less than 1 year of continuous service at the beginning of a holiday year: 25 days 1 year or more of continuous service at the beginning of a holiday year: 26 days 3 years or more of continuous service at the beginning of a holiday year: 28 days 5 years or more of continuous service at the beginning of a holiday year: 30 days SICK LEAVE For full-time staff, WCRF International allows up to 12 days sick leave in any year without deducting pay. This allowance is accrued at the rate of 1 day per month. PENSION PLAN We have a voluntary contributory pension scheme. Members of the scheme contribute a min of 3% up to max of 5% of their salary. Contributions are deducted from salaries. The organisation matches a maximum of 5% (and offers a discretionary top up payment of up to 4% depending on the financial position of the organisation). You are eligible to join the scheme after successful completion of the probationary period. PRIVATE HEALTHCARE We offer private healthcare for employees, which gives all employees access to private healthcare (hospital and outpatient care) by referral from NHS. You are eligible to join the scheme after successful completion of the probationary period. DENTAL COVER SCHEME We offer all employees a contribution to their dental expenses by allowing employees to opt in to a dental cover scheme. You are eligible to join the scheme after successful completion of the probationary period. LIFE ASSURANCE AND INCOME PROTECTION We cover all employees from their 1 st day of employment and provide cover, which is equal to 4 x the individual s salary on death while employed along side critical illness cover. PERMANENT HEALTH INSURANCE (PHI) SCHEME All permanent members of staff, up to the age of 65, whose normal hours of work are at least 15 per week, are covered by the organisation s Permanent Health Insurance (PHI) Scheme, at no cost to employees. PHI is intended to provide income protection in the event of long-term illness or disability. The scheme provides an income replacement of up to 50% of the basic annual salary after a waiting period of 26 weeks, starting from the date a disability commences.

SEASON TICKET LOAN SCHEME Employees can take advantage of an interest free loan for a purchase of an annual travel ticket. The loan is repaid via equal deductions from the employee s salary over a 12-month period. You are eligible to join this benefit after successful completion of the probationary period. CYCLE TO WORK SCHEME Employees can take advantage of an interest free loan for a purchase of a tax-free bike or accessories. CHILDCARE VOUCHERS WCRF UK offers its employees the opportunity to purchase childcare vouchers by exchanging part of their salary for childcare vouchers. DEVELOPMENT OPPORTUNITIES WCRF has an annual appraisal process in place during which individual development needs are discussed and training needs identified. PROBATIONARY PERIOD AND NOTICE PERIOD The post-holder is subject to a 3-month probation period during which 1 week s notice on either part will apply. Following successful completion of the probationary period the post-holder will be on 1 month s notice period.
