Getting Started: How to Login and the Dashboard In these first few pages we will cover where to go to login and how to view your dashboard. How to Login The first time you login your username and password will be set to your email address. 3 URL: https://{state-organizationname}.civicplushrms.com/ Username (default): your email address Password (default): your email address If at any time you forget your password, please use the link Forgot your Password to have a password reset email sent to you. Follow the instructions in the email to reset your password. NOTE: It is recommend after you first login to go to Settings and change your password. Please see the section: Settings
Dashboard On your Dashboard, you will be able to see any candidates that were routed to you for review. Candidates that need a response are in the top half your screen and candidates that you have responded to are in your bottom half of the screen. Click on any candidate to view their profile. Please note you will only see the candidate(s) that were routed to you for positions that are still being filled. 4
Candidates In the left hand column the Candidate button will take you to the following view: From here you are able to filter by Active candidates, Dismissed candidates, and Archived candidates that have been routed to you to review. 5 Sorting: You can sort this list by any of the headers name, status, and rating. Filtering: You can filter by job, status, source, type (internal/external), score, rating, BMQ, and routed This is your workspace for managing the candidates for a particular position. Click on any candidate to view their profile.
The Candidate Information tab will provide you with a quick snapshot of the candidate including: 6 Candidate Information Contains the Name, contact information, Candidate Application (if the candidate applied online), account create date, application date and time, and the last time the candidate was viewed. Candidate Scores In addition, you will see a score in the Candidate Scores area which will display a rating only if supplemental questions have been assigned to that specific application/requisition. BMQ is the Basic Minimum Qualification. A candidate will receive 1 point for each minimum qualification that they have. If no BMQ were assigned this will show 0 of 0 Met. The questions for the assessment score and BMQ can be viewed at the bottom of the candidate s application.
Candidate Status Candidate Status: Where the candidate is in the hiring process. (Editable) Candidate Source: Where the candidate heard about the job. (View only) Candidate Group: The group the candidate belongs to for organization purposes. (View only) 7
Candidate Rating You can rate a candidate by dragging the stars in the area labeled Rating. 8 When you are ready to route the candidate back to the admin, place some notes in the Notes area of Your Evaluation and click Submit. This will immediately send the candidate back to your administrator with your notes.
Candidate Resources The Resources tab will show you any documents uploaded by the candidate when submitting their application. An HR Admin may have attached additional documentation as well. These may include a cover letter, resume, references, letters of recommendation, etc. 9 This is where you will also find an application of the candidate if the candidate did not apply online, but submitted a hardcopy application. NOTE: The hard copy applications will not be accessible in the system until HR staff enters the basic employee information and scans and uploads the application into CivicHR.
Candidate Notes You can view and add notes on the Activity Tab. You will be able to see your notes and in addition any note an administrator has chosen to share with you. Remember, any notes you enter are visible to administrators. 10 To add a new note, click the Add New Note button. A popup will appear for you to enter you note.
Requisitions The Requisition tab will show you requisitions that you have requested or have been routed to you for approval. Requisition Requests This page displays all requisitions that have been requested by you. These will be entered in by HR Staff. 11 In Progress Requisitions This tab will display any requisitions that have been routed to you for approval. These are requisitions that are ready to be posted and will show you the details that will be displayed once the requisition is published.
To provide feedback on the requisition select the blue button Give Notes in the lower right hand corner of the form. 12 After clicking Give Notes a popup will appear for you to either approve or reject the posting and enter in notes.
Job Feedback In the left hand column, Job Feedback will take you to the following view. This is where you are able to view any jobs that have been routed to you to make changes on. To access a job simply click onto one and it will provide you with the following view: 13 To provide feedback access Job Description Feedback Routing at the bottom of the page.
The Provide Feedback button will display a screen for you to type in your notes and route back to your HR Administrators. 14 Reporting In the left-hand column, Reporting will take you to the following view titled Interview Selection Reporting. This is where you can pull a report of any interviews that have been scheduled for a specific requisition.

Settings This tab will allow you to manage your personal information. Should you require a password change, you can click on the blue button Change Password. 16
CivicPlus Support Team On the right hand side of every screen, there is a blue Contact Support. When you click on this, you will see a Knowledge Base training links and a form to contact our Support Team. Use the training section to find quick answers. If your HR Department is unable to provide help with additional support need, you can reach out to our Support Team using the form on this tab. 17
